I invited contractors to add personal details, but they're getting a message that the link has expired. Quickbooks doesn't give me an option to resend. What do I do?

Let me share additional insights about the Send email or Send a reminder link, larceme.

Take note this option will only show if you haven't entered any personal information about the contractor. If you want your contractors to add their own 1099 tax details, you may need to deactivate them. Then, recreate their profile with the updated email address to resend the invite. You can follow the steps provided by my colleague, Angelyn_T to be guided in doing the process.

However, if you're still unable to view this option, I'd recommend performing some basic troubleshooting steps. There are times that the browser is full of frequently accessed page resources causing errors and missing interfaces in QuickBooks. You can start by accessing your account using a private browser. Here's how to open the window:

  • Google Chrome: Press Ctrl Shift N
  • Mozilla Firefox: Hold Ctrl Shift P
  • Microsoft Edge: Press Ctrl Shift P
  • Safari: Hold Command Shift N

If you're able to send the invite successfully, you'd want to go back to your regular browser and then clear its cache. This will delete the accumulated site data and improve your browsing experience. You can also use other compatible browsers to further isolate the issue.

Additionally, here are some articles I've attached to help you manage your contractors:

This doesn't work. I've tried everything in this article including activate/ deactivate and it doesn't work. Why in the world has someone not prioritized this to the programming team? I don't understand why there wouldn't always be a button there to have them fill out details and/ or complete a 1099. Also, in this thread, you point out "updated email." What if the email address hasn't changed but you are just trying to resend the link from your less than average online accounting software? That isn't a solution!

I contacted support and they were no help. They kept sending me links to these articles and finally waited me out on chat and disconnected the chat without a goodbye because they didn't have a solution. Super frustrating and I'll probably just end up switching to ADP.

Hi there, @brown3009.

I know it has been really frustrating for you and this issue may have impacted your workflow. We want to make sure the vendor will receive the invite successfully.

For this, have them open the invitation in a private browser. Unexpected issues in QuickBooks are sometimes affected by the amount of data stored in the cache. This is because a regular browser will constantly overwrite itself and will not remove history unless done manually.

Private browsing will not save any history, so it's a great place to identify issues in the browser. Use these keyboard shortcuts to launch a new private window:

  • Google Chrome: press Ctrl Shift N
  • Mozilla Firefox: press Ctrl Shift P
  • Safari: press Command Shift N

If it works, clear the cache to resolve browser issues in QBO. Using a different browser can also help.

If the same thing happens, you can send the invitation again. Here are the steps they need to do in their QBO account:

  1. Go to Payroll then Contractors.
  2. Select the contractor’s name.
  3. Tap Send a reminder or Send email

Creating a new contractor profile will also give you the option to generate a new invite. Here's how:

  1. In QuickBooks Online go to Payroll then Contractors the select Add a contractor.
  2. Enter the contractor’s name and email in the fields provided, then select Add contractor. We’ll send your contractor an email in real time. The contractor’s profile will save in both the Contractors tab and the Vendors tab.

For additional steps about how to add contractors, see How to set up contractors and track them for 1099s in QuickBooks.

If none of it works, we recommend contacting our Support Team to get this reported to our engineers. You can request a representative to create a case ID for you and have them escalate this problem to our Technical Team.

I know you already reached out to them, but only our live support can escalate this issue. To get a hold of a representative to check your account, follow these steps:

  1. Go to the Help menu then choose the Search tab.
  2. At the bottom click on Contact us.
  3. Enter the keyword Account Management and Billing in the What can we help you with? box.
  4. On the next screen, scroll down to How would you like to connect with us section.
  5. Choose Chat with us to initiate a discussion with a live agent.
  6. Enter you account contact information then press Get a chat.
  7. When using this option, make sure to enable pop-up windows. The chat box will appear at the bottom right section of your monitor, and an agent will be with you shortly after. See this:

Reach out to us during our operations hours. You will see it here: Support hours and type.

We appreciate your patience with this vendor invitation concern. Post here again if you have any questions about QuickBooks. I'll be right here to help you any time.

It sounds frustrating to encounter technical hiccups, especially when trying to gather essential information from contractors. Have you tried reaching out to Quickbooks support for assistance? Meanwhile, perhaps exploring alternative methods like direct email communication could bridge the gap while the link issue gets sorted. Also, if you're preparing for the NASCLA contractor exam in Florida, staying adaptable in problem-solving situations like this could be beneficial for the exam too.
