does e-filing 1099s send copies to recipients?

hi Quickbooks community!

I just did my 1099's in QuickBooks online for the first time. In the past I was on QuickBooks for Desktop (Mac) and would import data into Tax1099. The system gave me confirmation that the 1099's have been e-filed, but I want to confirm that the recipients will receive their copies. Does QuickBooks mail the recipients copies? I don't have contractors' emails in the system.

thank you,

Liza

does e-filing 1099s send copies to recipients?

Warm welcome, Liza. Let me share information on how e-filing 1099 works and whether your contractors will receive copies in QuickBooks Online.

If you use our 1099 e-file service by January 28, the 1099 forms will be mailed to your contractors to the addresses indicated in the contractor's profile by January 31. The forms will still be delivered even if you don't have the contractor's email.

For more detailed information, check out this article: Year-end checklist for QuickBooks Online Payroll.

You can also print a copy of your 1099, depending on whether you're e-filed or not. Meanwhile, if you want to look closely at your business's finances, you can run a payroll report. It will provide a detailed summary of your company's payroll expenses, including employee salaries, bonuses, taxes, and other related costs.

Click the reply button below if you need more information on whether your contractors will receive their copies. I'm always here to back you up.

does e-filing 1099s send copies to recipients?

Unfortunately, it doesn't state that the 1099s will be mailed to the contractor until you check out and choose view submitted 1099s. In the past, the QB system stated that copies would be mailed during the purchase process. Maybe QuickBooks needs to state that they will be mailed in the boxes during the check-out process.

What if you e-filed after January 28th?

Does recipient's copy still mailed?

Thanks for joining the thread, @Fsusa. We'll share clarifications about e-filing 1099s inside QuickBooks Online (QBO Payroll.

Before anything else, please know we recognize the importance of this matter and want to ensure we're providing you with the details you need. Although 1099s are due to the IRS and your contractors by January 31, please know it's best to e-file it before January 28 at 5:00 PM PT. Doing this will ensure that your 1099s can be postmarked to your contractors by January 31. For more details, feel free to visit this page: Create and file 1099s with QuickBooks Online.

If the recipient's copy still hasn't been received, we recommend contacting our Customer Care Team. This way, they can check here on our end and determine why it hasn't been received. Refer to this article for more details: Contact Payroll Support.

does e-filing 1099s send copies to recipients?

I E-filed our 1099s on February 8th.  Does QBO still mail paper copies?  How soon do they go out and is it by 1st class USPS?  I have one recipient saying they cannot get the Intuit 1099 to open.

Thanks

does e-filing 1099s send copies to recipients?

Hello, @Fernborough. I appreciate you joining the thread.

I can share information if QuickBooks Online (QBO) still sends physical mailed copies of the 1099s for submission made on February 8. I'm also here to help resolve why your contractor can't access their account to view their 1099.

Yes, your recipients will still receive physical copies of their 1099s if you e-filed using QBO even after the January 28 deadline. However, please know that there's no guarantee that it will be received on time.

Your recipients should receive the physical copy of the 1099 within 7-10 business days from its postmarked date. If your recipients aren't able to receive the physical copies within this timeframe, I recommend contacting our Payroll Support for assistance. You can also inquire to them about the specific USPS service that QBO uses.

If it was your contractor who filled out their W9, they can access their account using the same email address. Can I ask if there's any specific error your contractor received while accessing their account? For now, you can consider asking them to use an incognito or other supported browsers and ensuring that they use the same email address.

When you're ready to close your previous fiscal year and prepare for the new one, let me add this article as a reference: Year-end guide for QuickBooks Online.

We'll be here in the Community if you have further questions or updates about your e-filed 1099s. We're committed to offering ongoing support. Take care.

Hello - I filed mine in February a little late through Quickbooks E-file service. Will recipients still receive the form in the mail?

Thank you for following up on this thread, debc5.

I know how vital it is for your contractors to receive their 1099s. Let me provide some insights on how we handle the tax forms.

As previously mentioned by my colleague @AlverMarkT, the recipients will receive physical copies of their 1099s. Also, we may email or mail a printed copy to your contractors.

Check out this article for more details: Create and file 1099s with QuickBooks Online. It includes answers to frequently asked questions about the tax form.

Also, contractors will be emailed once the IRS accepts the 1099s, informing them that their 1099 is now available for viewing. Let me share the steps on how they can access the forms:

  1. Sign in to QuickBooks Self-Employed.
  2. Go to the Clients menu.
  3. Select the Forms tab.
  4. Check out the forms from there.

Explore this link to gain valuable insights about the process: Fill out a W-9 and view your 1099-MISC in QuickBooks Self-Employed

Aside from that, you can furnish a printed copy of your contractors' tax forms. Simply follow these steps to accomplish this task:

  1. On your QuickBooks Online account, go to the Taxes menu.
  2. Choose 1099 filings.
  3. Select View 1099 to view a PDF copy.

Moreover, these resources cover a wide range of topics that will help users submit a correction for their filed 1099s, details about supported payments, and solutions for managing missing payments from contractors in the form. Browse through each article for the complete details:

Stay in touch if you have additional questions about your 1099 or concerns about the product. I'll get back to help you the best that I can, debc5. Enjoy your weekend.
