Missing Invoice Templates

Hi, so I am new at my company and I do not have access to the Invoice Templates for email when sending Invoices. The default invoice template is populating and I can edit it, but there is no drop down to change the template (as there is for my coworkers).

I did try the "email later" work around (to no avail) and everything looks good in the edit-preferences-send forms-company preferences.

Thanks for any insight.

Missing Invoice Templates

SOLVED:

So after a frustrating couple of weeks (multiple calls and posts here) I figured it out. What needed to be changed were the settings for email in "My Preferences"

All I needed to do was switch to Web Mail from the default Quickbooks Email. Once I verified my email address through my browser all the templates are available.

I'm here to sort this out, River444.

One of the possible reasons you can't access the template is user permission.

The invoice template can only be accessed by all users if they have permission from the admin user. You can ask the admin to have access to change templates.

Here's how:

  1. Click  Company menu, then Users, and hit Intuit Account User Management.
  2. From the Users tab, select Add user.
  3. Enter the User’s name and User’s email, choose the role from Available roles, then click Add.
  4. Hit Add user.
  5. Select OK.

Once done, you can check this article for additional information in sending invoice temple: Sending invoice template.

This is not working for me. The only person who can access the templates is the person who created them.

Thanks for updating us here, @River444. It could be that your admin assigned you a Basic User role which does not grant permission to edit the template.

You can share this article with your admin to help create and manage roles in QuickBooks Desktop.

For future reference, feel free to browse this topic and learn more about managing form templates to control and achieve the details you need to include: Use and customize form templates.

Hi, thank you for your response. My Admin said they gave me full permissions. What else could it be?

This is not the impression we want you to experience when using the forms template. I've got some steps we can perform to get this sorted out,

River444.

Since you have full access to the company file, let's try opening another company file to check if you're having a problem with only one file and not the program itself. Let me show you how:

  1. In your QuickBooks, go to the File menu at the top left.
  2. Choose Close Company.
  3. In the No Company Open window, click the drop-down arrow in the Open a sample file icon.
  4. Choose another company file with an invoice template and click on it.

Then, try opening the template in the layout designer. To fix common template issues in QuickBooks Desktop, see the Fix common issues when you use and customize templates article. If it works, there may be a damaged data on the company file you've been working with. We can run the Rebuild Data tool is built-in to fix any company file data issues. Just follow the steps and detail in the Fix data damage on your QuickBooks Desktop company file article. We can also repair your QuickBooks Desktop to fix any damaged components in the software.

If the problem persists, I'd suggest contacting our Technical Support Team. They'll pull up your account in a secure environment and investigate what's causing this issue. You may send a message via chat, call us at a time convenient to you, or we’ll get in touch with you instead. To ensure we address your concern, our representatives are available from 6:00 AM to 6:00 PM on weekdays and 6:00 AM - 3:00 PM on Saturdays, PST. See our support hours and types for more details about this one.
