Can I print payroll checks through quickbooks online?

I'll be happy to explain how to print payroll checks through QuickBooks Online.

To print, follow these steps:

1. Select Workers from the left menu > Employees.
2. Select Paycheck List under Run payroll.
3. Select the paychecks you want to print. Change the date range if necessary
4. Click Print.
5. A PDF will open, then click the printer icon.

Do payroll checks have to be printed locally?  Is there a third part processing option that can print the payroll checks so that I simply just have to run the payroll and the checks will be mailed to me?

Printing payroll checks and mailing them directly to you isn't currently offered in QuickBooks Online. If you wish to have a copy of your paychecks, you can download them and save as PDF.

I can definitely see how this feature would be useful. As a team with a massive roadmap, we have to pick new features based on the value they’ll add to the most users possible. I recommend sending this request straight to our product engineers through feedback. This will notify the Product Development Team that the option for printing payroll checks and mailing them would be beneficial to running your business.

These instructions only allow printing a paystub, not a paycheck. The PDF that opens appears to be a check that can be printed but it doesn't contain the written amount line of the paycheck. Please advise.

 I'm here to help with printing your paycheck.

Online Payroll service supports several paycheck printing options. These are:

• Preprinted Check Stock
• Blank Check Stock (Not available for Full Service)
• Plain Paper

The data available when printing checks depends on the paycheck printing option you've currently using.

If you are using Preprinted check stock, the company and banking information will print on it.

If you are using the Blank Check Stock, the company and banking information will print on the stock along with the payee information in real time. This is to make sure that checks won't become obsolete if you change bank accounts.

However, you can use Plain Paper, if you want to print or reprint pay stubs for your employees.

If I may ask, may I know what specific paycheck printing options you're currently using?

Currently using full service payroll and printing paychecks on preprinted check stock. If you follow these steps, it will reprint what looks to be a check, however, it is missing payee and written amount data (which is not a check and not accepted as such). How do I check specific paycheck printing options in QBO?

I'd be glad to help walk you through in checking the options to print paychecks in QuickBooks Online.

You can go to Payroll Settings to check the paycheck option before printing them in QuickBooks Online.

Here's how: 

1. Click the Gear icon at the upper right corner and choose Payroll Settings.
2. Go to Preferences and click Paycheck Printing Settings.
3. Make sure that the Preprinted check stock is selected.
4. Hit OK.

I'm not given the same appearance or options when I click the gear icon > printer settings. 

And accounting preferences only has options for account associations--no paycheck/check printing options. I do not see the image you see...

I called QBO full service payroll and got it taken care of. If using full service payroll, only Intuit/QuickBooks can edit paycheck preferences or settings.

Thanks for joining this thread. I can help provide an option about printing paycheck list in QuickBooks Online (QBO). 

Did you follow the steps provided by SterlingD when printing paycheck list? If the Paycheck List doesn't appear on the Workers option, you can use the Report tab instead. 

Here's how: 

1. In the left tab menu, select Reports.
2. Search or Type-in Paycheck List.
3. Select the paychecks you’d like to print.
4. Click Print. 

If the same thing happens, let's open your browser in incognito/private mode to check if it caused by a browser. Also, this mode doesn't use the existing cache data files to load a webpage. 

Here are the keyboard shortcuts to open a private browser: 

• Google Chrome: press Ctrl+Shift+N 
• Mozilla Firefox: press Ctrl+Shift+P 
• Internet Explorer: press Ctrl+Shift+P 
• Safari: press Command+Shift+N

If it works fine with a private browser, I suggest clearing your browser's cache to start fresh. The next time you log in to QuickBooks Online, your browser will download fresh copies of everything you see on each page. Any cache-related issues should be cleared up.

i'm trying to just print my first paycheck using quickbooks online and it brings up a pdf form that looks just like a paystub only...i just want to print a paycheck on a regular check like I did before on quickbooks desktop.  Why is it so not user friendly.

The Paycheck Printing Settings may have been set to Plain paper stub. I suggest changing it and choosing Preprinted QuickBooks®-compatible voucher check stock. This, way the paycheck will print that way you want it.

Here's how:

1. Click the Gear icon at the upper right corner.

2. Choose Payroll Settings and select Paycheck Printing under Preferences.

3. From Paycheck Printing Settings, choose Preprinted QuickBooks®-compatible voucher check stock under How would you like to print your pay stubs and checks?

4. Print 2 stubs or Print 1 stub.

5. Select the OK button.

Once done, I recommend using the Paycheck list report to easily print the paycheck. Please follow the steps below.

1. Click Reports at the left panel.

2. From the search icon at the left corner, type paycheck list.

3. Select the paycheck you want to print by putting a checkmark in the box.

4. Click the Print button. The checks appear in a PDF viewer.

5. Make sure your printer is filled with check stock.

6. Click the printer icon in the PDF viewer and follow the instructions.

Hi i ran payroll for the first time today but somehow skipped the check printing part!!! Is there any way to reprint the payroll checks with the same check number?

The option to reprint the payroll checks with the same check number is unavailable in QuickBooks Online (QBO). However, you can always re-print the paychecks using your check stock on your printer. 

Here's how:

1. Go to Reports on the left side menu. 
2. From the search icon at the left corner, type Paycheck List. 
3. Select the paycheck you want to print by putting a checkmark in the box.
4. Tick the Print button. Then it will appear in the PDF viewer.
5. Tap the printer icon in the PDF viewer.
6. Choose your printer in the Destination drop-down.
7. Press Print.

Hi I've printed payroll as indicated on thread above, but it does not update the check numbers... I also inadvertantely printed from a different account (cash not checking) how do i change which account coming from?

Good job for trying out the steps given by my colleagues above, beldauto. 

In editing the bank account on the paycheck, we'll have to delete and recreate it. We can also update the Check Number as well when recreating one.

Here's how to delete a paycheck: 

1. Go to the Workers menu and select Employees. 
2. Click on Paycheck list at the upper-right.
3. Select the Paycheck and click Delete. 

 Then, we can recreate the paycheck and enter the correct Bank and Check Number.

On the other hand, if we want to just update the Check Number we can edit it without dleting and recreating a paycheck. If we're unable to do, we can do a browser troubleshooting steps. You can follow the steps given by my colleague @JanyRoseB.

If you wish to reprint your paychecks using preprinted paychecks, you can continue with the printing process. Let me walk you through how.

4. A PDF file window will open, click the Printer icon.
5. Hit Print.
