QBO Invoicing Issues

I generate invoices for a law office.   I'm having the following issues:

The invoice looks one way when I edit it, it looks completely different when I print it.

  • For example, I have a heading in the first line of the invoice that states "For Professional Services Rendered".  When I PDF it, that heading shows up at the end.

  • I have costs moved to the end of the invoice in QBO (we group our costs together at the end).  When I PDF the invoice, the costs revert back to date order.

It looks like QBO Is automatically sorting by date when it is printed to PDF.  Any way to stop that?

I want to center the Law Firm's address on the invoice.  I cannot find a template that will do that nor can I edit an existing template.

  •

Any help will be appreciated. (Sorry if this is the 2nd post on this, I couldn't tell if my first post went through).

QBO Invoicing Issues

I appreciate you bringing your concerns about the formatting issues with your invoices to our attention, Susanm5860. I'm here to provide options and address your concerns individually.

The discrepancy between your customized invoice in QuickBooks Online and its printed version can be due to browser issues. When QuickBooks isn't behaving as expected, I recommend using a private or incognito window to rule out errors or glitches.

You can use the following keyboard shortcuts depending on your browser:

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Shift + Ctrl + P
  • Microsoft Edge: Ctrl + Shift + N

After that, switch back to your regular browser and clear its cache to refresh the website's preferences. The system's supported browser is recommended for the best and most secure experience.

Also, on your other concern about preventing QuickBooks from auto-sorting by date when printing to PDF and centering the "Law Firm's address" on the invoice, these options aren't currently available due to the interface design. QuickBooks Online uses default templates to ensure a consistent and professional look across all transactions.

We understand the importance of this functionality. Your feedback is important to us, and we encourage you to share your insights and suggestions with our product engineers.

You may also want to explore the Intuit App Center to find supported third-party applications that suit your needs, making your workflow more efficient.

We continuously roll out product enhancements in batches. To stay updated with the latest product innovations about QuickBooks Online, you can visit our Resource Center.

If you need help modifying your invoices, customers, products, or anything else, please let me know. I'll keep this conversation open and help you promptly once I have more details.

QBO Invoicing Issues

I tried using an Incognito Window and I cleared my cache to no avail.

When I PDF an invoice, it is completely different than what I look at on the screen.

Interestingly, even though I can't auto-sort by date when I'm in the invoice edit mode, the PDF automatically date sorts.

I really need to have my costs grouped at the bottom of the invoice and not mixed in with the date narratives.

Thank you.

Any other suggestions?
