Can Intuit please fix the broken W-9 Request feature? Clearly not working - vendor account creation has errors all around. Please put in a ticket with an ETA.

ARE YOU actually fixing it? Because this thread has been open with the same issue for two years.

 

TWO YEARS.

 

This is unacceptable. They are not prioritizing this matter or it would be solved by now. If you can't solve it after TWO YEARS you need to find an alternative method. I am not spending time out of my day to call support only for them to "add my name to a ticket". That does nothing for me. I am also not giving making my employer file my taxes for me. These responses are not solutions. 

 

Fix your software or stop selling it.

I am also having this problem and do not have time to discuss it with someone on the phone.  I am frankly shocked that it is still a problem, it must affect tens of thousands of people.  Can you please let us know what to do that doesn't involve spending hours on the phone?

I'd love to help you with your issue about processing the W-9 form. However, our product engineers are still diligently working for a permanent fix on this issue. Thus, contacting our support team is a must so they can add your company to the list of affected users and get the latest update about the resolution status once available.

 

In the meantime, you'll want to check all the boxes under the IRS certification (required) section so that the Next button will turn green and your contractor can proceed with the process.

An update for anyone having the same issues with existing QB accounts and w9s--

This company has taken ZERO efforts to fix this issue in the three years since this was originally posted. 

Intuit and quickbooks are my least favorite accounting software to work with- it took my company a collective 22 hours and 5 calls to get invoicing allowed for our BKing clients through quickbooks. 

We still have the w9 issue for contractors. I OWN the company and I've been getting "please send your w9 information and create an account" email for over 2 years now. I cannot figure out a way to stop it and neither can my staff. 

Last time I called customer support, the person helping was very nice, but clueless and obviously in a second or third world country as I could hear FARM ANIMALS making loud noises in the background. 

You can't make this stuff up folks!!

If anyone has found a way to fix this existing account asking for w9 info that is ALREADY in the system, please help!!

I've submitted three W9 requests to three different vendors and they each have problems with signing on and transmitting their W9 information.  It's three for three having a problem so I don't think it's a user challenge. One of them has a QuickBooks Self Employed account and it still does not work.  Is there a way to do it manually without them having to spend multiple hours with a Quickbooks technician to solve this?

How do I send an invite to complete a W9 to an already existing Contractor in QBO Online? Why is there not the capability to simply attach/upload a completed W9, received outside out the QBO platform, to a contractor's profile? These two features should be a standard in the contractor's section.

I'm here to help you by inviting existing contractors to complete the W9 in QuickBooks Online. 

Here's how:

  1. Select Expenses.
  2. Choose Vendor.
  3. Hit the contractor's name.
  4. Click Edit.
  5. Remove Business ID No. ( this can be either SSN or FEIN).
  6. Select Save.
  7. Click Workers.
  8. Go to Contractors.
  9. Select the contractor's name.
  10. Click Send email.


I also appreciate your concern about adding two features in W9. I'll take note and send this to our product engineers for consideration.

I'd like to clarify which steps you are performing now about W-9 so I can walk you through it from there. 

 

if you're still inviting the contractor to fill out their W-9s, you can try refreshing the system by doing a few browser troubleshooting steps. Access your QuickBooks Online account using an incognito or private browser. Use either of the following shortcut keys:

 

  • Google Chrome, press CTRL + Shift + N
  • Mozilla Firefox: press CTRL + Shift + P
  • Safari: press Command + Shift + N

The stored data and history of your regular browser can affect your navigation experience. If you're able to do so, you can try clearing your browser’s cache would remove your browsing history on the regular web browser.

If the issue persists, you can use other web browsers.

 

However, if you're referring to contractors not being able to proceed with processing the W-9 form sent via Invite, you can let them check all boxes regarding the IRS Certification section for now. I also suggest reaching out to our Phone Support Team so they can add you to the list of affected users about the W-9 invite link will not process.

This problem is still there and apparently they are still investigating. QBO is complete trash- how in this day and age a company like QBO can still operate is beyond my comprehension. My contractor tried several browsers, private mode on, different devices and nothing works.

We appreciate your and your contractor's efforts to enter their information online through your email request. I also understand how you feel about this experience, and I would have said the same thing if this had happened to me.

 

Since your contractors have done the steps we can advise from here, it would be best if they will reach out to our QuickBooks Self-Employed Support to investigate this further. Alternatively, they can provide you with their business details so you can enter them in QuickBooks.

This hasn’t been fixed three years later. Nobody at quickbooks can help me get my contractor’s w9 resent to them. This is the worst platform I’ve ever used for literally anything.

I want to help invite your contractor so they can submit their W-9 information. You can resend the invitation by clicking the Send a reminder link from the contractor's page. 

