I have contacted chat support about this and they were completely useless other than trying to up-sell me. I have attached an image of the email my user received about the new Intuit account being required for administrators when using the Desktop product. I need a few questions answered:
1. From what I have read, this is being implemented for better security, yet I can't find any documentation about the security which makes me a little nervous about connecting to online anything via our software, especially where it concerns Intuit since the email provides no information on whether or not any of the data in our company file will be exfiltrated. Is there any documentation on the safety of our data?
2. We have 5 concurrent users with our Desktop Pro licensing. (2x3 user licenses) Does this impact multi-user environments and are there gotchas for that? I assume they will be able to continue with their usernames that were created in the Desktop software (not Intuit accounts)?
3. I have a "primary contact" Intuit account for our software licenses. I also have an authorized contact (for purchasing checks) attached to our account. Do I HAVE to use the primary contact Intuit account for the admin or can I use an authorized Intuit account associated with our license/account?
Hopefully someone can point me to the information or answer it directly!
Thank you!
Hi there, g2g2.
The email is correct, you need an intuit account as part of the security features within QuickBooks.
The prompt log in using your Intuit Account ID happens when you open or create a new company file, add a user, sign in to My Company, or while accessing Intuit User Account Management. This login makes it easier to manage your connected Intuit services.
You can go through the process and once it has been successfully set up. I'll show you how:
You can also check out these articles for more details with managing and securing your accounts:
As for the second question, there will be no effect on the users since the admin is being effected, and finally for the third question, it does need to be the primary contact account. You can read further into that with this post.
If you have any other questions, feel free to post here anytime. thank you and have a nice afternoon.

@Anonymous
I am interested with this point. Do you run 2 different licenses of QBD Pro for 3 users with the same year version in one local host?
Thank you for your reply. What is not clear is the following: does the user that I login with (I'm an admin) then get replaced in the User Management or does the Intuit login (my email) just get attached to the existing local user in Quickbooks? The reason I'm saying this is that I'm trying to pick which administrator I want to assign this to as we have two local administrators in our QB environment.
Yes, you have to keep track of which computers have which license but the QB desktop software simply needs a license key that hasn't reached max users. So, I keep a file with the license keys and which computers are assigned to them. In a multi-user environment, as long as you store your company file on a network accessible drive, it is the most affordable solution as long as you aren't going to expand to many more users. I have researched going to the Enterprise version and it is almost twice as much for 5 users than if I just purchase 2 (x3 user) Pro licenses. Mileage may vary, considering you may want Enterprise features, but we didn't so my approach was the most reasonable cost-wise.
Thanks for coming back, @g2g2. As mentioned by mu peer @Nick_M, you'll need an intuit account as part of the security features.
Hence, in our continued efforts to improve security across our products, we're making the change to use One Intuit login when accessing QuickBooks. This will give the primary contact greater control over user access and make it easier to have all your Intuit products seamlessly connected.

This is unfortunate! NICK AND KATHRYN PLEASE READ THIS WHOLE POST AND DIGEST IT. DO NOT SCAN IT AND MAKE ASSUMPTIONS BEFORE FINISHING READING IT. NEITHER OF YOUR POSTS WERE ON TOPIC OR HELPFUL.
I have been a QB administrator for over a decade and I have already read all of the links you both posted, so lets dig in and start with Nick:
Link to password security: where does it describe if the new Intuit will exfiltrate data? Do you know if it does or not?
Link to CAMPS: what relevance is this link? I thought all my multi-users would not be affected by this change and would remain local users? If CAMPS is involved does that imply all my users need to use an Intuit login? Very confusing.
Link to payroll admin, etc.: what does this have to do with a simple answer of "yes, the user that is admin must also be the primary Intuit account". Simple answer, but the link doesn't make sense.
Now to Kathryn:
Multi-user links: what in the world are these for? Over a decade ago I set up my multi-user environment! Why are you sending me links like this? I was clear what was in our environment and nowhere in my post did I mention anything at all about a new setup or changing anything other than adding the Intuit primary account to my local admin account. Worse, you still haven't answered my question (pasted here from my original post for your benefit):
"What is not clear is the following: does the user that I login with (I'm an admin) then get replaced in the User Management or does the Intuit login (my email) just get attached to the existing local user in Quickbooks?" If you don't know, please don't answer - instead pass me along to someone who knows, because the answer impacts who I assign admin rights to, OK?
