Importing Credit Card Transactions

I would like to connect to my credit card provider to download my transactions into my checking account register. I know how to add a banking account but I want to know how I can download the credit card transactions into the same register as my checking account register.

I can help you download the credit card transaction into QuickBooks Desktop,

  1. Click Banking.
  2. Choose Bank Feeds
  3. Select Banking Center.
  4. From the Bank Accounts list, choose the account you need to connect.
  5. Click Download Transactions to receive transactions.
  6. Select Synchronize.
  7. Choose Sync all for this Bank to connect all accounts for the same bank.
  8. Type your PIN or password.
  9. Select OK.

 

You can also manually import your transaction using the Web Connect feature. For detailed instruction, please check this article: Download Bank Feed transactions.

No, they will be imported into your Credit Card account register.  Credit card transactions don't have anything to do with your bank account.

The payment will come down as any other transaction.  Generally they're not handled well automatically.  Instead, record the payment as a Check in your bank account, using your CC account, before downloading that detail for the credit card.  Then you can match the payment to the downloaded transaction.

Got it! All set up now. One question... I'm assuming all of my credit card charges will now be imported into the register just like my banking transactions when I sync to the bank. How does Quickbooks handle to payment made out of my bank account to the credit card company? I'm assuming all of the individual charges will get added to the register and then there will be the actual payment from my checking account. Just need to understand how all of this reconciles.

No, they will be imported into your Credit Card account register.  Credit card transactions don't have anything to do with your bank account.

I already have QB connected to my bank and credit card accounts to automatically import, but I just found a whole month missing on one of the CC accounts and a few weeks here and there missing from the bank account. If I manually import transactions, will QB catch any duplicates for me or do I have to check these myself?

When uploading your transactions, you still have the option to review all the transactions. You'll have to check it by yourself and remove the duplicates if necessary.

 

Depending on the mode you're using, please refer to this article for the steps in removing duplicate transaction.

I use QB 2015, which no longer supports online banking; however my credit card company has never been associates with QB so I have had to download .pdf statements and use a third party converter to make qbo’ or IIF’s which I then import.  Now that my version of QB no longer supports online banking, it will not allow me to manually Import such files.  This is disconcerting to say the least.  I would like to avoid having to upgrade QuickBooks.  Is there any way I can accomplish what I need?

I am using QB 2015, which no longer supports online banking.  However,  neither my bank nor my credit card provider has ever been associated with QB (they therefore have no FID). Therefore, I have always downloaded .pdf statements and then used a third party software to convert them into QBO’s or IIF’s which I then imported manually.  Now that the online banking has expired for my version of QB, it will no longer allow me to do this.  This is disconcerting.  I really do not want to upgrade to a subscription based version, which I otherwise do not need, just to be able to do this....especially when I have to have third party software to even attempt it.  Is there anyway I can accomplish what I need without upgrading?

Manually uploading your transactions with the unsupported versions of QuickBooks is unavailable. You'll want to update your software to the supported versions at least.

I don't have a "bank feeds" option in the 2019 Desktop Version I'm using. I'd like to directly connect so transactions automatically post to the desktop version. I tried manually downloading the statement, and it's greyed out, won't let me select it to upload manually either? I do have this account connected to mobile app for mint - and works fine there. But need the info in my QB desktop to manage the business.

Hello there, @kimniemi.

 

You'll want to set up your account for online banking or Bank Feeds in single-user or multi-user mode to manage your bills and bank transactions in QuickBooks.

 

Here's how: 

 

  1. From the Banking menu, go to Banking, then Set up Bank Feeds.
  2. Enter, your Bank’s name field, and select the name of your bank.
  3. Connect your bank.
  4. Select existing or Create new ▼ drop-down and find the QuickBooks account you want to link to your bank account.
  5. If you haven't set up your bank account, select Create New Account.
  6. Select Connect, then Close.

Then, we can use Web connect(.QBO) to download the transactions so they become available in your Bank Feeds. For more information, kindly click this article: Import web connect (.qbo) files.

I downloaded my credit card transactions, and they show in the credit card register.  I'm going to pay online from my bank, but how does the downloaded info get onto the check stub?

Hi there, @CaseyHart.

 

You'll have to manually match the transactions you downloaded with the ones in the check register. I'll guide you how:

 

  1. Go to the Banking menu then  Bank Feeds and then choose Bank Feeds Center.
  2. Open the Match Transactions window then make sure the correct bank account is showing from the Financial Institution dropdown.
  3. Click View then download and check the electronic statement.
  4. Make sure the Show Register checkbox is selected in the Match Transactions window.
  5. Choose the transaction in the statement that you need to match to a transaction in the register.
  6.  Find the transaction in the register to match to. Make sure the amounts match.
  7. Hit Match once confirmed.

Let's make sure the steps are correct in setting up credit card accounts. Let me show you the steps on how to do it.

 

 Here’s how:

 

  1. Go to Lists at the top menu bar, then select Chart of Accounts.
  2. Select Credit Card, then select Continue.
  3. On the Add New Account window, enter the credit card name.
  4. Type the Credit Card Name. Note: If you are setting up a sub-account, you need to check the Sub account of. From the drop-down, choose the parent credit card account. 
  5. Select an option under When do you want to start tracking your finances from this account in QuickBooks?Enter your account's balance and choose Save Close.

