Add, customize, or remove logos on sales forms

A well-designed logo on your sales forms helps establish your brand identity. You can upload, edit, or delete logos on invoices, estimates, and sales receipts in QuickBooks Online.

Note: This feature is limited for QuickBooks Online Free and QuickBooks Online Lite. Upgrade your plan to get more features. Go to Settings Settings gear icon., then Subscriptions and billing. Then select Upgrade your plan.

Image requirements

To ensure your logo displays correctly, use an image file that meets the following criteria:

  • Format: .gif, .bmp, .jpg, .jpe, or .jpeg
  • Size: Smaller than 10 MB
  • Color depth: 24-bits or less
  • Shape: Square (rectangles may not display correctly)
  • Color space: RGB (you must convert CMYK images to RGB using a tool like Adobe Photoshop before uploading)

You can upload up to 10 distinct logos to use across different sales forms.

  1. Go to Settings âš™, then select Custom form styles.
  2. Select New style and choose the appropriate form type. Note: To add a logo to an existing template, locate the form in the list and select Edit under the Action column.
  3. Select the Design tab.
  4. Select Add your unique logo.
  5. Select the Add a logo + box.
  6. Locate and select your image file.
  7. Select Open.
  8. Select Done to save your changes.

Customize a logo

Once uploaded, you can adjust the placement and size of your logo on the form.

  1. Go to Settings âš™, then select Custom form styles.
  2. Locate the form style you want to edit and select Edit.
  3. Select the Design tab, then select Make logo edits.
  4. Choose a placement option: Left, Center, or Right.
  5. Adjust the size: Small, Medium, or Large.
  6. Select Done.

Remove a logo

If you no longer want a logo on a specific form, you can hide it without deleting the file.

  1. Go to Settings âš™, then select Custom form styles.
  2. Locate the form style you want to update and select Edit.
  3. Select the Design tab, then select Make logo edits.
  4. Select Hide logo.
  5. Select Done.

Add business details with your logo (Plus customers only)

QuickBooks Online Plus users can use the Track locations feature to display specific business details (like addresses) alongside a logo on sales forms.

Step 1: Turn on location tracking

  1. Go to Settings âš™, then select Account and settings.
  2. Select Advanced.
  3. In the Categories section, select the pencil icon.
  4. Select the Track locations checkbox.
  5. Select Save, then Done.

Step 2: Create location categories

  1. Go to Settings âš™, then select All lists.
  2. Select Locations.
  3. Select New.
  4. Enter the location name and select the appropriate checkboxes for the info you want to display.
  5. Select Save.

Step 3: Apply location to a sales form

  1. Select + Create.
  2. Choose Invoice, Estimate, or Sales receipt.
  3. Complete the form details.
  4. From the Location dropdown, select the appropriate location.
  5. Select Customize at the bottom of the page and choose your template.
  6. Select Save.

Tip: Select Print or Preview to check how the form looks.

Troubleshooting errors

Fix logo upload errors

If you cannot upload your logo, the file format or name may be incompatible.

Error: "We removed your logo because of a problem"

  1. Open your logo file in an image editor (such as Microsoft Paint on Windows or Preview on Mac).
  2. Select File, then Save As.
  3. Choose .jpg as the file type.
  4. Rename the file with a new name.
  5. Select Save.
  6. Try uploading the new file again. If the error persists and you are sure your file meets all requirements, contact support for further troubleshooting.

Fix logo display errors

If your logo looks distorted, blurry, or has incorrect colors after uploading, the file settings may need adjustment.

  1. Open your original logo file in an image editor.
  2. Check the color depth and format settings.
  3. Adjust the settings to standard RGB color space if necessary.
  4. Select Save As to create a new copy of the file.
    Important: Don't overwrite the original file; always save a new version to preserve your source image.
