Problems after creating a new Invoice... Will not email, print preview or email. Tries to create thousands of pages in the invoice.

I've created partial invoices in the past based on an estimate and didn't have an issue. 

Now I create in invoice, it wont email, save or print. It just give me the thinking icon.  When I try and do a print preview of the invoice it shows that it's trying to prepare thousands of pages. It counts up to 30K and then goes back down, then repeats.

When the Print Later box is check when creating an invoice, the system automatically queues it for printing at a later time.

 

This reason why the system shows the number of invoices when previewing. However, I can help you control this function when previewing. Let me show you how:

 

  1. Go to the File menu and select Print Forms.
  2. Click Invoices and uncheck the invoices that you don't want to view when printing.
  3. Select OK.

 

You can also open each invoice and uncheck the Print Later box from there. Then, make sure that the same box is unchecked when creating invoices. This will prevent future transactions from showing when previewing.

You can also view the number of invoices that you've created in the Customer Center: Invoices section. Here's how:

 

  1. Go to the Customers menu and select Customer Center.
  2. In the Transactions section, click Invoices.

I went and cleared all the invoices and started over. Made sure the Print Later was uncheck, Made sure their wasn't anything in the print queue. I saved and tried to preview... Same issue... it starts to print preview multiple pages. So I shut the program down and start over.

 

The fix doesn't work. 

 

another note. I don't have any issue going back to an invoice I created prior and doing a print preview or emailing that invoice. 

 

I really don't care about printing. I'm just trying to email the client. Same issue, if I try and save it as a PDF.

I want to make sure you're able to email the invoice to your customer. There's a possibility that there's something wrong with your PDF. To better isolate the issue, let's run the Print Repair Tools from the QuickBooks Tools Hub.

 

Here's how:

  1. Download the QuickBooks Tool Hub. The name of the file is QuickBooksToolHub.exe.
  2. Open the file you downloaded and install
  3. Follow the on-screen instructions to complete the process. 

Once done, go to the Tool hub, then select Program Problems and run the QuickBooks PDF & Print Repair Tools. After that, let's try to email or save as a PDF the invoice in QBDT. 

 

If the same problem, I suggest rebooting your computer and reopen. Then reset the temp folder permissions by following steps listed below.

 

  1. Press Windows key + R, then enter %TEMP% and click Enter
  2. Choose Properties, then select the Security tab.
  3. Pick Full Control, then email or save the invoice again.

However, if the issue persists, confirm if you can print it to your XPS Document Writer because QBDT uses parts of the XPS to save as PDF and email. For the detailed steps about the process, visit this article: Troubleshoot PDF and Print problems with QuickBooks Desktop.

 

Once the invoice sent, you can always check the invoice status by hitting the See History hyperlink. It will show you the status, such as SentViewedPaid, or Deposited. For the complete instructions, check out this article: Verify that an invoice was emailed and read by the recipient.

So I've previously ran the tool and it didn't fix anything. However if you look at the screenshots it appears that files are missing.

Let's try to delete and recreate the invoice. This will also determine if the issue is going to persist going forward with invoices or if that one invoice is basically "broken." Here's how:

 

Delete

  1. Go to Customers, then pick Customer Center.
  2. Click the Transactions section and then Invoices to see the invoice list.

 

      3. Choose the invoice you're having issues with.

      4. Press the X icon above Delete to delete the invoice.

 

 

Recreate

  1. Go to Customers
  2. Select Create Invoices.
  3. Type in all of the same information that was from the previous invoice.
  4. Hit Save & Close or Save & New.

Afterward, try to print or email the invoice again.

 

Touch base with me after trying to delete and recreate the invoice. I want to make sure that we get this resolved as soon as possible. I'll be back around shortly.

I've deleted the invoice and tried to recreate it several times.  Doesn't change anything. 

This issue is only effecting newly created invoices. 

I can go back and print, preview estimates and old invoices.

Something I just noticed and tried. It's only doing it when I try to invoice this estimate. 

