View and Pay Now link unavailable

I hear your sentiments, RWRobbins. 

 

Let me make it up to you by making sure your customers can view and pay their invoices. 

 

Normally, customers can view and pay invoices as long as the company file is connected with QuickBooks Payments. Keep in mind, payment processing is an add-on feature. If you don't have QuickBooks Payments, we can't send invoices that customers can pay for online. While we can still email invoice forms and we won't be able to process payments without QuickBooks Payments.

Also, we can do some troubleshooting steps if you encounter some issues trying to view and pay invoices. 

 

To start, we want to make sure your QuickBooks Desktop software is in its latest release. QuickBooks periodically provides maintenance release and software updates to fix emailing issues, add features or enhancements, and update compliance information.

 

  1. Open QuickBooks Desktop.
  2. Click the Help tab at the top menu.
  3. Select Update QuickBooks Desktop.
  4. Go to the Update Now tab.
  5. Put a checkmark on the box beside Reset Update.
  6. Hit Get Updates.

 

Once done, we need to run the Verify and Rebuild Data utility in the system. The tool scan data issues within the company file and self-resolves them.

 

To verify data:

 

  1. Open the company file.
  2. Click the File tab at the top menu.
  3. Select Utilities.
  4. Choose Verify Data.

 

To rebuild data:

 

  1. Open the company file.
  2. Click the File tab at the top menu.
  3. Select Utilities.
  4. Choose Rebuild Data.

 

If none of these works, I suggest to delete the user profile and recreate it.

Wow, now I see why this issue has not been resolved for nearly two years.  You clearly are not reading my posts before replying with these canned responses.  I have already said this but I will say it again, the 'View and Pay' link works on invoices that I have created, but does not work for invoices that another employee has created.  Below is a snippet from an email that we sent out to one of our customers.  As you can see, two have the link and two show that this link is unavailable.  I created the first two invoices shown and another employee created the bottom two.  Now for the last time I will ask again, does the employee who created the bottom two invoices also need to have a QB Payments user account so that his invoices will also show up with the 'View and Pay' link?

I have information regarding the View and Pay Now button display . Thus, you can use the link seamlessly in QuickBooks Desktop (QBDT). 

 

In QuickBooks Desktop, one QuickBooks Payments account can only be used for one company file at a time.

 

You change the user's permission to a specific employee, allowing her to add the payment link on customer invoices.

 

Here's how: 

 

  1. Go to the Company menu.
  2. Choose the Users, then click Set up Users and Roles.
  3. Click the Role List tab.
  4. Create a new role on the Users and Roles window.
  5. Choose the Role Access and the Area Access Level.
  6. Click OK.
  7. Click the employee, then click Edit  in the User List tab.

 

You can now assign the role you created to the specific user. Once done, Click OK.

This has been an issue for me since around 2017. I used to spend time on it but have long since given up hope. The QB support team has no idea what it is. The QB team responding in this thread has not read through it recently and doesn't seem to understand the problem. 

 

If only there were an alternative to QB :(

Theory:

Mike or Louis opens quickbooks and gets a QB merchant prompt and is ignored.  If the invoice is even created, the link is not generated and will not be matched online to the invoice.

The invoice can be sent by Louis or Mike and the client gets the invoice and the link(s) do not work on the invoices generated at the time of creation because of the QB merchant account not logged into QB during the creation of the invoice and the client will still get the email.  Just the link won’t work. 

If Louis or Mike logs into QB and QB merchant is logged in, the send email can be unchecked, saved, then checked and saved and the link is then synched to the online QB and the link with be sent and work. 

The check box to combine invoices into one email will indicate if the email will contain broken links.

If Louis or Mike logs into QB and QB merchant is logged in during the creation of the invoice, then the link will work if it the invoice is sent by either person.  Just a guess.

Quickbooks links not are working.  Fixed.

If I am not signed into Quickbooks, (as seen below)

when I go to Send Forms, I can check the box Combine forms to a recipient in one email, even if there is only one invoice to send, and it will have a missing statement.

The big red circle does not state “This customer can pay due invoices online” and it should

The receiver if this email sees this.  Notice the link is missing and unavailable at the bottom. Link unavailable will only be seen by the receiver if the box to combine is checked when sending the invoice.

This is if the invoice was created and Quickbooks sign in  was not logged in when creating the invoice.

If I don’t check the box to combine when sending the invoice from Send forms, and I send the individual invoice, I get the invoice without the Blue box to pay online.   The red circle is missing the View and pay the invoice.  See below.

The bottom should look like this:

You still might have the blue box and the link won’t work if you recheck the send email box when not logged into Quickbooks Sign In while in Quickbooks.  The wrong browser can break it too.

