Bulk edit

I spent days trying to bulk edit existing products in QuickBooks Online, then the Customer Support confirmed that it is not an existing feature. All I can do is update the thousands of items' sales and purchase prices one by one. The import csv/xls function doesn't work, as it keeps giving me the error message that these items already exist.
It's such an essential feature. These data keep changing all the time. How can users deal with this issue? Profit and Loss reports will give a false result if these data can not be updated.
Am I missing something?

Hello there, @TimiAdler.

Currently, batch editing your existing products and services in QuickBooks Online (QBO) is unavailable. However, you can update their costs and prices by uploading a CSV file into the program. Make sure to tick the Overwrite all values for each product or service that you import with the identical name checkbox so you won't be prompted with an error message.

Here's a detailed step-by-step guide:

  1.  Go to the Gear icon and select Products and Service.
  2. Click the New dropdown, then Import.
  3. Select Browse to upload the CSV file, then click Next.
  4. Review the mapping of the column headers, and click Next.
  5. On the import stage, check the Overwrite all values for each product or service that you import with the identical name box.
  6. Click Import.

I'll share this reference for your guide: Import products and services into QuickBooks Online.

I understand the need for the bulk editing feature in QBO to streamline the process of updating your products and services. Please know that we listen to customer feedback to help enhance your QBO experience. That said, let me help you relay your valuable insight to our software engineers by clicking the Gear icon and selecting Feedback. This way, they can review your suggestion and may consider incorporating it in our future product updates.

Additionally, you can set price rules in QBO to control the prices of your items. By doing so, you can offer discounts or charge different rates based on which employee did the work.

Keep in touch if you have additional concerns about importing your products and services. The Community team is here to offer you a helping hand. Stay safe.

Hi JaeAnnC,

Oh my goodness, you saved the day!

I spent hours with several customer representatives on the phone, and no one knew there was an "Overwrite all values" option on the import page. It was not visible without scrolling to the bottom of 150 line items. I was advised to do it manually one by one...

You were super helpful! Huge thanks!

This only works if the product name is the same though. The only thing you can change is the price and then upload the csv again. I learned the very hard way.

It would be great if you could bulk edit the products and services. I tried the feedback button a couple of times in the past as well, however nothing happens when I click on the button. I must be honest there where much nicer features on the desktop system. It would be nice when you are in an expense or bill and you could click on the item and edit it from there as well

Editing products and services in bulk, as well as modifying transaction items, can greatly enhance efficiency, Dura. Let's collaborate to perform some troubleshooting to ensure we can send your feature request successfully.

I truly appreciate your efforts to provide feedback. Since the button is currently unresponsive, please try accessing your QuickBooks account via an incognito or a private window. This mode doesn't retain cache, so it's a good place to verify a webpage issue. Here are the keyboard shortcuts you can use:

  • For Firefox, press Ctrl + Shift + P
  • For Chrome, press Ctrl + Shift + N
  • For Safari, hold down Command + Shift + N

If it works, I recommend clearing your browser's cache to start fresh. Additionally, consider utilizing other supported browsers as an alternative to your regular one.

Moreover, QuickBooks Online and the Desktop version are different products, which is why there are variations in their features. Meanwhile, I encourage you to resend your suggestions to our Product Development Team. Your ideas are valuable to us and help improve our processes. I'll show you how:

  1. Go to the Gear icon at the top.
  2. Under the Profile column, select Feedback.
  3. Share your recommendation with the product, then click Next.

4. Pick your import method and hit Upload.

5. Locate the file on your computer or connect to Google Sheets for uploading, then select Next.

6. Map your data to QuickBooks fields, then choose Next.

7. Check the box for Overwrite all values for each product or service that you import with the identical name box and then click Import.

For more detailed information, visit this article: Import products and services into QuickBooks Online.

Additionally, you can explore third-party applications in QBO designed specifically for bulk editing and managing items.

Here's how:

1. Head to the Apps menu.

2. Open the Find apps tab.

3. Enter any keyword in the search field or use the Browse categories dropdown to discover different options.