 

 I'm adding this article on how to set up your credit card in QuickBooks Desktop: Set up, use, and pay credit card accounts.

 

If you still can’t select the credit card option, then let’s perform some steps to fix this error. You can start downloading the QuickBooks Tool Hub, this contains the different tools used to fix common issues within the software. Let me show you how.

 

 Download and install the QuickBooks Tools Hub:

  1. Close your QuickBooks.
  2. Download the most recent version (1.4.0.0) of the QuickBooks Tool Hub. Save the file somewhere you can easily find it.
  3. Open the file you downloaded (QuickBooksToolHub.exe).
  4. Follow the on-screen steps to install and agree to the terms and conditions.
  5. When the install is done, double-click the icon on your Windows desktop to open the tool hub.
  6. If you can't find the icon, search in Windows for QuickBooks Tool Hub and choose the program. Then, use the QuickBooks Install Diagnostic Tool:
  7. Open the QuickBooks Tool Hub. In the tool hub, select Installation Issues.
  8. Choose QuickBooks Install Diagnostic Tool. Let the tool run.
  9. When the tool finishes, restart your computer.

I have closed one of my cc how do I get them into my QuickBooks.   It didn’t pull everything up from this here.

If the CC account is disconnected, you'll need to reactivate it so you can download transactions within your company file. On the other hand, if you mean it was closed on the bank's end, you can import them via Web Connect


Open a web browser and go to your bank's website. Then, log in to your bank account and download your transactions as a QuickBooks Web Connect (.qbo) file and save it on your desktop. Once done, you can follow the steps below:

 

  1. Go to Banking menu.
  2. Click Import Web Connect file under Bank Feeds.
  3. Select the file you saved. Click Continue and follow the on-screen instructions to complete the process.

I do not have the option under "Banking" that says "Bank Feeds"

 

I am also trying to upload credit card transactions from Bank of America and I am having no success. I have only been able to upload my checking information.

I'd be glad to share some info and steps to ensure you can access your bank feeds and import your transactions, @LowcountryNutrition.

 

For your first concern, there are a couple of possible reasons why you're unable to see the "Banking Feeds" option on the Banking menu. These are the following:

 

  • Your QuickBooks Desktop (QBDT) is outdated or unsupported.
  • Possible company file issue.

To help fix this, let's ensure to update QBDT to the latest release to have the latest features and need patches. Also, please make sure you're using a supported version of QBDT to prevent unexpected QuickBooks responses.

 

If you meet the above requirements and still unable to see the said option, you can open a sample file to test if you'll get the same outcome. Here's how:

 

  1. Open your QBDT.
  2. On the No Company Open screen, select a sample file from the Open a sample file drop-down.
  3. Access the Banking menu, and locate the Banking Feeds option as you normally would.

If you see the said option, then the original file might be damaged. In this case, I recommend running the QuickBooks Verify and Rebuild tool. This can help identify and repair data damage. 

 

Here's how to Verify your data (original company file):

 

  1. Go to the File menu at the top.
  2. Select Utilities, and then choose Verify Data.

If the Verify data detects an issue, you can Rebuild your file. Let me guide you how:

 

  1. Go back to the File menu.
  2. Choose Utilities, and then select Rebuild Data.
  3. Click OK, and then follow the on-screen prompts to save a backup.
  4. Select OK when you see Rebuild has completed.
  5. Once done, go to your Banking menu again and check the said option.

About your second concern, please check if the file format you downloaded from your bank (Bank of America) is a .qbo file. This is the only type of file QuickBooks can read for Web Connect import. 

 

If the file format is fine and you're still unable to import your data, please log in to your bank's website and check your notification list. If you see any messages about changes, kindly follow the instructions.

 

If the same thing happens, please proceed to steps to 5 of this article for the additional fixes: Fix Web Connect import errors.

 

Once everything's good, you can begin adding and matching your transactions to ensure they go to the right accounts and prevent duplicates. To speed up this process, you can create bank rules in QBDT.

 

Lastly, you can reconcile your account to ensure the accuracy of your books.

I am trying to import credit card transactions into Quickbooks 2019 for Mac DESKTOP. In my one account it won't recognize the account as a credit card. In my other account it won't allow it to import at all. It doesn't see it as a new account so I can't even select Credit Card. What's the fix please? Thanks

Let's run the verify and rebuild steps, JVizza.

 

It is to isolate if your company file has data issues. 

 

You can do that by going to the File menu. Under Utilities, select Verify Data. Then, OK. If you see an error message, you can try searching for it on our QuickBooks Desktop Help page. If you are prompt with Your data has failed the integrity check, you'll have to rebuild the file. 

 

Here's how:

 

  1. Click the File menu.
  2. Under Utilities, select Verify Data.
  3. Once the rebuild's complete, click OK.

I'd recommend reaching out to our live support agent so they can take a look into your account and can do a screen-share with you. That way, they can import the Credit Card QBO file for you.
 

Here's how:

 

  1. Go to this link: https://help.quickbooks.intuit.com/en_US/contact.
  2. Select QuickBooks Online.
  3. Click on Search for something else and enter your concerns in the Tell us more about your questions.
  4. Tap Search.
  5. Click on Start a message.
