Hi there all you nonprofit QBO Plus users.... I am new to QB and have a question about the Chart of Accounts. I understood that when you set the organization to nonprofit and the tax form to 990, that the Chart of Accounts would change to use terms like Income instead of Revenue for the Type. Mine hasn't.
Suggestions? Thanks.
Let's get this sorted out, DD_O.
Yes, the changes on the Company type (Tax form and Industry) in the Account and Settings should also reflect on your Chart of Accounts and reports. Note that the changes will affect the system generated options, reports, or accounts.
You can use this link for reference: Configure an account for a nonprofit organization.
The effects are not instant as QuickBooks Online needs to refresh the interface. I'd recommend Signing out and signing back in to your account. Then, you can review the accounts and reports. We can also do browser troubleshooting steps if necessary.
Aside from that, you can also edit the names on the Chart of Accounts manually. You can also use this article for additional information: Manage default and special accounts in your chart of accounts.
Let us know how this goes so we can also review it, too. We'll be right here to further assist you.
Thanks for your reply. It's the same whether I'm in Google Chrome, in Google Chrome on an incognito tab, or in Edge.
Using the Setting for nonprofit 990 tax form under Company Type, the Reports change to those of Nonprofits, but the Chart of Accounts still says Revenue and Expenditure for account type. If I change the Company Type to Not sure/Other/None, then the Chart of Accounts changes to Income and Expenses but the Reports are not right for nonprofits.
In the sample Chart of Accounts QB provides to nonprofits for importing, the account types are set to Income and Expenses. Can't I get that to be what's in QBO Plus when I set Company Type to Nonprofit Organization (Form 990)?
Is this a glitch? or am I misunderstanding something?
Thanks for getting back to us and for following the steps given above, @DD_O.
You're correct. The account type in the Chart of Accounts will be Revenue and Expenditure after configuring the settings to non-profit. As of the moment, we're unable to change it to Income and Expenses. We can only manually edit their account names based on your business needs.
There are some labels that we cannot change at this time such as the Profit and Loss tile on your dashboard. More info about this can be found in this link.
Meanwhile, I recommend visiting our blog for the latest QuickBooks news and updates. All recent details are laid down there so you can check it from time to time. Here's a direct link to access it: https://quickbooks.intuit.com/blog/.
Also, after you configure your account, you may start tracking all donations to your organization to sort them in QuickBooks Online. Please refer to Steps 2 to 5 of this resource for the details on how: How to track donations.

Both of these "answers" literally do not answer the question. I know because I have the same one. In short what I see by the response is there is no chart of accounts "pre programed" specifically for non-profits, and that you have to enter things manually. IF this is the case, what is the point of purchasing the "Non-profit edition" if the chart of accounts is the same as small business? If I knew what accounts I needed, I wouldn't need QB....
I have the exact same problem. I called QBO customer service twice already and they are ill-prepared to answer my questions. Not sure who to call for help. This is getting frustrating.
This is not the impression we want you to experience, ROHI GLOBAL.
Here at Intuit, it's our priority to ensure a great customer service experience. We hope that in providing you with excellent support that you will feel so good about the product that you would want to recommend QuickBooks Online (QBO) to a family or friend. This isn't the kind of service I want you to experience when reaching out to us. I'll take note of your feedback when reaching out to us so it properly addresses our management team.
The changes on the Company type (Tax form and Industry) in the Account and Settings should also reflect on your Chart of Accounts and reports. The changes will affect the system-generated options, reports, or accounts. To learn more about this one, see the Configure an account for a nonprofit organization article. Also, the account type in the Chart of Accounts will be Revenue and Expenditure after configuring the settings to non-profit. Though the effects are not instant, we'll need to refresh QBO. I'd recommend signing out and signing back into your account. Then, review the accounts and reports. Aside from that, we can also edit the names on the Chart of Accounts manually. See the Manage default and special accounts in your chart of accounts article for more details.
