1099-NEC QB Desktop

Trying to run a 1099-NEC for a vendor that was previously set up for 1099-MISC in QB Desktop.  Vendor center tax settings, check "eligible for 1099." (Doesn't ask which one).  Keeps showing up as 1099-Misc when I try to process it. Read all articles.  Chart of Accounts edit screen - "Cleaning Services" set up as an expense.  There is no option for tax line mapping, as all the screenshots show that there should be. There are only options for Description and Note. Edit, preferences, 1099 company preferences, map accounts to boxes on 1099NEC "you can do it here" yields the same results of showing box 3 on the miscellaneous for that vendor....and round and round I go.

I'm here to ensure you're able to create a new 1099-NEC account in QuickBooks Desktop (QBDT), mwhip.

 

We appreciate you for performing some troubleshooting steps to get this sorted out. Let's make sure we create a new expense account in QuickBooks to track your non-employee payments. Let's start by creating a backup of your company file for future use. Then once ready, follow these steps in creating the 1099-NEC account:

 

  1. Go to the Lists menu.
  2. Select Chart of Accounts.
  3. Click the Account drop-down, then choose New to create a new account.
  4. Select an account type of Expense, Other Expense, or COGS, then select Continue.
  5. Enter the Account Name and details such as DescriptionNote, and Tax-line Mapping.
  6. Select Save & Close.
  7. Repeat this process for each new account to be reported on the 1099-NEC.

 

After that, you'll have to move your payments to the new account (i.e., create a journal entry) to show them in the newly created 1099-NEC accounts. Then, run a 1099 Summary report to validate the changes. If the same thing happens, let's make sure we update QuickBooks Desktop to the latest release. Once done, use the Rebuild Data tool to automatically fix minor company file data issues. Here's how:

 

  1. Go to the File menu, then hover over Utilities and select Rebuild Data.
  2. On the QuickBooks Information window, press OK. Follow the onscreen steps to save a backup.
  3. Let the tool repair your file. It may take some time. QuickBooks may seem stuck, but as long as you can move your mouse, the tool is working.
  4. When the tool finishes, press OK.
  5. Go to the File menu. Then hover over Utilities and click Verify Data.
  6. Let the tool check your file for data issues.

 

If QuickBooks doesn't find any problems, press OK. You can keep using your company file if you don't have any data damage. Then, select Rebuild Now if QuickBooks finds an issue with your company file.

 

If you’re still having data issues after rebuilding your company file, try again. If you still have data issues, use the QuickBooks File Doctor to fix your company file. 1099-NEC QB Desktop

Hello -  "Tax-line mapping" is not showing up as an available option, as noted in step #5.  I have the available updates.  It will be easier for me to manually prepare the one 1099-NEC that I have than to try to go through rebuilding the data.  This is so ridiculous to spend so much time trying to access a feature (Tax-line mapping) that should be there. Thank you for your time.

Rebuilding data can help fix the missing Tax line mapping option. Thus, I suggest performing all the troubleshooting steps shared by my colleague to resolve the problem.

I went through ALL of these suggestions. Rebuild results that were fixed:  Error 190, Error 317. Repair tool found no issues.  Still have the same issue of no "Tax-line Mapping" showing up as an option when setting up a new expense.

Hi there, @mwhip. We'll point you in the right direction to get this reviewed and determine why you don't have the Tax Line Mapping option inside QuickBooks Desktop (QBDT).

 

We recommend contacting our Customer Care Team so they can conduct further investigation on your end and find out the reason you don't see the option inside your company file. This way, they can also provide you with the necessary steps to retrieve the Tax Line Mapping feature. We'll write down the steps to get you going:

 

  1. Open QuickBooks.
  2. Go to Help, then select QuickBooks Desktop Help/Contact Us.
  3. Select Contact Us.
  4. Give a brief description of your issue, then select Continue.
  5. Sign in to your Intuit account and select Continue and then Continue with my account.
  • If you don't already have an account, make sure to Create a new account.

      6. We'll email you a single use code. Enter your code and select Continue.

  • If you have more than one account, select the account you want to use and then Continue.

     7. Select to chat with us or Have us call you.

To everyone using the desktop version and can't figure out how or why you can't map to 1099-NEC, PLEASE DO NOT WASTE YOUR TIME FOLLOWING ANY OF QUICKBOOKS SUGGESTIONS.  If you do, you'll ultimately learn, after many calls (my took 5) that you need to subscribe to the payroll service too.  Then, you'll learn, if you're lucky, that it is NOT available for the desktop version - only online.  

 

I wish Intuit would be more clear and forthcoming about what is and is not supported by their various subscriptions.  I spent a total of three hours trying to figure this out and had six call with different people and it was the fifth person who finally explained the issue in clear terms.  

 

Good news!  There is a work around.  Rather than migrate to online or hand-write your NEC forms, as I've done for the past two years as I couldn't figure out what the issue was or why I couldn't resolve it, simply download the form from the IRS site.  If you do, then you can type in the information.  Not ideal but a hell of a lot easier than migrating to online and more professional than completing by hand.

I have a question about the 1099 Summary Report. My vendor is setup as "vendor eligible for 1099" under Tax Settings. However, when I run the 1099 Summary Report, the report is blank. I do not subscribe to QB payroll; is this why the summary report does not work?

Hello there, Patricia. You can create a 1099 summary report even if you don't subscribe to additional payroll services. I'm here to provide detailed guidance and outline three simple steps to ensure your 1099s are displayed correctly:

 

  1. Make sure your contractor is active and set up for 1099 tracking.
  2. Make sure your payments to this contractor meet the threshold. Contractors who receive over $600 annually in cash will be issued a 1099 form. Please note that ACH payments made to 1099 vendors are not included in the company's 1099 totals, as these payments are reported by the financial institution.
  3. Make sure you're paying contractors from the right expense account. When QuickBooks generates 1099 forms, it relies on the designated expense accounts specified for 1099 transactions. If inaccuracies are found in the reported amounts, it is advisable to closely examine the contractor payment transactions and their respective expense accounts to ensure correctness.

 

To show these transactions on 1099 reports and forms, please follow the steps below:

 

  1. Select Reports, then click Vendors & Payables.
  2. Click 1099 Summary.
  3. At the 1099 options dropdown menu, change to All allowed accounts.
  4. If you find the missing vendor, find the Account and make it a 1099 Account.
    • Double-click the amount in the Total column for your Vendor.
    • In the 1099 Detail reports make note of the Accounts in the Account column.
  5. To show these transactions on 1099 reports and forms
  • Go to Edit, and click Preferences.
  • In the Preferences window, select Tax:1099 below, then click the Company Preferences tab.1099 1.png
  • Select the link next to, If you want to map your accounts to boxes on form 1099-NEC or 1099-MISC.
  • QuickBooks 1099 wizard page will come up. You'll be direct to Map Accounts. This window displays all accounts used for payments to 1099 vendors. From the Apply payments to this 1099 box drop-down, choose one of the 1099 boxes.1099 2.png
  1. Once done, close the 1099 Detail report.
  2. Select the second 1099 Options drop-down, then choose Only 1099 accounts.

Please note that the report is set to default to the Last Calendar Year. Make sure to verify and adjust the date range by using the Dates field at the top of the report to reflect the correct period.
