How do I charge customers credit card processing fee on an invoice?

Thank you for this.  But I'm wondering if there is a way to automatically incur/charge a credit card fee when the client chooses to pay with a credit card.  In other words, let's say I send out an electronic invoice to a client via email.  Half of my clients will pay that with a paper check in snail mail, and half will pay online with a credit card, and many will pay both ways at different times.  Obviously, only the credit card payers should be charged the "3% CC processing fee", but it's not practical to have the client tell me that, then re-create the invoice with a separate line item for "3% CC processing fee", and re-send the invoice.  Instead, it would be super-convenient to have the QB Desktop program automatically charge that fee when the client clicks the button to "pay online" with a CC.  Any idea if this is feasible?

I am new to this forum, so I have now gone back and read all the user and QB posts and it doesn't seem there is a QB solution.  That is incomprehensible.  Until I switch cc processors, I will have to do the following, time-consuming tasks to merely recoup fees:  a) identify all my clients that have used credit cards historically (we are a landscaping company with a very high volume of invoices so this is a tremendously difficult task), b) create a new item for "CC processing fee", and add this line item whenever I bill these clients going forward, and also have to manually calculate the fee on each such invoice, and c) create NEW invoices when the historically-cc-paying-client says, "I want to pay this bill by mailing in a check".  INCOMPREHENSIBLE.

 

What should REALLY happen is QB should not only design the function to allow the automatic passing on of the credit card processing fee (should we choose to use this function), but to charge the ACTUAL fee I get incur for the instrument the client is using (ie, debit cards, ACH, Visa cards, AMEX cards all have different rates).  I know this as a consumer that my debit card has a MUCH lower rate for the merchant, so I demand not to get charged a "3.5% fee".  Most gas stations don't charge the fee when using a debit card, for example ("debit card same as cash price").

I have seen your same reply in this thread over the past year... so does the feature "Dynamic End-Customer Surcharging" mean in layman's terms that I can pass on the credit card fees (which are lower than QB) to my clients?  Can I still use QB Desktop as my main bookkeeping software, most importantly being able to invoice clients exactly as I have been (specifically emailed/electronic invoice), and the client can still click on the "View and Pay Invoice" blue button on the email?  Because it took a LOT of effort conditioning my clients to receive electronic invoices, and to get payments electronically, and it has GREATLY enhanced cashflow, so I would like to keep things as similar as possible.  Are you representing the "3rd Party Merchant Service"?  What is that service?

Yes. Correct

MirriamM-  If you appreciate this comment which is posted on the QB Support why wouldn't you submit it to feedback on their behalf?  Quick Books needs to fix the credit card fee issue.  WE are losing money using it.

So when you add this total as an expense, you are double dipping.  When the merchant fee for the credit card is automatically added to my bank account in QB, it is already an EXPENSE.

Quickbooks needs to be able to accept a cc payment and automatically charge the person paying with a Cc the fee. Other billing services can do this. 

if they get the invoice via email and decide to pay by check they shouldn’t have to deduct the CC fee line item we have added to the invoice. It should be automatically added if they choose to pu via credit card with their link.

I also do not like to include this in income, even if categorized as Other Income, because I don't want to inadvertently pay Hawaii's general excise tax on this income, as it's not subject to GET.  Instead, I set up this QBO Product/Service so that it offsets QuickBooks Payments Fees incurred.

This thread was started over 2 years ago. Can QB just please figure it out? I use QB Payments and I believe it should simply be a setting that comapnies like mine can choose: "Do you want your customers to have the option to pay via CC for an extra fee on their payment page? Yes or No"

QB sets the fees for CC payments, QB should figure it out.

You’re all going to quickly find that Intuit implements the absolute minimum to their software. There are actual major bugs in QuickBooks desktop I’ve been reporting and have confirmed with their tech support department from years ago that they still haven’t addressed. And why would they when they’re making money and people just allow it to continue!

Part corporate greed, part incompetence. It actually makes a lot of sense when you think about it. QuickBooks isn't known for being a high Cx business model. They are very much like a cable provider. A necessary evil that has no incentive to improve the customer experience (Cx) because of the natural demand they have.

Just charge them a extra 4% (rate x 1.04) and blame the lack of line item transparency on QuickBooks bad technology with your customer.

QB Payment doesn't yet offer such feature. Utilize a 3rd party payment processor or merchant service to charge the processing fee on your clients.

Yes, you are missing the point. You can pass the entire fee on. 

 

First let me state that I'm in no way sticking up for QuickBooks. They are a horrible vendor and I'm forced to use them. But at the end of the day, we have to make the best of a bad situation and we should be trying to maximize revenue at every opportunity.

 

My business uses this QuickBooks product defect as an opportunity to throw QuickBooks under the bus and also get a small % increase on my sales. Basically you charge your customer more to cover the fee. However there's no reason to make it cumbersome by saying "its 3.5% and .25 per charge". For example, to make it easy for my front office, we just add a 4% surcharge to any customer order for credit card. 

 

Ex. Customer buys $100 in goods and wants to use credit card. We say "Sure, but QuickBooks is a horrible company and charges me a fee that I cannot absorb. So we have to add a 4% surcharge"

 

You charge the customer $100 + a service fee of 4% or $4.00 for a total of $104. 

 

QuickBooks then charges you 3.5% on the $104 + .25. So 104 - (3.64+.25) = $104-$3.89 = $100.11

 

So you still get your $100, but you also get an additional kicker - all because QB is incompetent's. 

 

This works for my business as the volume is low and I'm B2B. If I had a high card swipe environment / was in B2C, I'd just not tell the customer about the fee and add 4% to the base price of any product I'm selling knowing my sales would be 96% of any price charged.

So... that's not the issue. Yes, we actually charge 5% for using a card. The issue is that it's manual. I want to send an invoice to a client with ACH and credit card payment options enabled AND THEN if they choose credit card, I can have a setting that increases the total by the 5% "convenience" fee. 

Today I have to ask them how they want to pay, add the 5% for credit card payment, and then send it to them. Comprende?

Unfortunately, I think the people that have accepted that Intuit has no interest in improving something are going to win here.  Those of us patiently waiting (years) for a feature so many of us have requested, and most likely all of us would use, are going to end up being the losers.  As I've mentioned previously, Intuit has no interest in fixing bugs or improving something as long as its working good enough and people are still paying for it.  They've become such a big company that we're barely noise to them.  I've had them confirm bugs in their software and then tell me that unless more people complain about them, they arent interested in fixing them.  I've pointed these bugs out over the course of YEARS and I always get the same response. 

 

Until they feel the hurt from customers moving to another platform, what reason do they have to improve their software and services?  Theres no incentive.
