Employees are no longer synced between QuickBooks and TSheets

Our company has been using TSheets for months and we love it! During this week's payroll, we received the following syncing error:

 

Timesheet Export Errors:

  • Can't export [Employee]'s time, because the user's account isn't linked to a QuickBooks user account.

We've been able to sync for months now, and do not know what caused the error. TSheets is not displaying the Fix This button on the sync error report, so we're not sure where to look. It appears that certain employees which used to be synced with QuickBooks, are no longer synced. On the individual Employee Accounts, the user information no longer says Created in QuickBooks. Does anyone know how this could occur, or what we could do to get our employee's synced again?

What we are going to have you do is try what we call the "1 trick";

  • You will put a "1" at the end of the name of the team member(s) that the error came up for
  • Once you add the "1" Save the changes
  • Then Run a Sync, this will trigger the users to reestablish themselves in your TSheets Account
  • Once you see them in TSheets you can remove the "1" and sync one more time

Try this and let us know how it goes!

Thank you! We ended up working with TSheets Support as well and worked through the solution identical to what you've provided here..... and it worked! We love the support we get from QuickBooks/TSheets

Is there any other solution? I am having this same issue but have over 70 employees. Adding and removing the 1 on all the employees is time consuming. There doesn't seem to be a reason why this is happening.

@arterzigni, I am so sorry you are having issues, the "1" solution is the tried-and-true way for this specific issue to get resolved. I know it can be time-consuming but it will work!

 

Try it with a few users and see if it works, and if it does I would continue to use the "1" method!

You will want to add the "1" on the QuickBooks side and then run the sync, once everything matches up again you can remove the "1" on the QuickBooks side and sync once again so it can be removed from the TSheets side.

 

Try that out and let me know how it goes, if you run into any issues please let me know so we can continue to troubleshoot.

Hi Sberti,  I have tried the 1 trick multiple times with this employee and nothing changes.  TSheets says it's syncing her, but her email address is not making it from QB onto her TSheets employee info.  She does not receive text invites from TSheets and does not receive schedules.  This has been going on for months with this one employee.  Is there a way to completely delete her from QB and start over?  It seems like there is not.

I recreated employee in tsheets manually and archived old record.  I did this because she could not sign into tsheets with old account.  new one we entered time and it wont sync with QB.  I used same employee ID from older archived to make sure match up issue wouldnt occur but it still did.

If the email, first, and last name all match exactly it should link up to the profile in QuickBooks. If it doesn't it may be that it's still connected to the old archived profile.

 

The best way to troubleshoot would be to talk to TSheets support directly. You can chat in from "Chat With Us" either while logged into your account or the tsheets.com homepage. To talk to an agent on the phone, call 888-836-2720.

Where do you go to put the "1" after the employee causing the error?   In Tsheets or in quickbooks?

You'll want to add the one to the QuickBooks side, either next to the first or last name. Then run a sync between the two products.

Hi @sberti, where do we add the 1? When you say at the end of each name in QB, what do you mean? Can you please walk me through where I go to do this in QB online.

 

Also, my 1099 worker who was using t-sheets before, can no longer log in to the system. How do we fix this? Must he be on payroll to use tsheets now?

Thank you for reaching out to the Community. I will be delighted to walk you through these steps. Here's how you can add that "1" in QuickBooks Online.

  1. Go to Workers, then Employees.
  2. Select the employee's name.
  3. Choose Edit ✎ on the section you want to update.
  4. Add a 1 to their first or last name (like Jane1 Doe or Jane Doe1) and select Done.

 

Once completing that, as sberti mentioned, run a sync between QuickBooks Online and QuickBooks Time. Check in My Team in QB Time for the updated name change. Then you can remove the "1" from their name in QuickBooks Online and then re-sync to update.

 

To answer your second question, there is no need for them to be on the payroll. However, could you share if you are receiving an error? Also, was an invitation sent to them?

I am having issues with this. 

I add the 1, Quickbooks and t-sheets will sync but i cannot export the employees hours. 

Every other employees hours export apart from this one. 

When it takes me to the merge employee screen i click the employee, hit save and it says please select a user which i have done.

Thanks for joining this thread and letting me know the steps you've taken so far. I'm here to help make sure you're able to export your employee's hours. 

 

As an initial troubleshooting step, I recommend clearing the browser cache. The cache is in place to collect frequently used data to make loading web pages quicker and easier. Every so often the cache can get too full which in turn causes viewing and performance errors within the system. Clearing it quickly resolves these types of issues. Here's how to get this done in Chrome for example:

1. Click the three vertical dots in the top right corner.
2. Select More Tools, then Clear Browsing Data.
3. Change the time range to All Time.
4. Only check Cached images and files.
5. Click Clear data.

Once you've completed these steps, log out and log back in, and try to export the hours once more. Please don't hesitate to reach back out if you have any other questions of concerns. I'll be here to lend a hand!

Where in QB Time do you put the 1 behind the name of the employee that is not syncing?

Is it in 'My Team' in QB Time?

You'll want to add the 1 to the employee's name in your QuickBooks Desktop. To do this, you can open the employee center and right-click on the employee you need to change. Hit Edit

 

 

Once you've made your changes from QuickBooks, you'll run a sync as mentioned by my colleagues above.

I have tried this several times and it does not work.  It keeps saying that it cannot sync -

"Can't export Jesus Alvizar1's time, because the user's account isn't linked to a QuickBooks user account."

I have cleared the cache and restarted the browser and re-logged in and it does not recognize the two names

from QBks Desktop to Quickbooks Time.  The user can use QB Time and has timecards but they do not sync - is there anything else we can try?

Since you're still receiving an error while trying to export time, I'd initially recommend confirming your team member's first name, last name, and email address are identical to each other in both QuickBooks Time and QuickBooks Desktop.

 

Here's how to check in QuickBooks Time:

  1. In the left navigation bar, go to My Team.
  2. Find your team member that the error's mentioning and click their Vertical Ellipsis (⋮) icon, then choose Edit.
  3. Review their first name, last name, and email address. Make sure they match what you have on file for them in QuickBooks Desktop.
  4. Make changes if necessary, then select Save.

 

Here's how to check in QuickBooks Desktop:

  1. In your top menu bar, go to Employees, then Employee Center.
  2. Double-click the employee mentioned in the export time error.
  3. Review their first name, last name, and email address. Confirm they match what you have on file for them in QuickBooks Time.
  4. Make changes if necessary, then select Save.

 

If everything matches, and the 1 Trick still isn't allowing you to export their time, you'll want to get in touch with our QuickBooks Time Care team. They'll be able to pull up your account in a secure environment, conduct further research with you, and create an investigation ticket if necessary.