Lastly, repeating information that is not cogent to the original post is a waste of my time. Every time I contact support this happens and wastes my time. I am very displeased with the quality of support because if I can't get a clear answer to a question, this means there must be a system in place that rewards support for volume, not quality, because these replies are junk. If you can't do better, just say it, so those of us who have been frustrated by the horrible support provided to long-time users can shine a light for people that read these posts which will hopefully ward them off and turn them on to the likes of Microsoft Dynamics or other cloud products that are secure and that provide volumes of information on how they secure their products. Trust me, I'm online right now looking at Dynamics (and they do provide import from QB desktop/online product!), so if anyone reads this that is considering QB, please be warned that this is the quality of support you will get!
Let me help you from here, G2g2. I'll address your questions one by one.
First, I will go over to the questions you have for Nick.
At Intuit, we take your safety seriously. We're here to ensure to keep your data and privacy safe. This is the article we can provide about our password security for QuickBooks Desktop. Rest assured that we'll not pull out nor ex-filtrate your data since we're here to take care of it and keep it safe.
Concerning CAMPS, you're right. Your users will not get affected and will remain local users. Also, only the admin will be required to change the password every 90 days.
With regards to the payroll admin link, you're right. The admin must also be the principal admin of the payroll.
Now, I'm going over to Kathryn's questions.
She's providing you some helpful articles about Multi-User. When you log in, you will still use the same user ID or your admin credentials. It's different with your CAMPS credentials. However, they're linked.
Lastly, we're trying our best to provide the best customer service. We don't want you to feel that way. Please know, we're just here if you have other concerns. Take care.
what is the intuit account window prompt?
Hi there, @middlefinger.
Let me share with you why this prompt shows in your intuit account window.
As we tighten our security to safeguard our customer's account, we've started our Desktop One Intuit Identity login on File Creation. This is for users who indicated that they are the Admin/Primary for the file.
Its primary purpose is to create a company Realm that will be the common access for users who's using the Payroll and Payments services.
In case you encounter issues when accessing your account in QuickBooks Desktop, you can check this article to fix them: What to do if you can't sign in to your account.
The Community always has your back, so please let me know if you have other questions or concerns.
Intuit claims that you now need an Intuit Account to ensure security; yet make NO STATEMENTS in what is security features are improved, needed, or why!
This is just another example of Intuit taking over your company files and who knows what information they are collecting and selling.
Same goes for them claiming that you must upgrade your Desktop version for added security, and if you don't, they prevent you from using their Merchant Services.
It's all about collecting money from their customers in any manner they can!
Just let us use your program and quit forcing us to upgrade or create an Intuit Account!
I'm so sick of Intuit!
Kristine,
Please explain further about admin also needs to be payroll admin. This doesn't work when you are a ProAdvisor for a client and only are the payroll admin.
Thank you.
Hi there, azffs_jc.
The User ID and Password that you use to access the company file is not the same as the Intuit Account login credentials. For ProAdvisors, it requires a verification code in order to access the Pro Advisor member site. For more details, you can check this page: Manage your Intuit Account online.
You can always post your questions here. Wishing you all the best!
I don't trust you or any big company to have any access to my accounts. If this is mandatory in the future, I will start looking for different accounting software. I started on Quicken many years ago and have upgraded as required, but this new requirement will probably mean the end of my Quickbooks use. I paid for the software, that is where your control stops.
I started using Quicken many years ago and upgraded as required. If this signing into a Intuit is to become mandatory, then I will have to start looking for different accounting software. I paid for your software, that should be where your control should end. I don't trust you or any big company to have that kind of possible access to my accounts. Every few months, the news comes out where some big companies files are broken into. This is a bad idea if it is mandatory, if by choice it's OK. But Not Mandatory!!
