Direct Deposit switching to paper checks, new to Quick Books online

I've carefully entered each employee's direct deposit info and clicked done. Each employee profile lists Direct Deposit now. But when I run payroll it lists paper checks for each employee. When I click on the drop down box to change that on the payroll summary, Direct Deposit is grayed out. Can't figure out what is wrong. We just switched from Desktop to Online. How can I  fix this and use direct deposit?

QuickBooks Online is very convenient because you can access it anytime, anywhere. Please note that there are limitations when you convert from QuickBooks Desktop to QuickBooks Online. That is because they have different features. Please check this article: What to expect when you switch from QuickBooks Desktop to QuickBooks Online.

 

We'll need to set up your direct deposit payroll again in QuickBooks Online Payroll. This is the reason why it's showing a paper check when your process it.

 

It's great that you were able to enter the employees' bank details. What we need to do is connect your bank to QuickBooks Online Payroll. Go to the Gear icon and select Payroll Settings. Under Bank Accounts, click on Company. Then, follow the steps in this link to complete the process: Connect your bank to Online Payroll.

 

You need to confirm the test transaction to verify an account and it may take 2 to 3 business days. I have additional articles here for more details about direct deposit:

The answer given doesn't apply to the question asked.  The question is, how can I switch from direct deposit back to writing paper checks?  I need to do this for one week only, but I am being blocked from doing it.

Good morning, @xroadracer! Hope you had a wonderful Thanksgiving weekend. In order to run payroll as paper checks instead of direct deposit, there are a few short steps to follow. If you haven't done so already, here are those directions:

  1. Select Workers, then select Employees.
  2. Select Run Payroll.
  3. Select the direct deposit icon next to the employee's name.
  4. Select Paper check.
  5. Preview and submit the rest of your payroll as usual.

I'm happy to walk you through how to switch from direct deposit to check. When you're ready to run payroll, follow these steps:

  1. In the Review and Create Paychecks window while paying employees, click on the employee's name.
  2.  Select Open Paycheck Detail button.
  3. Clear the Use Direct Deposit option.
  4. Select Save & Close.

None of these answers have actually answered this question. Mine is very similar, but it will allow me to switch back and forth between paper check and direct deposit. My issue is that is says "direct deposit" for this employee on the run payroll screen but then when I hit preview payroll button it says "paper check" on the preview screen.

I'd be glad to share some information about switching direct deposit to paper check in QuickBooks Online (QBO). 

 

If direct deposit is selected on the run payroll screen, this is exactly what is shown on the preview screen. To sort this out, we can perform some basic troubleshooting steps to make sure the issue isn’t browser-related. It’s possible that local internet cache files are the reason for this unexpected behavior. 

 

Let's start accessing your account using a different or private browser. You can use either of these shortcut keys:

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Shift + N

 

Once in, try to select direct deposit. If it works, go back to your regular browser and clear its cache. This is done to speed up the process the next time you do a transaction in QuickBooks Online. Also, an alternative way is to use other compatible browsers.

 

However, if the issue persists, I'd recommend contacting our Customer Care Team. This way, they'll be able to pull up your account in a secure environment and investigate this further. 

 

Here's how to reach them:

 

  1. Click the Help menu in the upper-right-hand corner.
  2. Type in "Talk to a human", then press Enter.
  3. Look for I still need a human and click on it.
  4. Click Get help from a human or Contact Support Team.
  5. Select between Send a messageSchedule an appointment, or Get a callback.