If the same thing happens, let's try signing in to your account using a private or incognito window. This mode doesn't use the existing cache data and helps us confirm browser-related issues. Here's how:
If it works, go back to your regular browser and clear the cache to delete those temporarily stored files and browsing history. The overtime collection of data can create corruption, however, removing this should fix the issue. You can also use supported, up-to-date browsers to roll out the possibility of a browser-related issue.
Feel free to visit our Account management page for more insights about managing your Intuit Account.
I'd like to know how you get on after trying the steps as I want to ensure this is resolved for you. Just reply to this post and I'll get back to you. Take care always.
Install the trial license of QB Desktop Enterprise and make sure to set as Non Profit. You will find the standard COA for Non Profit as for your reference.
Tried all of that. Even after configuring the settings to Nonprofit (Form 990), no change. It still shows retained earnings. When I try to make it invalid, says I cannot make it invalid as you can see in the attached image. Does not let me create net assets. SOO frustrating. I am starting to think I am better off with a different platform altogether.
Consider switching to QBD Premier and purchase the license thru TechSoup to get the special price for Non Profit, if you are eligible. Deploy a private cloud to access you data by internet connection, if required.
Literally you are saying what everyone is complaining about. Changing the org to a 990 absolutely does not change the chart of accounts which is how Intuit portrays it. You have to enter and change all the account names to non-profit names. Why don't you just be honest?
What is the suggested chart of accounts listing for non-profits? I, too, was hoping that by changing the organization type in settings to 990 that some INCOME/REVENUE account wold change to a label like DONATIONS and CUSTOMERS might change to DONORS.
Hi, @SharedBlessings.
Thanks for joining us here today. I'll share some insight about the non-profit accounts. In QuickBooks, you'll want to make sure you've selected the account type to non-profit for tax form purposes. About the chart of account names, you may want to edit them to your preference.
As with the label, you can go to the account settings to do so. Let me guide you how.
You can check this guide for details: Configure an account for a nonprofit organization.
Also, one of our Allstar @qbteachmt have shared information about the chart of accounts for non-profit. You might want to check out the post: QB Online Chart of Accounts for Nonprofit - establishing funds, subaccounts, class and subclass.
For editing the account name, just go to Chart of Accounts and then Edit account.
I've also added this link for additional reference about fund tracking and reports for non-profit: Fund Accounting for non-profits.
I'll be right here if you have follow-up questions or concerns with the non-profit account. Don't hesitate to reply. Take care and have a good one.
In the Self-Paced training, a URL was provided for a Unified Chart of Accounts but the URL does not work. I've searched for this topic in various QB/Intuit resources but cannot locate a sample UCOA. Can you direct me to this item?
Hi there, JaneEC.
Can you share the Self-Paced training where you can see the URL? With this, I'll also check if this will work or not on my end.
On the other hand, I can provide the sample Chart of Accounts for Nonprofit organizations. See the attached screenshot below for your visual reference.
Your nonprofit might have different types of revenue and expenses or own different assets that will alter your chart of accounts. Use the list above as a guideline, and think carefully before you finalize your account numbers.
I'll be sharing with your some articles that will guide you on how to manage an account for a nonprofit organization. Feel free to read the topics here:
I'm confident that the lists of statements I've shared above can help you get started with the Chart of Accounts. Get back to me if there are other things you want to clarify when setting up the loan in QuickBooks. I'll be right here to help you. Take care and have a great day ahead!

We are a nonprofit organization and specified the fact in the account setting by using QuickBooks Online Advance. We are having a problem of creating Net Asset accounts in our Chart of Accounts section. Both IRS form 990 and GAAP financial statements require Net Assets with and without donor restrictions to be separately reported. However, the current QuickBooks Online Advanced does not seem to allow to set up the 2 categories of Net Assets in the Statement of Activities and the Statement of Financial Position. I would appreciate any help on this issue.
Hi russage,
Thank you for taking the time to post about creating Net Asset accounts and classifying them as restricted or unrestricted. While this isn't a feature in QBO, I encourage you to submit feedback to our engineers. That way, they'll know that you need such an option in your financial reports and they can consider adding it in future updates.
I'm also sharing this article as your additional reference: Fund Accounting for non-profits.
