Question

Bulk edit

I spent days trying to bulk edit existing products in QuickBooks Online, then the Customer Support confirmed that it is not an existing feature. All I can do is update the thousands of items' sales and purchase prices one by one. The import csv/xls function doesn't work, as it keeps giving me the error message that these items already exist.
It's such an essential feature. These data keep changing all the time. How can users deal with this issue? Profit and Loss reports will give a false result if these data can not be updated.
Am I missing something?

Hello there, @TimiAdler.

Currently, batch editing your existing products and services in QuickBooks Online (QBO) is unavailable. However, you can update their costs and prices by uploading a CSV file into the program. Make sure to tick the Overwrite all values for each product or service that you import with the identical name checkbox so you won't be prompted with an error message.

Here's a detailed step-by-step guide:

  1.  Go to the Gear icon and select Products and Service.
  2. Click the New dropdown, then Import.
  3. Select Browse to upload the CSV file, then click Next.
  4. Review the mapping of the column headers, and click Next.
  5. On the import stage, check the Overwrite all values for each product or service that you import with the identical name box.
  6. Click Import.

I'll share this reference for your guide: Import products and services into QuickBooks Online.

I understand the need for the bulk editing feature in QBO to streamline the process of updating your products and services. Please know that we listen to customer feedback to help enhance your QBO experience. That said, let me help you relay your valuable insight to our software engineers by clicking the Gear icon and selecting Feedback. This way, they can review your suggestion and may consider incorporating it in our future product updates.

Additionally, you can set price rules in QBO to control the prices of your items. By doing so, you can offer discounts or charge different rates based on which employee did the work.

Keep in touch if you have additional concerns about importing your products and services. The Community team is here to offer you a helping hand. Stay safe.

Thanks for joining the thread, @harpef. It’s always great to connect with someone who’s actively working to streamline their QuickBooks Online (QBO) experience. Let’s dive into your question about batch editing products and services.

Currently, the option to bulk edit items in QBO is unavailable. As a workaround, you can import a CSV file to update your data. Let me guide you how.

1. Navigate to the Gear icon and select Import data.

2. From the Select record type dropdown, choose Products and Services.

3. Click Import.

4. Pick your import method and hit Upload.

5. Locate the file on your computer or connect to Google Sheets for uploading, then select Next.

6. Map your data to QuickBooks fields, then choose Next.

7. Check the box for Overwrite all values for each product or service that you import with the identical name box and then click Import.

For more detailed information, visit this article: Import products and services into QuickBooks Online.

Additionally, you can explore third-party applications in QBO designed specifically for bulk editing and managing items.

Here's how:

1. Head to the Apps menu.

2. Open the Find apps tab.

3. Enter any keyword in the search field or use the Browse categories dropdown to discover different options.

I recognize how batch-editing your products and services can simplify your business workflow. To help enhance your experience with QBO, I suggest sharing your input with us. This will go directly to our product development team for careful review and potential consideration.

To send feedback:

1. Go to the Gear icon and choose Feedback.

2. Enter your comments or suggestions.

3. Click Next to submit.

Thank you for participating in this thread, @CJ Consulting1. Managing a business requires significant responsibilities, and keeping organized records can greatly simplify the task. Don't worry, everything will work out fine. We're in this together and will overcome this challenge as we have with others.

The "Also update this account in historical transactions" option for overwriting details of existing items with the same name and category specifically applies to service and non-inventory items. This checkbox does not appear for inventory items because historical transactions for inventory automatically update when the account is changed.

I'd be happy to provide you with an image to visually demonstrate this feature.

Before making any changes, it is recommended to seek advice from an accounting professional or a QuickBooks expert to ensure that the method you choose adheres to your specific needs and complies with accounting standards.

I know how to do this on a product-by-product basis, with the screens you showed. But we want to do a bulk update, and actually, it's only for non-inventory items (there were just earlier comments from users with inventory items on this thread about bulk updates). What we do want is to do a bulk update by importing a CSV file, and in doing so, also the account in historical transactions. I don't see a checkbox for that on the import screen.
