I followed the link you provided.  There were no instructions for an employee to change their email address.  Where can I find information on how to change an employees email address in QB Workforce?

  1. Click Help at the top menu bar, then select QuickBooks Desktop Help.
  2. Select Contact Us and then enter that you get Reminder prompts and Continue.
  3. Then choose to Message an Agent or Talk to a Specialist.

I am having this same issue as well, but the steps below didn't help. I updated the employees email under the employees information in QB, and when I try to send the invite again it still won't update the email address for workforce, and it will not let me select the employee or edit the email before sending the invitation because it said employee signed up, but he didn't because he never got the link

Since performing the steps above didn't work on your end, you can request an email change form for your employees as an alternative. Please secure your proof of identification to ensure the validity of the changes applied. Additionally, you can let your employees check and review their email spam or junk folders. This way, they can locate these email invitations.

It somehow assigned the wrong email to the wrong employee, and I didn't notice or something got mixed up. The email it is showing belongs to another employee that did already sign up.  So both Employee S and Employee B are assigned the same email, and the status shows "signed up" for both of them but employee B didn't ever get an email to activate his account since it went to Employee S.

I can't get it to update and remove the email address for Employee B. When I look under the Employees QB information, it has the correct email but is not matching the QB Workforce, and Workforce won't let me change it either.

Since you mentioned that the email address belongs to another employee that is already signed up for the workforce. Reaching out to our workforce chat support would be the best way to resolve this issue doing this can help them check your employee's email in the system to get this working. Hello,

We are using Inuit OB Enterprise and are having an issue with updating, editing, or correcting an email address for an employee that had an invitation sent to the incorrect email.

That employees status is labeled "Invited" not "signed up" but we are still not able to correct the email address for the invitation to be sent.

After reading through this blog I have noticed the below link being provided as a solution.

Following this link does not provide an answer to my issue.

We have contacted Support with the only solution, after over an hour conversation, being delete the employee and reenter with the correct email address.

This is not an option for use since we need to keep the employee history for our records.

We have also directed employees to chat links and a customer support phone number. They are told to "contact their administrator". We have been sent in this loop continuously with no solution to our issue. 

Please provide a step by step instruction on how to change/update an employees email address when the status is "invited" in Manage Payroll Cloud Service.

I really hope this will bring a solution to an issue we've had for months.

Hi, FlowTX. I can provide you with the steps for updating your employee's email address.

 

To update the email address in your QBDT account, you can go to the Employees menu. Afterward, resend the invitation to access the payroll cloud service or the QuickBooks Workforce.

 

Here's how to update the email address:

 

  1. Go back to the Employees menu and select Employee Center.
  2. Double-click the employee's profile.
  3. Choose the Address & Contact tab and update the email address from there.
  4. Click OK, when done.

 

Then, you can resend the invitation to let your employee access their paystubs. 

 

By following these steps, you can ensure that the correct email address is associated with the employee's account and that they receive the invitation to access the desired service.

 

If the issue continues, I recommend contacting our Customer Care Support again. They have the tools to access your account and assist you in updating your employee's email address.

We update the email address in the Employee center before logging into the Manage Payroll Cloud Service to resend the invite. Even after updating it in the employee's profile, logging out of QBDT, logging back in, then going into the Cloud Service to resend the invite, the email address has not changed to what is in the employee's profile. 

Before, in the Cloud Service we were able to check a box next to the employee's name and edit the email address as long as the status was "invited". Now we no longer have that option and QBDT does not communicate to the Cloud Service letting it know an email address has been changed or updating it to what it has been changed to.

I was having the same issue.  Once the employee accepts the invite and creates an account the employer is no longer able to change the employee's email address.  This account now belongs to the employee.  The employee will have to log into their Workforce account and change the email address.  Have the employee sign into Workforce and click the Gear in the upper right corner.  They should be directed to an Email Notification page with a message that reads Your pay stub notification emails are sent to XXXXX@XXXXX To change your email, visit your Intuit account settings here.  <Click here.  They should be directed to a page that reads Hello (Employees Name)! Under Quick Actions click on See More.  Click on Change Email.

The employee never received the invite since it was sent to the incorrect email. This is the issue I am running into. The invite was never accepted...

I need to know how to update an address in Payroll Cloud Services. Updating the employee's contact info in Employee Center on QBDT does not communicate with Payroll Cloud Services.

I understand now.  I'm sorry my reply wasn't any help.  My understanding is that the employer has no way of updating the employee's email address for their Workforce account after the invite has been sent.    The only solution I was able to come up with for my employee has been to scan and email their paystub to them using the email address the Workforce invite should have been set up as.  Of course, they won't have access to their W2s or other past paystubs, but I was never able to get a workable solution from any QB customer service I've contacted.  Good luck.

Close to the same issue.

We sent and invite to the wrong email address.  The employee never created a workforce account.

Now were trying to change the email address.  It is changed in his employee file, but doesn't update in the Invite Screen.  I manually deleted it in the invite screen and entered the good email address, but it overwrites it back to the incorrect email address when I resend the invite or close the screen.