I'm doing a partial bill and this is my 3rd invoice I've created. the other 2 were fine. 

Could having an open balance on invoice 2 cause the issue with invoice 3?

Since you already perform the QuickBooks Tools Hub, let's check the default invoice template and possibly inactive other templates. You can consider this as as one of  reason, why you experience this issue.

 

To inactive your template in QuickBooks Desktop (QBDT). Here's how:

  1. Go to the Lists menu, select Template.
  2. Right-click the Template.
  3. Select Make Template Inactive.

As your reference, I've included our detailed guide about handling your templates.

 

However, if you’re still experiencing the issue, I’d recommend reaching out to our Customer Support Team. They have extra tools to look into this further. 

 

Here’s how you can reach them:

 

  1. Click the Gear icon at the top. 
  2. Select Contact Us.
  3. Provide brief information about your concern. 
  4. Click Continue. 
  5. Select Get a callback. 

Also, you can perform troubleshooting steps to resolve customizing issues in QuickBooks.

It's only doing it for this (1) estimate.... I'm not having an issue creating invoices with other estimates. 

 

Problem is, this (1) estimate is over 100k and I'd rather not delete and start over, as I don't know that would be the fix. 

 

Could the estimate be corrupted?

I've called in. They say it's being escalated with the IT team. They haven't a clue. 

 

Its not printer setting or a template setting. If it was, then it would affect all estimates and invoices. 

 

There is a bug or something corrupt in this particular estimate. 

 

It's only affecting this one estimate and trying to create a invoice. 

 

I'm probably going to have to try and recreate the estimate and go from there. However it still doesn't solve the issue.

Any solution to this problem? I'm having the same issue now. Not all invoices, but some try to print over 4000 pages. And this locks up my PC if I do a print preview....

Let's perform other troubleshooting steps to get your printing issue fixed and take you back to working order.

 

Before we start, have you tried all the troubleshooting steps shared by my colleague above? If you haven't yet, I suggest doing it so.

 

If you get the same result, let's rename the Qbprint.qbp file to resolve your printing issue. Here's how:

 

  1. Find the QbPrint.qbp file.
  • Windows 10, 8.1, 8, 7 and Vista: C:\ProgramData\Intuit\QuickBooks 20XX Note: 20XX represents the version of your QuickBooks
  • Server 2008 and Server 2012: C:\Program Data\Intuit\QuickBooks year and C:\Users\**remote user**\AppData\Roaming\Intuit\ YEAR VERSION\TSPrinterSettings

      2. Right-click the QBprint.qbp file for your QuickBooks version and select Rename.

      3. Add the word old to the file name. Example: QBPrint.qbp.old

      4. Open your QuickBooks Desktop.

      5. Go to the File menu, then select Printer Setup.

      6. Select an invoice transaction in the Form Name list and select OK. This will create a new QBprint.qbp file. 

 

Once done, try to open and print the invoice transactions. 

 

I'm adding this article for your reference: Rename the Qbprint.qbp file.

 

If the issue persists after renaming the QBPrint file, I'd highly recommend contacting our Phone Support Team. This way, they can investigate this matter further and create an investigation ticket if other users experiencing the same.

I'm  having the same problem.  This was the only invoice I did as a progress invoice.  I switched back to my regular invoice and I can print.  Something is wrong with the progress invoice.

Also, you'll want to ensure your QuickBooks Desktop (QBDT) software is updated to the latest release to have the latest features and fixes. Outdated software can lead to errors and inadequate performance. Let

  1. Go to the Help menu and select Update QuickBooks Desktop.
  2. Select  the Update Now tab. 
  3. Click Get Updates to start the download.
  4. When the download finishes, restart QuickBooks.
  5. Accept the option to install the new release when prompted.

With the # of people that had this same issue you would think there would be a solution. Is there, I finally figured out how to do the progress invoice but now can not get it to my customer.  Is there at lease a work around; maybe screen shot or some other way to save it?