If I am signed into Quickbooks, (as seen below)

and the “Combine forms to a recipient in one email is checked, the indicator is in the red circle below.  This customer can pay due invoices online.  Another note is if some have links and some do not have links, it will also be missing the statement “This customer can pay due invoices online”.  To fix that, sign in to Quickbooks and the Sign In inside Quickbooks and go into each invoice and uncheck send email, save, then check the send email and save again to repair the link.

This is what it is supposed to look like.  If you have many invoices, they all should have the View and pay now next to each invoice.  Only the recipient can see this.  It will state link unavailable on their end. To fix that, sign in to Quickbooks and the Sign In inside Quickbooks and go into each invoice and uncheck send email, save, then check the send email and save again to repair the link. Send the forms again.

Thank you for this post!  It at least should provide Quickbooks with some type of idea of why this is happening.  Unfortunately, for me, this isn't a solution.  I currently have over 1300 invoices to email and I can't do it using the 'Send Forms' option because they will all go out without the link.  So, we send them ONE....BY...ONE....  I could go in and uncheck 'Email Later', Save, then re-check 'Email Later' and that does work but if I go through all of that, I might as well go ahead and just send the email right there.

Quickbooks is sooooooo frustrating!!!  And they don't even read these posts!!  

 

Thanks again for trying to find a solution to this!!

 

FYI...we just updated to Enterprise 23.0 and that didn't fix the problem either!

So I had an existing customer I activated this feature on today. The customer called and asked if they could pay online this time. We typically have this feature off because we don't want the fees. If they want to pay this way we pass the fee on to them.

 

When I tried to send the existing invoice, there was no link in the email. Long story short, I had to duplicate the invoice and delete the previously made one and the link showed up when I emailed it. Maybe someone will have the same circumstance and find this comment helpful.

 

Basically, you need to create a new invoice AFTER turning this feature on.

Let's get you back to business by making sure that the Review and pay now button will be available on your invoices.

 

First off, paying invoices online can only be done when we signed up for QuickBooks Payments. If you've already signed up but the option to pay is still unavailable, let's check what's causing this issue.

 

Let's start by sending a sample invoice to yourself to verify if the issue is on your end only. If the Review and pay now button is also unavailable, let's make sure your QuickBooks Desktop software is in its latest release. To address emailing issues, provide features or additions, and update compliance data, QuickBooks releases maintenance and software updates on a regular basis.

 

When done, let's launch the system's Verify and Rebuild Data tool. This checks the company file for data errors and automatically fixes them.

 

  1. On the top menu, click File.
  2. Choose Utilities.
  3. Select Verify Data.
  4. Click OK when QuickBooks doesn't detect any problem with your data.
  5. If Verify finds an issue with your data, you'll be prompted to Rebuild Now or View Errors.
  6. Click Close or View Errors and take note of the specific error message.

 

Next, here's how to rebuild data:

 

  1. On the top menu, click File.
  2. Choose Utilities.
  3. Select Rebuild Data.
  4. Click OK if you receive a prompt to back up your company file.
  5. Click OK when the rebuild has been completed.
  6. Run Rebuild Data again to make sure there's no error.

 

However, if the Review and pay now button is available on your end, let's make your customers clear their web browser's cache and make sure their web browser is up to date. I'd also recommend copying the Review and pay now URL by right-clicking and pasting it on the following web browsers in which QuickBooks Payments works best with:

 

  • Chrome
  • Firefox
  • Internet Explorer
  • Safari

Hi there!

 

We have been having this same issue for years!  I wouldn't pay attention to the 'fixes' that others have already posted...nothing works.  I have spent countless hours on the phone with Quickbooks support and can never get to anyone that tries anything different.  The only feedback I have gotten that might work is to email the CEO directly!  It's unbelievable that this has not been fixed yet.  Do you use Transaction Pro by chance?  I am just trying to find any common denominator between people like us that are having this same issue.

Sending customer statements serves as a reminder to customers who have outstanding balances or invoices that will soon be overdue. These statements show customers summaries of their invoices, payments, credits, and balances.

 

If you want your customers to pay their invoices through the sent statements, as 4Gal suggested, you may explore a third-party app that will meet your needs.

She isn't talknig about having customers pay from the statements.  This is a problem with sending invoices that clearly a ton of people are having trouble with and Quickbooks has done nothing to help besides waste hours and hours of our time.  I have been sending over 1000 invoices monthly ONE...AT...A....TIME.  I have been doing this for  over 2 years now....so frustruting that we keep getting the same dumb answers from Quickbooks as if we haven't tried every singe stupid fix that they have tried to give.
