You can use QuickBooks Online for payroll. Depending on your business' needs, you can either subscribe to QBO Premium, Core, or Elite Standalone Payroll

 

Also, you can export payroll data to QuickBooks Desktop. First, set up your Export Preferences:

  1. Click on the Gear icon.
  2. Select Payroll settings
  3. Hit the Pencil icon next to Export.
  4. Choose either QuickBooks Desktop for Windows: downloadable IIF (Intuit Interchange Format) file or QuickBooks Online and select Continue.
  5. If selecting QuickBooks Online, you may be prompted to log in to select the company. You will then be asked to select the company you want to export into.
    • You will then be prompted to select the accounts for each wage expense or liability
  6. If selecting QuickBooks Desktop for Windows, you will be asked to type in the name of each account you are exporting your liabilities and expenses to. We recommend that you have a copy of your QuickBooks chart of accounts handy for this. 

Once done, you can now export your payroll transactions:

  1. Click on the Gear icon.
  2. Select Payroll settings
  3. Hit the Export transactions tab.
  4. A screen will appear letting you know how many transactions and of which type are being exported
    • You may need to allow popups if you are using the QuickBooks Desktop for Windows option
  5. Hit Export.

What about desktop Mac can I strictly use online for payroll only and how do I do it.

Ensuring that you can process your payroll on your QuickBooks Desktop (QBDT) for Mac program is a great help so you'll be able to pay your employee correctly each payment period.

 

When processing payroll in your QBDT Mac, you can use the online payroll service that integrates with QuickBooks Online and supports Safari v3.1 and later.

 

Then, to give you in-depth details on how this is done, please reach out to our QuickBooks Payroll for Mac team. Here's how:

 

  1. Head to the QuickBooks support page.
  2. Select QuickBooks Desktop for Mac and then Continue.
  3. Click the Search for something else button and enter a brief description of your concern in the box. Example: Use Online Payroll only in QuickBooks Desktop for Mac.
  4. Once done, click Search
  5. Select Start a Message

My client has an issue that I'm hoping someone that actually knows what they are doing can assist with.  We have already called and dealt with the CARE center a couple of times without satisfaction.

Up front details:

Client uses QBO

Client uses QBO Payroll (recently transitioned from Intuit Payroll)

All employees utilize Direct Deposit for net pay

Client has a bookkeeper with all access, except Payroll, in the QBO data file

This user therefore has access to bank feed, general ledger reports, etc.

Client does not want the bookkeeper to be able to see this detail for other employees.

 

Issue:

Client runs payroll within QBO data file and processes

Detail, including name, and gross wage information hits the Wages expense account

Name, net pay amount, comes through the bank feed as a separate check for each employee

The client wants the gross wages for the bulk of employees to flow to the GL as one large number

The client wants the NET Pay (aggregate for all employees) to be disbursed from the bank account as one amount. (this was the way it occurred when using Intuit Payroll).

No matter how we try to adjust the setup, the result is the individual checks going through instead of one amount for both GL and bank disbursement.

Can anyone out there assist?  Client has already had to delete two payroll runs and he wants to pay his employees this month.

Hi there, @tcalabrese4458. I'd like to share some insights on your concerns shared above. 

 

If the bookkeeper was invited through the Accounting firms tab of the Manage users page, then they'll have access to all the features available in your QBO version. The option to limit their access rights is unavailable in this situation. That means they can see the details for other employees as well. 

 

To manage accountant users in QuickBooks Online, you can click here.

 

Since you need to limit their access, you can add them as one of the users. This way, you manage what they can and cannot do within your company file. That said, I suggest you open this article for reference about user roles and access rights in QuickBooks Online. Every available user role in QBO is listed, along with a short description.

 

When you create paychecks for each employee or profile, a separate check will be displayed. With regards to banking, these transactions are considered distinct ones because they belong to different employee accounts. That's why the result is an individual check, not the bulk amount.

Thank you JamaicaA for your response. However, we have already set up the bookkeeper as a limited standard user, not an accountant user. She has no access to the Payroll features, but she does have access to the bank account as she enters AR/AP, receives on account and pays bills. She can see what is coming through the Bank Feed as well as GL reports. In Intuit Payroll, although the paychecks were entered for each individual, when the disbursement came through the bank, it came as only one figure, to cover ALL net pay checks (as they were all direct deposit). There should be no reason to disburse each one of the paychecks separately unless they were receiving a manual check. This is what we are trying to figure out. Is there a setting we're missing?? No one seems to know.

JamiacaA, thank you for your response. However, we have set up the bookkeeper as Limited Standard user already. She has no access to payroll features but does have access to bank accounts and bank feed details, along with GL reporting. She has to have this as she works in AR/AP, receiving payments and making payments. The question lies in the set up for payroll. What wouldn't the bank disbursement for NET PAY come out as just one disbursement in the aggregate since all are Direct Deposit and not individual manual checks. There must be some way to set it up this way in the system. I work with many payroll companies that offer a single disbursement for Net Pay, one for Payroll Tax, and one for payroll services. There must (or should) be an option to have QBO payroll disbursed in the same manner. Intuit Payroll was reflected as one disbursement for Net Pay out of the checking account. Are we missing a setting somewhere or is the option simply not available??

I'd like to join the conversation and share details about downloading banking transactions, tcalabrese4458.

 

For now, there's no setting in QBO that would consolidated all net pay when downloading bank transactions. This is because they have they're own names assigned to them and can't reflected as one disbursement.

 

Aside from that, we also depends on the data that we receive from your bank. You'll wan to reach out to your financial institution and check if they can find a way to send them as one lump sum transaction.

 

Our engineers would like to hear your feedback about this. You can send feature request or product feedback directly from your QBO account. Here's how:

 

  1. Go to the Gear icon and select Feedback.
  2. Type in your feedback and suggestions about the advertisements in QBO. 
  3. Click Next to submit them.

I do not have an export option under my payroll settings. How would I continue to export my payroll data to upload it to QBD?

Since it didn't, could you please share a screenshot to assess the situation better! Also, could you share which Payroll Service you are using?

It's extremely frustrating that the cost and features of Quickbooks Online Payroll are not also available for Quickbooks Desktop.  

 

I have a client that has asked me to move their company from Quickbooks Online to Quickbooks Enterprise Desktop.  They need to move to Enterprise Desktop because Quickbooks online does not have sufficient inventory features for their business.  BUT, they are very happy with QB online payroll, which has far better service than Desktop Assisted Payroll.

 

Why can't Intuit simply match its Payroll Service costs and features between Online and Desktop???

QuickBooks Desktop (QBDT) and QuickBooks Online (QBO) are two different programs. In terms of managing payroll, they have dedicated services that you can use. For more information, feel free to visit these articles:

 

 

Your client can still use the online payroll service to manage their employees and taxes and then, export the data to their QBDT program later. To do so, they can follow the steps outlined by my colleague, Mich_S.

I followed the instructions as on the community page but when I click QB IIF where does it go because I don't see it on my QBD?
