How to email or print multiple statements at one time?

You're most welcome for the response! I'm glad to hear that you found it helpful. 

 

Just to clarify, are you referring to selecting a preference of delivery method for a customer's statement, such as whether they receive an email or paper? QuickBooks Online doesn't currently have an option for selecting a preferred choice between paper and email for statements. 

 

If the primary concern is users that don't utilize an email account and wanting to ensure that they get a paper copy, one workaround is to utilize a feature within the Statement Generator. Here's how:

 

  • When you select customers to send a statement to, and click Save and send, it will display the accounts that don't have an email address. 
  • By selecting Statements available, the customers lacking an email address will be at the top. 
  • This page can be used to select the customers that are going to receive an emailed copy, and then return to select the customers to print a statement for. 

I'm including a video to show this process:

 

 

This method would allow you to quickly distinguish between paper and email statements for your customers. As an added benefit, it could also save you some time each month.

 

The ability to determine whether a user receives an email or a printed statement is a feature that I can see as being helpful to you and others. I'm going to submit feedback from my side, which is sent to the Development Team when considering features to introduce in software updates. QuickBooks Online is constantly evolving and improving thanks in large part to the ideas provided by users, like yourself.

Thanks for joining the Community. I'd be delighted to help you email or print multiple statements at one time. 

 

QuickBooks Online offers the ability to batch email or print statements in the Customer Center. You can accomplish this with the following steps:

 

  1. Select Sales on the left navigation menu.
  2. Click Customers at the top of the page. 
  3. Place a checkmark in the box next to the customer names that you need to generate a statement for. 
  4. Select Batch actions at the top of the page and click Create Statements
  5. Specify the Statement Type in the drop-down and the Dates
  6. Select Print or Preview for printing or Save and send to email the statements to your customers.

Thanks for you helpful and quick response!  Is there a way to automatically choose which customers will receive email or paper? I have a lot of customers and it would save time not having to check each customer every month.  Thanks again and Happy Thanksgiving to you!

How do you not lose your selection if you have a lot of customers and need to go onto the next page?  As in quickbooks you can only see 300 lines per page?

I'm not sure if I am at the right place, but my boss does not want to email statements. I cannot seem to find a way to change it so I can print and mail.

How to email or print multiple statements at one time?

I'd like to share a way on how you can print and mail the statement, Diesel Power. 
 

When you print and mail the statement, you can change it by following the steps and screenshots below. Make sure to select the Save and Close dropdown button.


1. Open the Statements screen. 

2. At the bottom-middle screen, click on Print or preview and then Save and Close. 

 

 

 

If the same thing happens, try logging into your QuickBooks Online account using a private browser. There are times that the browser is full of frequently accessed page resources, causing some unusual behavior.

 

Here are the keyboard shortcuts to open a private browser:

 

  • Google Chrome: press Ctrl Shift N
  • Mozilla Firefox: press Ctrl Shift P
  • Microsoft Edge: press Ctrl Shift P
  • Safari: press Command Shift +N

 

If it works, return to your default browser and perform a clear cache. Stored data affects the browsing performance and may require you to perform the clearing process.