I do not use payroll and I definitely do not want to do anything online. It reduces my security and puts it in your hands. No thanks. Bob Myers
What if you use a Desktop Pro version before 2019 R12, where the mandate seemed to be added?
What about version 2018?
What if you are using 2019 R12 and later, but you do not use any online services, such as payroll. If you refuse to create an account in this case, what will happen?
I have the Desktop version and the reason I do, is because I DO NOT want any information on some cloud or server at Intuit!!
There is NO REASON that Intuit needs people to create an Intuit Account and use some BS excuse that it improves customer experience, security, and offers other services. I COULD CARELESS!!!
Intuit has no right to require an account!! NONE!! And it has nothing to do with "improving security", or improving "customer experience"!!! I am convinced it's all about data collection on users to sell to other companies, create profiles, target adds, and who-know-what-else! AND GOD FORBID if someone hacks into YOUR SYSTEM! This is exactly why I have the DESKTOP version is to NOT have any information online!!
All you INTUIT has done is piss customers off with violating our privacy! Should be a law suit against INTUIT for this!
You say improve security and "customer experience" - just how is creating an account do that?? It doesn't...PERIOD!!!
The reason I am using the DESKTOP version is so that NOBODY including INTUIT has access to any information on me, my data, or customers...that is SECURE!! Not putting information on some server at Intuit that we have no idea who has access to it or what if someone hacks into your servers??
This is just another tactic by INTUIT to control users including requiring us to UPGRADE otherwise we lose our Merchant Services and other features that work just fine are blocked!!
I HATE INTUIT because of the don't care about what we want!! GO AWAY!!
Yes, I agree. They should have started this policy with a new version.. like 2021. They will probably lose customers and be hit with a class action lawsuit. Not a very smart move by somebody to hijack 10,000,000 business owners lol.
I would be HAPPY to join a class action if this is mandatory. I paid for a product then later they want more? Anyone who understands todays internet, information is valuable. I don't use any of their online options and never will!
If I respond to the prompt and connect to my intuit account, will intuit upload my company files to intuit's system or server? On a pretext of enhanced security, I feel like intuit has deceived me and the rest of its desktop users into granting access to confidential business and client information with a pop-up that provokes the user to create the connection or suffer with a nuisance every time you open company files. I believe this is a serious breach of trust. As a Quickbooks user, I was relying on my company financial information and the information of my clients being secure from third-party access. What if you have duties of confidence with your clients? I don't use any of Quickbooks on-line services. Please publish information to all intuit desk top software licensees on how to reverse this and turn off the intrusive and abusive connection. Thank you.
I totally agree. Why should I (we) trust Intuit with access to my (our) company files? So, what remedies is Intuit ready to provide when (not if) all of us in the current customer/user community get hacked and some nefarious actor, state or otherwise, gets access to all of our respective company files?
Security is more effective with a layered approach. Intuit is suggesting that its user community put all of its eggs in one basket.
Seriously, this sounds more like a sales and marketing initiative rather than an informed security recommendation from the cybersecurity professionals. Given the responses from Intuit thus far, I am still struggling with "What Problem are you trying to Fix?". Providing "procedures" for how to establish an Intuit account is not an explanation of the specific security threat(s) that you're ostensibly trying to mitigate.
Hello, ccw2_orangeca.
I appreciate your time voicing out your feedback with regard to the security. Let me chime and provide you with additional information on the importance of password security in QuickBooks Desktop software.
The password security when accessing a company file in QuickBooks is an extra layer of security that is implemented in all Intuit products, not just with QuickBooks. This way, your data gets protected as well as your customers’ and employees’ information recorded in QuickBooks.
That said, all users who have the Credit Card Protection feature on, or whose QuickBooks Desktop file contains sensitive data such as credit card data or PII will be asked to set up a password to verify that the person attempting to access the account is authorized to view such data.
QuickBooks detects the presence of the following data and ensures strong control:

You keep saying the same thing. All the explanations don't change a thing. I DO NOT TRUST you to keep MY information safe!! I don't Twitter or Facebook but I may start just to see how many other Quick Books user feel the same way. This is a horrible intrusion of my PAID for product. Just not right.