 

Please note that if the contractor has clicked the invitation or accepted it, then Send a reminder will be unavailable. If they haven't completed the setup, you need to contact the contractor and ask them to complete the form. 

 

 

If not, you can delete the contractor and re-create their profile so you can send a new invite. To delete a contractor, here are the steps to follow.

 

  1. Go to the Expenses menu and select Vendors.
  2. Look for the name of the vendor that you want to delete.
  3. Click the drop-down list beside Create bill, then select Make inactive.
  4. Click OK.

 

If you don't want to delete the contractor, you can ask them to use a different email address. Then, you can enter the new one and send an invitation. Your contractor can then accept the invitation and fill out your Form W-9

When the contractor attempts to complete the form, the link provided in the email hangs. I've inactivated and created a new contractor 5 times and the link the contractor gets is always broken. We've tested the link on 3 different browsers and several devices.

Thanks for getting back with the Community, cbdoc79. I appreciate your detailed information.

 

When your contractor attempts to use their link provided in the email in different browsers, they'll want to make sure they're using a supported version of any browsers they're troubleshooting with.

 

Here's a list of supported browsers:

  • Microsoft Edge - version 75 or newer
  • Google Chrome - version 78 or newer
  • Mozilla Firefox - version 76 or newer
  • Opera - version 68 or newer
  • Samsung - version 10 or newer
  • Safari - version 12 or newer

 

They can also check a browser's compatibility with our browser health checkup tool. QuickBooks supports the current and two previous versions of browsers. If they find they're using an older version, they'll want to make sure to update it to its latest release. Steps for doing so can be found on the particular company's website.

 

In the event they find no problems which could be causing this with their browser(s), I'd recommend using a different internet connection since they've already tried different devices. If it continues happening on other devices and/or internet connections, they'll want to get in touch with our Customer Care team. They'll be able to pull up their account in a secure environment, conduct further research, and create an investigation ticket if necessary.

 

Be sure to have them review their support hours so they'll know when agents are available.

I will be cancelling my quickbooks...this is unacceptable and still hasn't been fixed. I also have to re-sync my bank account every 10 seconds as it won't hold the connection. I already have a lot on my plate and need a system that will do what I am paying for.

That would be great if that were the problem.  My vendor immediately clicked on the link to set up her account, but immediately got a message saying the link was no longer valid.  it wasn't hours, it was about 3 minutes.  This has happened with many contractors and now we're just stick.  If you can't get this feature to work - get rid of it!

Currently, there's an ongoing issue (INV-80342) regarding contractors being unable to complete the W-9 sign-up from a contractor invite in QuickBooks Online (QBO). Rest assured that our Engineering Team is working on a solution that will fix this issue. Please know that this is a top priority for us, and will continue until it is fully resolved.

 

In the meantime, you'll have to manually enter the W-9 information in the program. 

 

Then, I recommend reaching out to our Customer Care team to add your account to the list of affected users. This way, you'll get updates about the issue via email. Here's how:

 

  1. Navigate to the Help icon and select the Search tab.
  2. Select the Contact Us link and enter a brief description of your issue.
  3. Click Continue and choose either the Start a chat or Get a callback option to contact them. 

 

To ensure you'll get assisted immediately, feel free to visit our support hours page.

 

Once everything is fine, you're now ready to create and file1099s for your contractors.

You have literally been copy pasting this response for years. What is the update on progress on this “investigation”? I am still having to manually collect and enter w9s from contractors.

I sent an invite to a vendor, and they received this message.
 
This invitation has expired.
It appears that the invitation has either already been accepted or is no longer valid. If you require a new invitation, please contact the company administrator.
 
I'm also having the same issue where the W-9 link doesn't work.

The invitation sent by the employer expires after 24 hours.  

 

However, as per checking (INV-80342) regarding Contractor's unable to complete the sign-up and W-9 from Contractor Invite in QuickBooks Online is still in progress. I'd like to inform you that our engineers are still evaluating to identify the root cause of this hurdle so they can apply a permanent fix. With that said, I recommend reaching out to our Customer support team so that your company will be added to the affected user. 

 

Here's how: 

 

  1. Click the Help button. 
  2. Pres Contact Us.
  3. Enter your concern, then select Talk to a human.
  4. Select from Start messaging or Get a callback

  

Rest assured you'll be notified once any updates on this matter are made available. This will be sent on the email address that they have on file.

The w9 request is still not working properly. I hit submit and the message says “hang tight, we’re saving your w-9 documents. This could take up to a minute.” It’s been 4 days. I need to get paid and your system isn’t working properly. Please help me troubleshoot the issue.
