2020 Forms 940 & W2/W3

When do you expect to have 940 and W2/W3 forms available in QB Desktop (2019-2021) please? It would be nice to be able to get a head start on January after clients run their final payroll of the year in December...

2020 Forms 940 & W2/W3

Hello, @sfvaughan.

I'll share some knowledge about when the 940, W-2, and W-3 forms will be available in QuickBooks Desktop.

As of now, we're unable to provide specific dates when these forms will be ready in QBDT. But normally, these will be available at the end of the year or within the first or second week of January 2021. We'll keep you updated with its availability through email or in-app notifications. Ensure you're payroll is on the latest release and updated tax table. This way, you'll have uninterrupted access to our latest payroll updates and other services.

Once the said forms are available, you can follow the steps below to file them in the system.

For 940:

  1. Go to the Employees tab, then choose Payroll Tax Forms & W-2s.
  2. Hit Process Payroll Forms.
  3. In the Payroll Center, pick the File Forms tab.
  4. Elect form 940 from the list and click File Form.
  5. Decide the form filing period and tap OK.
  6. Review the forms and select Check For Errors. If needed, correct any errors.
  7. Click the Submit Form button.
  8. Tap the E-File button and follow the on-screen instructions to submit the form.

For the W-2 forms, let's create the form first, then submit it in the system. Here's how:

  4. Pick on the E-File Federal Forms.
  5. Complete the required information and hit Submit

Do you know when the W2/W3 info will be available for Utah? It seems we are one of just a few states that cannot export the forms yet this year.

Hi @kayceem,

I'll take care of this query for you.

I suggest you download the latest tax table update for your QuickBooks Desktop (QBDT).

For the state of Utah, you can file W-2s directly from QBDT.

Here's how:

  1. Go to the Employees menu.
  2. Highlight Payroll Tax Forms and W-2s.
  3. Select Process Payroll Forms.
  4. On the Select Form Type screen, choose the State Form radio button, then hit OK.

To continue this process, view this article: Utah state W-2 e-file help. Scroll down to Step 4 to proceed.

Don't hesitate to post a reply below if you need anything else about this matter. I'll get back to you as soon as I can.

I have QB submit my taxes and forms.  I've been able to find my W-2s and W-3 and 4Q2020 tax forms for Fed and State.  However, I am not able to locate a copy of the 940 for 2020.  Is there some other location I need to look to find this?

Hi Denise.

I can help you with getting a copy of your Form 940.

If you had QuickBooks filed your forms, the completed forms are available in your product 35 days after the end of the quarter or year. From your QuickBooks, here's how you can locate the form.

  1. Go to the Employees menu, then select Payroll Center.
  2. Select the File Forms tab, and then View/Print forms & W-2s.
  3. In the Payroll Tax Center window, enter your Payroll PIN. Then select OK.
  4. Tap on Filed Forms.
  5. Choose the form/s (940) you want to view, print, or save.

You can open this article to learn more about viewing and printing copies of your payroll tax forms.

I also recommend updating your payroll tax table to the latest release to stay compliant with paycheck calculations. Here's the link: Get the latest payroll tax table update.

Moreover, you may skim through the topics from our help articles for more tips and resources while working with QuickBooks or payroll.

If you have any other questions about viewing the 940 forms, let me know by adding a comment below. I'm always here to help. Keep safe!
