I do not see how to print W-2's in Quickbooks online. Can I get some guidance?

Here's how to view and print your W-2 form.

1. Click the Taxes tab, then choose Payroll Tax.
2. In the Forms section, select the Annual Forms link.
3. From the drop-down menu, choose either All Employees or a specific name of the employee.
4. Select the W-2, Copies B, C & 2 link. This will take you to the Printable Employee Copies: Form W-2 page.
5. Choose the appropriate period.
6. Click View to launch Adobe Acrobat Reader in a new window.
7. Click the Print icon on the Reader toolbar, then select Print.

If you're done setting up your employee and payroll information , you should have the option to click the Annual Form link.

In your case, we can try performing a few troubleshooting steps to resolve this issue. Let's begin by using a private browser or incognito. You can refer to the following keyboard shortcuts:

• For Google Chrome: Ctrl + Shift + N
• For Mozilla Firefox: Ctrl + Shift + P
• For Internet Explorer: Ctrl + Shift + P
• For Safari: Command + Shift + N

Now, try viewing and printing W-2 forms again. If this works, switch back to the regular browser and clear its cache  to start fresh. Otherwise, try switching to a different browser to eliminate browser related issue.

I am having the same problem.  I do have the "annual forms" button but when I click on W-2's there is no option to print.  I have done this for many years.  There appears to be something wrong.

An outdated Adobe version can lead to a problem when printing in QuickBooks Online. You may need to update the Adobe Reader.

Here's how:

1. Launch Adobe Reader or Acrobat.
2. Choose Help, and then Check for Updates.
3. Follow the steps in the Update window to download and install the latest updates.

If the problem continues after the update, try repairing the Adobe Reader. See the steps below.

1. Close Acrobat/Reader and all open web browser windows.
2. Select the Start button at the bottom left of your screen.
3. Type Control Panel, then press Enter.
4. Select Programs and Features.
5. Select Acrobat or Adobe Reader, then click Uninstall/Change or Modify.
6. In the Setup dialog box, select Next.
7. Select Repair, then Next. Select Install.
   
8. When the process is complete, select Finish.
9. Restart your computer and log back into QuickBooks Online, then try to print.

You should be able to print to the W-2 form now. Let me help you how:

1. On the Payroll Tax Center, click Annual Forms.
2. Click W-2, Copies B, C & 2 and hit View.
3. You can find the Printer icon and print it from there.

I am joining this thread to ask for further W-2 printing assistance.

I am able to navigate to the annual forms tab and select print to pull up the PDF window.

But, all 4 copies are seen on one page, rather than as separate pieces to print on perforated paper.

Is there a paper option to select to remedy this?

Yes, there's a setting to change the form style for printing, CCHTC.

What's available in QBO are the 3-part and 4-part perforated paper and the plain paper options. You can change the settings through these steps:

1. Click the Gear icon.
2. Choose Payroll Settings.
3. In the Preferences section, select Form Printing.
4. Choose from the three I mentioned above and click OK.

I do not have the Annual Report option. How do I get it? I have went to payroll tax, but there are no forms in there and no link to click.

It's possible that the payroll setup is not complete, or there are no paychecks created last year. This is why there are no annual forms available when you go to the Payroll Tax page. 

You'll want to go to the Workers page and then check the To Do List section for any incomplete setup. Then, run a paycheck list report to see if there are paychecks recorded last year.

Here's how:

1. Go to Reports on the left panel.
2. Type Paycheck List in the search field.
3. Choose Last year from the drop-down menu.

If you've completed the setup and there are paychecks added last year, I'd recommend reaching out to our Customer Care Team. We will investigate why there's no link for the annual forms. Please check out our support hours and contact us at a time convenient to you.

To clarify, are you referring to the Forms section? I'd be happy to help you find it from the Payroll Tax Center. It's only a few clicks away. I'll show you how.

It's not working for me.  Only says that forms have not been archived.

Okay I found the way to print 3-up W-2 forms for employees.  However, I'm seeing a separate page for a Copy 2.  I don't want that copy 2.  It wastes too many of my perforated forms.  How do I get rid of the separate page Copy 2?

Good work that you've found the way to print the W-2 forms for employees in QuickBooks Online. 

When printing the W-2 forms, you'll be able to save your perforated forms by customizing the pages you only want to print. Let me guide how:

1. From the archived forms, open the W-2 forms for employees.
2. Click View. Then, hit the Print icon.
   
3. Click the Pages drop-down arrow. 
4. Choose Custom. 
5. Then, enter the number you want to print. Make sure you'll not include the page number of copy 2. 
6. Once done, hit Print.

You can then go back to the same process of customizing the pages. This way, you'll be able to proceed with printing the other forms. Also, you can check these articles for additions details about the forms:

I know that giving detailed instructions is essential to achieve the task. Don't worry; I'm happy to provide complete instructions with screenshots so you can see and print the W2 as soon as possible. 

Make sure that your W-2 printing preference setup is correct. You can change the settings by following the instruction outlined by my colleague JessT above. We have 3-part, 4-part perforated paper, and plain paper options. 

Once done, you can now print the form by following the steps below: 

1. Go to the Taxes menu and select Payroll Tax. 
2. Choose Filings, then click Archive beside the W2 form if you want to print the current document. But if you like to print the previous year's W-2, select Annual Forms.
3. Choose the correct form and hit View. 
4. Click the Print icon on the upper right-hand.

The steps to print your W2s depend on if you chose to have us pay and file your federal and state payroll taxes for you or if you opted to pay and file them yourself. Please check your automatic tax payments and form filing status if you need more clarification.

When you have automated taxes and forms, and you'll want to print the current year or one year prior, please follow the steps below:

1. Go to Taxes, then Payroll Tax.
2. Select Filings. From here, you can select to print both employer and employee copies of your W-2s and W-3. Select View or Manage your W2 form.
3. If you're printing employee copies, you'll see employees who want paper copies and those who wish to be paperless. Those who want paperless won't be selected and won't get a printed copy. Select View.
4. You may see a question asking if you or your employees contributed to a retirement plan outside of QuickBooks Online. Select yes or no, then follow steps 1 - 3 to return your W-2 or W-3 form.
5. Click the print icon on the Adobe Reader toolbar. Then select Print

For previous years, here's how:

1. Go to Taxes, then Payroll Tax.
2. Click Filings and choose Resources.
3. Select Archived forms and filings.
4. Choose the date range you need, or search the forms you need.
5. Tick View on the W-2 or W-3 form you want to print.
6. Hit the print icon on the Reader toolbar. Then select Print again.

Go to taxes, payroll taxes.  Click on the archive icon on the far right. You can find them there.

If we have the automated taxes and forms option turned on, can I still go in and print the W-2 for the employee? I don't see the "View" button, or any possible way to print the W-2. Thanks!

Even with the automated tax payment and form filing feature enabled, you still have the ability to view the W-2 forms for your employees. By default, all standard tax forms become accessible for viewing around 35 days following the quarter's conclusion. On the other hand, amended ones become available upon the completion of your case.

Furthermore, the process for printing them differs slightly. I'll show you how to do it:

1. Head to the Taxes menu.
2. Choose Payroll Tax, then select the Filings tab.
3. All your current forms will be displayed in the Action Needed or Coming up section. 
4. For past W2s, click Resources and select Archived forms and filings.
5. Hit Preview, then click the Print icon.
