How do i change a contractor to an employee

Changing your contactor into an employee is an easy step, @karrington.

 

You'll want to deactivate the contractor first before the transition to an employee. Here's how:

 

  1. Sign in to your QuickBooks Online (QBO) account.
  2. Click Payroll from the left menu, then select Contractors.
  3. Find and select the contractor you want to change.
  4. Under the name of the contractor, click the drop-down beside Active and choose Mark as inactive.
  5. Then, add him/her as an employee in QBO.

I changed contractor to employee using these methods, however, QuickBooks Time still has him as a contractor and my payroll will not track his hours.

I tried to do this but I cannot add the person as an employee because it says I already have an employee or vendor with the same name.  I tried changing the middle initial so it would be different, but got the same message.

Thank you for bringing this to my attention. I understand that you encountered an error when trying to change a contractor to an employee. I replicated your concern and I'm here to share some fix, @CEvans0416

 

I was able to add the employee successfully after inactivating the contractor record. This seems to resolve the problem of having a duplicate name error. However, it's possible that the problem is specific to your browser.

 

To further troubleshoot this issue, I recommend following steps by signing in to your QuickBooks Online (QBO) account using a private or incognito window. This mode doesn't use the existing cache data and helps us confirm browser-related issues. Here's how:

 

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Option + P

 

If it works, go back to your regular browser and clear the cache to delete those temporarily stored files and browsing history. The overtime collection of data can create corruption, however, removing this should fix the issue. You can also use other supported, up-to-date browsers to roll out the possibility of a browser-related issue.

@AbegailS_, Thank you for your help. I tried your solution, but finally had to add a period at the end of the employee's first name to get it to let me add him. But at least that worked. Thanks again.
