1099 e-file

I noticed that QB online Payroll includes free 1099 e-filing. If we choose to e-file 1099 forms, QB will print and mail forms to contractors for free. Correct? Or is there an additional charge for that?

Thank you.

Hi there @Kortni BL.

Thanks for reaching out to the Community regarding the 1099 delivery options. I’m happy to give you some additional information.

When you file 1099’s, all contractors with email addresses will receive an invite to access their 1099 forms online. The option to print and mail 1099’s will be available. Depending on which QuickBooks payroll product you are using, you will either have the option to print and mail those yourself, or QuickBooks will do that for you.

For more information, check out how to Create and file 1099s using QuickBooks Online

If you have any additional questions about 1099 filing or delivery, simply reply to this thread. Feel free to reach out any time you have a question about your QuickBooks or payroll. We’re always happy to help!

Thank you, Monica.

We have QB Online Payroll Core. What options do we have for printing and delivering 1099 to contractors? And how much does it cost?

Hello, Kortni BL.

Thanks for getting back to us! I'd like to elaborate more on the 1099 fees and other details with the payroll service.

There is a fee for filing the 1099 forms with your current subscription. However, you'll be able to file unlimited forms with it.

There might be a change with the associated fees, so I'd recommend contacting our agents to know the fee breakdown. We're unable to check billing details here, but our phone agents can.

Here's how to contact them:

  1. Click the Help icon.
  2. Select Talk to a human (or type it in the chat box).
  3. When asked, enter "breakdown of the 1099 fees" in the chat box.
  4. Choose I still need a human.
  5. Click the Get help from a human link.
  6. Select either the phone or chat option.

Regarding the printing and delivering the forms, we'll automatically send them to your contractors. Printing and mailing can also be done with your subscription using our 1099 E-file service website.

Our 1099 E-file service portal can be accessed here: 1099 E-file service website

I'd recommend reading this article if you'd like to know more about the 1099 E-file services:

Have you run payroll and want to check the current liabilities and other payroll data? There are a bunch of reports you can run in QuickBooks. Check out this article for a guide: Run payroll reports.

Do you have more questions about other tax forms in QuickBooks? Please let me know and I'll get back to you with the details.

A couple of clarifications:

1. If the contractors cannot access their 1099's online, is there a way to download them and email the 1099's for the contractors?

2. Are all parts available to download (Part A, B and C) after e-filing them. I'm guessing Part B and C can be printed on regular sheets - where as Part A is filed electronically so there's never a needs to mail them - is that correct?

3. Does QuickBooks also e-File 1099's for states or mail them out to states or does it prompt you to do it yourself? (for example Georgia and Massachusetts)

Thanks for joining this thread, MB_BCE.

I can help provide clarifications on how QuickBooks Online (QBO) process your 1099 forms.

When using the E-file feature, the online program will automatically submit the mentioned forms for you. You can get copies of your 1099's if you've filed them through our 1099 E-file service.

Here's how:

  1. Log in to your 1099 E-file Service account.
  2. Under Step 2,click Download and print copies for your records.
  3. Follow the onscreen instructions until you reach the Download You 1099 Forms screen.
  4. Select to either Print For Contractors or Print For Your Records.

Also, the option to e-file your state 1099s is unavailable at this time. You may want to contact the state agencies to see if they offer electronic filing.

Let me share these resources to to get a breakdown of copies that QBO submits and the one you'll have to keep. From there, you'll learn which payroll service supports electronic filing.

Stay in touch if you have additional questions on how to process the 1099 forms. I'm always ready to answer them for you.

Will the records that you e-file automatically show up in the E-File service account after you process them?

Yes, a copy of your 1099 forms that were e-filed and accepted by your tax agency will automatically post into your account for viewing purposes.

I have used 1099 e-file in the past with no problems. This year, when I try to log in to pay the $12.99 fee and to file, the sign in just loops over and over and never moves to the next step. I've tried logging out and trying again and that doesn't work.

Thanks for posting this here in the Community, @galen95959. Allow me to help you with your concern.

When a user has issues with QBO that appear to be browser-related, we recommend clearing their cache. Temporary internet files speed up loading, but too many can slow things down.

To perform the browser troubleshooting, these are the steps:

  1.  Restart your browser.
  2. Use other browser like Incognito.
  3. Clear your browser’s cache and browsing history.

You can also use other compatible browsers.

Always know that you are welcome to post here again if you have any QuickBooks related questions. It’ll be my pleasure to help you sort those out. Keep safe!

If you e-file, does it send the 1099 recipient a hard copy too via mail?

Hi there, amhepner.

I'm here to share some details about filing your 1099s.

When you file 1099s with us, we’ll email, and mail a printed copy, to your contractors.

Once you've prepared and verified that the information is correct on your 1099s, it’s time to e-file. I'll show you how:

  1. After preparing your 1099s, select the E-File option and verify your 1099s.
  2. Follow the on-screen steps to complete your 1099 e-file.  If prompted, enter your billing info. You'll also be able to review each contractor's 1099.
    • If prompted, choose the delivery option for your contractor's copies. If you don't see this option, you've already opted-in to provide your contractors online access to their 1099s when you added them to QuickBooks. If an email address is incorrect, you'll need to update the contractor's email address in QuickBooks, and then go back through the 1099 e-file flow.

Also, please note that the paper version of Copy A of Form 1099 is for your records. You shouldn't print or mail this form to the IRS.

For more details, please see this article: Create and File 1099s with QuickBooks Online.

Additionally, I've added this article that'll help you learn more about preparing and filing your forms in QuickBooks Online: Get Answers to your 1099 Questions.

Please keep us posted if you need additional help e-filing your form. We're always here to help you out.

Thanks for joining the thread, @amhepner. I'll point you in the right direction to get through this and update the address in your 1099 forms.

Before doing so, know that I can see the urgency of this matter, and I want to ensure you won't have any issues with your 1099s after e-filing them. If you've e-filed through QuickBooks, you'll want to reach out to our Customer Care Team. This way, they can help you edit the incorrect address in your 1099s. I can input the steps below so you can proceed. To begin, here's how:

  1. Sign in to your QuickBooks Online company.
  2. Go to Help (?).
  3. Select Contact Us.
  4. Enter your concern, then select Let's talk.
  5. Choose a way to connect with us:
  • Start a chat with a support expert.
  • Get a callback from the next available expert.

For further details, please see this article: Contact Payroll Support.

However, if you've e-filed to a different service provider, I recommend contacting IRS support. This way, they can process and modify the address, so your 1099 forms won't have issues. Let Us Help You.

Additionally, here's an article to help you change or modify a 1099 in QBO: Correct or change 1099s in QuickBooks.
