Let me help you change to an existing invoice template, queencitypi.
We can edit the invoice template on the Custom Form Styles page and make some changes. Here's how:
Here's an article you can refer to for more details about customizing invoices, estimates, and sales receipts in QuickBooks Online. QuickBooks uses the first custom template you create as your default for invoices, sales receipts, and estimates. To change the default custom template, just follow the steps below:
Feel free to visit our Invoices and payments page for more insights about managing your sales transactions.
I'll be right here to continue helping if you have any other concerns or questions about QuickBooks. Assistance is just a post away. Take care always.
the template I currently use is not in the "custom form styles" category. It's a template I made a couple years ago that I need to update. At the time I was creating that template, I had access to edit it, but that's not the case anymore. How do I edit something I'm currently using rather than starting over completely? The thing I want to change about the invoice template is that some of the text is gray and some is black. I'd like it all to be black.
Hello, queencitypi.
I appreciate taking the time to reply to us. I'd like to take over and help you edit your template.
Was the template made using the Import Styles feature (through a .docx file)? If this is the case, we're unable to edit the template format directly in QuickBooks. The program only keeps a PDF version of the file.
One way to edit your template is to find the original .docx file and edit the texts to a uniform black. Then, re-upload it in QuickBooks.
Take note that we've removed the Import Styles feature sometime ago. Although if you have enabled this before, you can still upload and use the .docx files for your invoices.
If you've disabled the feature, you might not be able to see the template on the Custom form styles page anymore.
Other details about the Import Styles feature (including the update) can be found here: Import custom form styles for invoices or estimates.
However if this template is made using a third-party app, I would recommend contacting the app's support channels. Their agents will guide you on how to edit your template.
After editing your template, do you need help categorizing your bank transactions? This article will definitely guide you: Categorize and match online bank transactions in QuickBooks Online.
If you'd like to edit the preset templates or customize other forms, please let me know what you need to do.
Do you have any concerns on other features? Add them to your reply and I'll ensure your needs are taken care of.
The template was not created using imported docx. The template was not created using a 3rd party app. It was created inside of QB, as a modified version of one of the already available QB templates.
"If you've disabled the feature, you might not be able to see the template on the Custom form styles page anymore." I'm not sure which feature I would have disabled, which feature you're talking about. But I haven't disabled any features on QB.
All I want to do is get everything to print in black rather than part black part gray.
I want to ensure this will be taken care of, @queencitypi.
In QuickBooks Online (QBO), when choosing black as the color for the template theme, the header line of the table will appear gray. This is because the color of the main text (amount, date, etc.) will also become black. This way, the titles are still visible. Please refer to the screenshot for reference:
In the meantime, you'll want to design and upload custom form styles for your invoices.
Also, to request the addition of a new option when applying colors to your invoice template, I'd recommend submitting feedback to our product engineers. Rest assured that they are bound to enhance the software's capacity to meet your business needs. Here's how:
To monitor and track the submitted feedback, I'd recommend visiting our QuickBooks Online Feature Requests website. From there, you can also add a vote to another product request that you think will be a big help in optimizing your QBO navigation.

Add a reply below if you have any other concerns about customizing your invoice templates. I got your back. Keep safe always.
I want to raise the header on our invoice template so it will fit our check envelopes. How do I do that?
It's nice to see you here in the Community, @JaneS72.
Customizing the appearance and layout of sales forms is a simple yet effective way to enhance your business communications. Currently, raising the header on the invoice template isn't available in QuickBooks Online. In the meantime, I recommend sending your suggestions and feedback about this feature to our Product Development Team. This way, they'll be able to add this feature for future product enhancements. Here's how:
We can track the progress of our feature request by visiting our Feedback forum page.
Moreover, I have a workaround on adjusting your invoice template to fit in your check envelopes, JaneS72. Please follow the steps below:
6. Toggle your Widths to adjust the Labels.
7. Click Done to reflect the changes.

How do i remove the shipping option for the invoice template without it affecting my other form style.
I have no need for the shipping details to be on my tax invoices and i want to remove it to have more spaces in my invoice.
However doing so, affects my delivery order, as the shipping address is gone when i want to print them out.
is there any ways around this?
Allow me to join you here and help with your question about invoice templates, Avon2.
The Shipping details are applied to all sales forms including delivery orders and packing slip. Because of this, removing it from the invoice template also affects your delivery order.
You'll want to use a third-party app that can help you personalize your invoices even more. QuickBooks has partnered with a number of apps offering a variety of services including templates.
Here's how to find them:
After that, it will give you a list of apps that you can choose from. Just click on each app to get more details of the features and services that they're offering.
I also recommend sending feedback about being able to remove shipping without affecting other forms. It will be forwarded to our engineers and will be reviewed for future updates.

Where is the gear icon? I do not see it on my QB page.
Hi there, @mdrode.
Thank you for reaching out again. The Gear icon in QuickBooks Online is an important navigation tool and should be visible. The Gear icon is usually located in the upper right corner of your QuickBooks Online interface. It looks like a small cogwheel located on the top-right part of the page.
If you're not able to see the gear icon, I can guide you on troubleshooting your browser to ensure it runs with QuickBooks efficiently. Let's start with accessing QuickBooks Online using incognito mode or a private window. Here are the shortcut keys to go private mode in a browser:
For Google Chrome / Microsoft Edge / Opera:
For Firefox:
For Safari:
If this works, you can proceed to clear your browser's cache and cookies to clear temporary files running in your browser that have caused the malfunctions. Otherwise, you can also use other supported browsers to ensure it runs QBO efficiently.
Additionally, you can also learn how to edit your company settings in QuickBooks Online to personalize how QBO works the way you want it to.
If you have any additional questions besides locating the gear icon, please don’t hesitate to reach out again. We're here to help ensure your QuickBooks Online experience is smooth and efficient.
