hi Quickbooks community!
I just did my 1099's in QuickBooks online for the first time. In the past I was on QuickBooks for Desktop (Mac) and would import data into Tax1099. The system gave me confirmation that the 1099's have been e-filed, but I want to confirm that the recipients will receive their copies. Does QuickBooks mail the recipients copies? I don't have contractors' emails in the system.
thank you,
Liza

Warm welcome, Liza. Let me share information on how e-filing 1099 works and whether your contractors will receive copies in QuickBooks Online.
If you use our 1099 e-file service by January 28, the 1099 forms will be mailed to your contractors to the addresses indicated in the contractor's profile by January 31. The forms will still be delivered even if you don't have the contractor's email.
For more detailed information, check out this article: Year-end checklist for QuickBooks Online Payroll.
You can also print a copy of your 1099, depending on whether you're e-filed or not. Meanwhile, if you want to look closely at your business's finances, you can run a payroll report. It will provide a detailed summary of your company's payroll expenses, including employee salaries, bonuses, taxes, and other related costs.

Unfortunately, it doesn't state that the 1099s will be mailed to the contractor until you check out and choose view submitted 1099s. In the past, the QB system stated that copies would be mailed during the purchase process. Maybe QuickBooks needs to state that they will be mailed in the boxes during the check-out process.
What if you e-filed after January 28th?
Does recipient's copy still mailed?

I E-filed our 1099s on February 8th. Does QBO still mail paper copies? How soon do they go out and is it by 1st class USPS? I have one recipient saying they cannot get the Intuit 1099 to open.
Thanks
Hello, @Fernborough. I appreciate you joining the thread.
I can share information if QuickBooks Online (QBO) still sends physical mailed copies of the 1099s for submission made on February 8. I'm also here to help resolve why your contractor can't access their account to view their 1099.
Yes, your recipients will still receive physical copies of their 1099s if you e-filed using QBO even after the January 28 deadline. However, please know that there's no guarantee that it will be received on time.
Your recipients should receive the physical copy of the 1099 within 7-10 business days from its postmarked date. If your recipients aren't able to receive the physical copies within this timeframe, I recommend contacting our Payroll Support for assistance. You can also inquire to them about the specific USPS service that QBO uses.
If it was your contractor who filled out their W9, they can access their account using the same email address. Can I ask if there's any specific error your contractor received while accessing their account? For now, you can consider asking them to use an incognito or other supported browsers and ensuring that they use the same email address.

We pay for the 'add-on' feature for contractors and 1099s. That's why i found it odd that it asked to charge $4 per person with no email on file to mail a hardcopy. I wish there was a way to physically verify that copies were mailed or emailed successfully.
Yes, Carroll, you're correct that the year-end 1099 will now cost $4 per form/employee to print and mail to vendors, contractors, and employees. Let me provide insights on confirming the successful delivery of the emailed forms below.
To verify the e-filed form was successfully emailed, you can check its status under the Filing Status section. Here's how you can review your filing status:
For mailed copies, you can reach out to your vendor or contractor to confirm successful delivery, as all 1099 forms should be postmarked by January 31 to the address listed in the contractor's profile. If the contractor doesn't receive their 1099 form within 7 days after January 31, you'll need to print the recipient copies directly from their account.
You can check this article to help you guide the necessary steps before filing the 1099-MISC and 1099-NEC forms. This resource will help ensure compliance and accuracy in your reporting process: Modify your chart of accounts for your 1099-MISC and 1099-NEC.
I'll also add this article that provides a comprehensive guide on correcting and resubmitting 1099-NEC or 1099-MISC forms that have been rejected by the IRS. It outlines the steps and best practices to ensure compliance and successful processing: Fix rejected 1099 forms.

So remind me again what the $15/month add on fee for Contractors and 1099s does for me if I still need to pay $4per contractor to mail?
Thank you
Also, my screen looks different than yours. All were 'accepted' by the IRS.
The $15 monthly add-on is for the services you've used to prepare your 1099 filing, carrollconst. I'll be happy to explain this in detail.
When preparing your forms, the $15 monthly add-on is essential for managing and electronically filing your 1099s. It includes various services that will streamline your tax management process effectively, such as:
While the $15 monthly fee allows you to manage your filing, it doesn't include the cost of printing physical copies of your 1099s. Thus, if you want to print your 1099s and send them to your contractors, you'll need to pay an additional $4 for each contractor you send a copy.
Regarding the filing statuses, an Accepted status after filing your 1099 forms indicates that the agency has received and accepted them. You can inform your contractors that their forms have been successfully filed and accepted by the IRS.
Additionally, you may want to check the plans and subscriptions for QuickBooks Online Payroll to view the services included in your current plan.
Furthermore, you can review this material to finalize this year’s payroll and prepare for the upcoming: Year-end checklist for QuickBooks Online Payroll.
Please feel free to share your concerns with us regarding your filing statuses or the services included in your subscription, carrollconst. I'll be more than happy to help you again.
Hi,
The issue is that it is impossible to tell within QBO whether 1099s are going to be or have been mailed to contractors. I am having this same issue. I can see that the 1099s were accepted, and I have two of about 40 showing emailed. What isn't clear is whether or not the other 38 have been mailed to the contractors. I am currently on the phone with support, also not getting clear or quick answers about this.
I had support 'assure me' that the forms were mailed because of my contractor add-on plan. However, per this thread, it says that is not the case. Very frustrating that no one can tell you for sure. Good luck!
