Edit default email text

I've checked the INV 58175 in our records, and it shows that it's already been closed last 10/11/2022. After thorough investigation, our engineers found out that the edits and sending are all happening in Outlook. Hence, QuickBooks does not have any control over this.

 

As a workaround, you can either set up for webmail or edit your template in QuickBooks before sending it.

 

Here's how:

 

  1. Click the Edit menu.
  2. Go to Preferences, then choose Send Forms.
  3. From the My Preferences tab, select Outlook or Web Mail.
  4. Select OK or Add, then enter the necessary information.
  5. Follow the on-screen instructions to complete the process.

I am having the same issue over a year later.  We use the template for the basic communication but often add a line or two to personalize the communication.  Adding a template for each instance is not a sustainable work-around.

How do I change the email message for reports in QBO?

Let me provide some information regarding modifying the email message for reports, @doddsterry.

 

QuickBooks Online (QBO) sets a default email statement when sending reports. With that, we're unable to update this unless you make a manual adjustment before sending it.

 

We recognize the importance of this feature to our users. You can send feedback requests to our Product Development Team so they can check and consider this in future updates.

 

Here's how:

 

  1. Go to the Gear icon.
  2. Under Profile, select Feedback.
  3. Enter your suggestion.
  4. Hit Next.

Edit default email text

Is it possible to edit the cover emails to have html formatting or add a logo?  I would like to add some colour and our company font to the signature but it stays in plain text.

You can personalize emails to customers and vendors by creating and customizing a template, then using it.

 

Here's how:
 

  1. Sign in to your books as an admin. You can also use a user account with permission to edit company preferences.
  2. In the top menu bar, go to File, then Switch to Single-User Mode.
  3. From your top menu bar, go to Edit, then Preferences.
  4. Access the Send forms section and click its Company Preferences tab.
  5. From your Delivery Method Default drop-down list, choose Email. For the Email Templates drop-down, pick a transaction type. You can create multiple templates for each transaction type listed.
  6. Click Add Template and give it a name.
  7. Customize your subject line and body as necessary. You can hit Insert Field to put a dynamic data field in the email. These use real data from forms, like customer name or due dates, to fill out fields.
  8. When you're finished, select Save, then OK on the Company Preferences tab.

 

Next, you can begin using your template.

 

If there's any feedback or feature requests you have after using this feature, you can submit it while using QuickBooks.

Thank you - the need is for the EMAIL to be HTML or ability to at least add the logo in the email text, not the Template document attachment.  for Example, this is what is looks like currently:

 

Dear Customer:

Your Sales Order is attached. Please review the list of items on order. Thank you for your business - we appreciate it very much.

Sincerely,
Company ABC

Hello, the need is for the EMAIL Text to be customizable in HTML and/or have the ability to add a logo to the email text when sending (send forms) a batch of Sales Orders/Invoices/Customer statements via Send Forms.  Currently the email text only shows Plain text, which is very generic to our customers (see below)

 

Dear Customer:
Your sales order is attached. Please review the list of items on order. Thank you for your business - we appreciate it very much.

In the meantime, you can still achieve the customization you're looking for! You can download your invoices, sales orders, or statements and send them through your own email client. This allows you to add your logo, customize fonts, and use HTML formatting to your heart's content.
