Can't convert subcustomer to project

I follow the directions exactly where I create a project and then edit the customer display name to match. I have made sure it's not a sub-sub. Twice as I have worked through my customer list, I've had it ask me to merge properly. Every other time I have tried it, it doesn't merge them, creating an empty project. I can't understand why it worked for me with two customers but I can't proceed with my other customers. Everything seems identical.

I have here the steps to convert sub-customer to project, @mhovley.

 

First, make sure that the Project feature is turned on every time you convert or merge a sub-customer to an existing project.

 

Here’s how:

 

1. Select Settings ⚙, then select Account and settings.

2. Go to the Advanced tab.

3. Find the Projects section and select Edit ✎ to expand it.

4. Select the Organise all job-related activity in one place checkbox.

5. Select Save and close your settings.

 

If you already have an existing sub-customer and project, you can merge them. This transfers your existing sub-customer transactions to an existing project:

 

1. Select the Projects menu.

2. Find the project you want to merge your sub-customer with.

3. Copy the name of the project.

4. Go to the Sales menu and then select the Customers tab.

5. Find and open the sub-customer.

6. Select Edit.

7. In the edit window, change the Display name to match the project name exactly.

8. When you're ready, select Save and Yes to confirm the merge.

This is exactly what I have done dozens of times. It has worked three times. The other dozens of tries have failed to merge and just make a new empty project. I can see no difference between the times it has worked and the times it hasn’t, but there must be something.

Let me provide additional steps to keep it working, mhovley.

 

QuickBooks Online uses browser cache and cookies to run faster. Sometimes, these can cause unusual behavior in the system when there too much data in the file.

 

That being said, you can clear the browser's cache and cookies to isolate and fix the issue. Follow the steps to clear cache for your browser:

After clearing the cache, make sure to restart your browser. 

 

As an alternative, you can use other supported browsers to have the best and most secure experience while using QuickBooks.

 

Once done, go back and convert sub-customers into a project.

This didn't work. I cleared the cache, restarted Chrome, and once again it creates a blank project instead of merging.

I suggest reaching out to our customer care support so an agent can take a better look at this. They have more tools to investigate the issue further. Here's how:

  1. Click Help inside QuickBooks Online.
  2. Enter "I need a human" in the Type something field. 
  3. Select I still need a human.
  4. Click Contact Us.
  5. Select either Start messaging or Get a callback

I talked to QB on the phone and they are escalating the problem since we couldn't resolve it.

Did they resolve this issue for you? I just convert 60 sub-customers to a project and it says its complete but there are not projects?? Can someone help with this?

Thanks for joining this thread. Let me help you in converting sub-customers into projects.


It's good to know that it says the conversion is completed. You'll want to check if this behavior is caused by the browser you're using. You'll want to use an incognito window and review the Projects from there. Incognito won't save your browsing history which can result in an error. 

 

These are some of the shortcut keys:

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P  

 

Also, you'll want to clear the cache and make sure you're using a supported and up-to-date browser. This can fix any browser-related issues.


If the same thing happens, please reach out to our Support Team so they can further investigate it.

  1. Click the (?) Help icon and enter Talk to a human (then type it again when prompted).
  2. When asked by the bot, enter "Projects".
  3. Select I still need a human, then proceed with Contact us or Get help from a human.
  4. Choose either Chat or Callback.

Similar issue here. Some of my sub-customers show up and allow me to turn them into projects - but not all of them. Some are even under the same customer as others that were able to be converted. Only a select few out of over a 100 have been able to turn into projects.

Welcome to this forum, @dustinyoung. I see that some of your sub-customers are under the same customer as others are the only ones converted. And only a few have been able to turn into projects.

 

In your case, ensure the sub-customer is connected to only one main parent customer to make it work. It can't be a sub-customer of a sub-customer. Here's how:

 

  1. Go to Get paid & pay, then select Customers.
  2. Look for the sub-customer you want to convert, then select the sub-customer's profile and click Edit.
  3. From the Sub-customer dropdown, select the main customer. This is also known as the parent customer.

 

Then, make sure also that your sub-customer doesn't have any sub-customers:

 

  1. On the same page, look for any sub-customers of the sub-customer you want to convert.
  2. Select the sub-customer's profile, then click Edit.
  3. Uncheck the Is sub-customer box, and if there are more sub-customers, remove them as well.

I had the same problem, the fix; Go to sub-customer, check the box for "Bill with Parent" checkbox once I did that, the sub-customer will show up in the convert to project list.

I work for a franchisor and we support over 350 locations.  We are slowly converting our offices to QBO from QBD.  For most of them the conversion goes fairly smoothly, however we have found a handful of our offices that cannot convert their existing jobs from QBD to projects in QBO.  Intuit Support has been no help and basically will not even acknowledge a problem.  This is a HUGE problem.  I need to know what to tell Intuit Support so they understand that over 100 of our offices, all who operate exactly the same, have no problems converting their jobs to projects, and yet half a dozen offices show no jobs in the list when they try to convert.  They are paying for a program that is not working for them and no one from Intuit seems to care.  We have jumped through every imaginable hoop trying to get this sorted out, with no success.   This only happens with offices that have migrated from QBD to QBO.  Something went wrong during the migration of data but we can't seem to get anyone from Intuit to listen to us.

Are the offices in question (unable to convert their existing jobs from QBDT to projects in QBO) received any error messages during the process? Can't convert subcustomer to project

I am having a similar issue. I need to convert my customers into projects. Since they are all currently customers & not sub-customers, i created new customers. Then I made my existing customers, which have all my transactions tied to, sub customers of the next customers. 

 

After this is completed, I have tried over & over to follow the steps listed & I am never offered the option to merge the new project & sub customer so that all of my transactions transfer also. Is this possible to do this way or am i doing something incorrectly?

In QuickBooks Online, you can transfer the existing transaction from a customer to a project.

 

Here's how to add an unpaid invoice:

 

  1. Go to Sales and click Invoices.
  2. Find and select the unpaid invoice
  3. Select Edit invoice.
  4. Click the Customer dropdown. Then select the project.
  5. Select Save.

 

To add the paid invoice to the project:

 

  1. Go to Sales and select Invoices.
  2. Find and click the paid invoice you want to add to a project.
  3. Click Edit invoice.
  4. Select the Customer dropdown. Then select the project.
  5. Click Save.

 

To add existing expenses to a project:

 

  1. Go to Expenses and then click Expenses.
  2. Find and select the transaction you want to add to your project.
  3. In the Customer/Project column, select the dropdown, then select the project you want to add the transaction to.
    Note: Do this for each expense item you want to add to your project. This is different from the payee for the expense.
    If you don’t see the Customer / Project column, go to Settings ⚙ and select Account and settings. Then, turn on Track expenses and items by customer from the Expense section.
  4. Select Save and close. You may also select other save options.
