Reprinting the W-2 form doesn't have a watermark in the form. You'll just have to print it again. Please follow these steps below to print a copy of the form:
1. Go to the Employees menu.

3. Under the File Forms tab, choose the Annual Form W-2/W-3 – Wage and Tax Statement Transmittal and tick the Create Form button.
4. In the File Form window, pick the employee’s name and the filing period.
5. Click Submit Form to continue printing.
6. Hit the Print/E-file to open the Print W-2 and W-3 Forms window. Then, Print the Form.

Keep me posted if you still have questions or concerns with W-2s. I'll be around for you. Take care and have a great weekend ahead.
I just did the above process to print one employee's W2. (they had lost their original) Once I printed it, I closed out. Now in my "saved filings" only that ONE employee's W2 shows up! I did not choose "save". I just left out of the program. I've already e-filed so my W2's have been filed correctly but now I dont have my saved file. What do I do? Recreate a new file including all employees?
Hi @MG63,
Thank you for joining the thread, and welcome to the Community. I'll handle this query for you.
It's great that you were able to e-file your employee's W-2 forms. To view them, follow these steps:
You can also invite your employees to QuickBooks Workforce. This way, they can view their pay stubs, along with their W-2s. See this article for more information: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s, and more.
Let me know if you have other questions about W-2s in your QuickBooks Desktop. I'll be sure to get back to you.
Did you ever receive an answer on this? This happened to me as well.
Hi csc21,
Thank you for reaching out to the Community.
The W-2 file may not be in the Saved Filings section, but it's saved on your computer. You can do a wild card search to find the W2 files. Just click the Start button on your screen, and type something like W2INTRV1. Then, you'll see the list of files that start with the date followed by W2INTRV1, as shown below. Just select the PDF file not the .taxform.. Then, print it.
Let me know if you need more help. Happy weekend!
DO NOT FOLLOW THESE INSTRUCTIONS!! I just wanted to reprint 1 employee's W2 and it refiled the whole batch, but only for this 1 employee.
same thing happened to me!

Hi, I am trying to reprint past W-2s for an employee that requested them. Following these instructions, I can never see the View option. Has it changed?
Hi there, silabbate.
The steps or interface for reprinting W2s hasn't been updated. Although, you will see Manage W-2s instead of the View button if you are printing a copy for an employee.
Then, click View and print afterwards.
Just in case you can't also see that, excessive cache and other browser-related issues might have caused the buttons to not show up.
To fix issues related to cache and other browser-related problems in QuickBooks Online (QBO), you can try logging in to your account in an incognito or private browsing session. This can help ensure that the browser does not cache old information from previous sessions.
Here are some steps you can follow:
Alternatively, you have the option to switch to other browsers and log in to your account using them. Google Chrome, Mozilla Firefox, Safari, and Microsoft Edge are all compatible with QBO.
Following this, go back to the Taxes section and check if you can see the View or Manage W-2s buttons. If you can see them, return to your original browser and perform a cache clearing. Please refer to the following article for guidance: Clear Cache and Cookies to Fix Issues When Using QuickBooks Online.
Allow me to provide you with these articles for further assistance and points of reference when it comes to printing or filing your W2 forms:
The Community is always here if you need anything else.
I followed these steps, but it warns me that it won't print correctly because QB can only handle one year's form at a time and while it will produce the 2022 W-2, it will actually *say* 2023 on it. Is there no way to print a prior year W-2 correctly? This seems like a HUGE miss.
I understand this thread is a couple years old, and transitioned to being about QBO - any chance modern instructions exist to show how to reprint a prior year W-2 in QB Desktop?
I appreciate you joining in the thread, @pflugerville85.
I'll ensure you can print your prior year's W-2 forms.
W-2 forms were saved in QuickBooks Desktop after the filing process. To print these forms, you can proceed to these steps:
On the other hand, the process you've been following is to print forms for the recent year, which you can only print the form for the year 2023. For more information, visit this page: Print your W-2 and W-3 forms.
Moreover, you can utilize this material once you want to submit your W-2 and W-3 forms to Federal and state agencies within the program: File your W-2 and W-3 forms.
I can always lend a hand if you need further assistance printing your W-2 forms or other related concerns in QuickBooks Desktop. Just don't hesitate to add a comment in this thread.
It appears that someone followed the original instructions last year, which a) created the same problem @MG63 and possibly @DCarpenter1 reported, and b) makes these recent instructions moot. Also, the saved versions are only Copy A - can we not reprint the employee's versions? (I understand they will be able to complete their taxes using Copy A; I just don't see why it's not possible to print the correctly-labeled versions.)
It's a problem that Intuit personnel have provided community instructions that wipe out completed work. It's also a problem that we cannot complete a task as simple as reprinting a past year's W-2.
Every time I've tried to re-print a "missing" w2 for one employee, it saved over all the rest of the employees so that I end up with only that one employee in the filing history. Is this a problem?
I'll enlighten you about reprinting W2 forms and what data reflects in the filing history, Ted.
When reprinting a W2 form, you can select all or a single employee. If you choose an individual employee, only that employee is reflected in the filing history. Thus, if you want all your employees saved in the filing history, you'll need to recreate the file for everyone, but don't click Submit.
Additionally, I'll share this resource to help you enter totals for each pay type, deduction, and tax: Enter paycheck totals for your W-2 employees.
I'm still all ears if you have other questions about printing your W2 forms. Just tap reply, and I'll get back to you.
