As of moment ago, 7:45am EST on 04/13/2023, I am still unable to print or e-file 941's for 1st Q 2023. I get the error message that I have the wrong version, additionally when I put it todays date on the form I get an error that the date is outside of the reporting period. I have not only updated to the current payroll version but also updated QB Desktop as well. All done this morning. So there still is not fix for this "known" issue.
I efiled the 2022 quarterly IL-941 form by mistake. I ran payroll updates and now it won't let me efile the correct one, since I efiled the wrong one. How do I fix this?
Why is this form still not available? We have downloaded the most recent payroll updates and still cannot print the 941. The paper form prints with a message all over it that says "Do not file - IRS will not accept"
I appreciate you both joining the thread, @Ella13, and @Jessjesscpa.
I know how important for you to be able to submit your tax forms and payments smoothly. Thus, it can help save time and ensures your payroll records are correct. I'm here to add more details about your e-filing concern in QuickBooks Desktop (QBDT).
In situations like this, I recommend filing the tax forms manually and paying the tax payments directly to the state agency. This is to keep your payroll records in order.
To ensure you can e-file and pay taxes without any errors, check with the state agency the correct format for your state ID. Next, void the rejected e-payments in your company file.
Also, check out this resource for more info about Illinois Payroll Tax Compliance. It contains details about the different tax forms, E-file and Pay, etc.: Illinois Payroll Tax Compliance.
I've included a couple of detailed resources about working with 941 forms and tax tables, which may come in handy moving forward:
Feel free to leave a comment below if you have further concerns about e-filing your 941 forms in QuickBooks. I'll be on standby for your reply. Stay safe!
Thanks for your reply, LollyNino_C. Please answer the following:
1) Is this a known bug?
2) Is it affecting all Quickbooks Desktop Enhanced Payroll customers or only a few.
3) Is it being addressed and will it be resolved before the filing deadline for 941's at the end of the month?
Thanks,
Mike Saxon
It is according to who you speak with at Quickbooks. Our IT guy has been on the phone with them since last week on and off. One person says they know and are working on it. The next person says there is no issue. No-one knows if this is being work on or not.
Making the payments is not the problem. Quickbooks needs to generate the correct 941 1Q 2023 form and have it be able to be e-filed. I have updated the software multiple times, and I am still getting the error message. We have over 100 payroll clients and cannot manually file the forms. The fact that at this date, this is still a problem is unacceptable.
As is now common, most of the fixes come from other customers and the community. If anyone has a work around, or has submitted the form that was generated without issues, please let us know.
This is getting ridiculous! Today is April 15 and the form is still not available. Intuit has only had 105 days to get this done. Why isn't Intuit taking this seriously and fixing this very well known issue?
With the amount that we pay to Intuit for payroll services, we should not have to manually file our taxes through another method. Intuit has had plenty of time to get this form functional. Please advise us when there will be a fix for this form.
My last post wasn't supposed to be a direct reply to you, but rather directly on the thread. My apologies!
Hi LollyNino_C -
It is now April 18th at 3:23pm Eastern Time and even with all the latest QB Desktop and Enhanced Payroll Updates, I still cannot file a 1st quarter 2023 941. You advised you were waiting for my response and I responded several days ago with three questions:
1) Is this a known bug?
2) Is it affecting all Quickbooks Desktop Enhanced Payroll customers or only a few.
3) Is it being addressed and will it be resolved before the filing deadline for 941's at the end of the month?
Please respond to me on these three simple questions. This is a time critical error, but it seems like something that should be easily resolved. If Intuit has mistakenly failed to update the 941 form to 2023, just push out the new form with a payroll update and all will be well. Please advise soonest. Thanks.
Allow me to share details about the new 941 form, bmore.
I understand how important to populate the new forms in QuickBooks Desktop. Please know that it's being worked on to make this form available soon. Rest assured you'll able to get it and file before the deadline.
Still, I recommend checking the articles below. They provide details about the latest tax table and procedure when filing your 941 forms later on:
Please let me know if you have more concerns. We're all right here to help and provide additional information.
It is currently 4/18/2023, 5:15 PM Central Time...I, too, am getting the same warning box that says "I'm trying to create a tax form for the 2023 tax year but the form currently installed is for the 2022 tax year". Using QBDT 2022 Accountant's Edition with Enhanced Payroll. I only file federal forms through QB, not state forms. I just filed my first 941 electronically and it has apparently GONE THROUGH. For lack of a better word, I just IGNORED the warning box. The form that appears on the screen has a 2023 date...I e-filed it...the Quickbooks confirmation showed the correct quarter...and a few minutes later, I received my "processed successfully by the IRS agency" e-mail from Quickbooks. Whether it's actually working now is still in question, even I'll admit, but the messages I'm getting are the usual ones. So at this point I'm moving up all my e-filing of 941's to ASAP just in case things go wrong then I have some additional time to fix stuff.
I just e-filed my first 941 of the quarter the usual way and got the usual results. The form, confirmation, and email confirmation from IRS all read as they were supposed to. I just ignored the "warning box" as I processed the 941 as I usually do. I don't file state forms through QB so I cannot speak to that.
Hi, I thought I would let you know that the 941 form itself is fine. If you save a PDF you will see that the year on it is 2023 and my e-filing was accepted by the IRS. You would think that since the only issue is that stupid error message that they could make that go away.
I am having the same issue with one of my companies on QBDT as of today and did not have the same issue on another QBDT company today. Same instance of QBDT software used on both. In other words I was able to create the form 941 for one company but the other company is keeping me in the loop of needing to install an update.
It is not a problem with the form not being available. Today, using the same desktop instance of QBDT I was able to complete and print a 941 for one of my companies but the second company file keeps telling me the update is not installed although it is installed, I've installed it multiple times, I've done the "reset update" while "running as administrator" and installed the complete QBDT update, checked all of my "payroll set up" options etc.
I can imagine the hurdles you've been through to resolve this problem, HollyH3. I'll share some troubleshooting steps and route you to the best available support to assist you further with this concern.
To verify, may I know if you have encountered a specific error code when trying to download payroll updates? If so, you can follow the steps below to fix these error codes.
We can start by checking your payroll service subscription. Here's how:
If you still see the error, proceed to Steps 2 and 3 of this article: Fix PSXXX errors when downloading payroll updates.
However, I recommend reaching out to our QBDT Payroll Support Team if the issue persists. They're equipped with the necessary tools to check your account securely and perform a screen-sharing session to investigate this matter further.
We're always here in the Community to help if you have other questions about managing your QBDT. Keep safe!
It's kind of impressive how the QB support people don't even read the whole thread before posting the same repeat suggestion that we've all said doesn't work.

QB is still working on mine. Even though it shows 2023 on the form, the changes are in the wording of #1 and the amount in 5a which are not correct on my "2023" form.
I also processed for Florida companies and got notices back from FL DOR. Were you able to correct this somehow?
I also got notices back from FL DOR. Did you have to contact them to manually fix it? What were your next steps?
has anyone gotten results on this issue yet? I'm still getting the 2022 form error
For some reason I am now receiving this same error message. I don't do much payroll (I do mostly personal tax and corporate/ LLC tax returns). I didn't receive this message when I filed the payroll tax returns right before the 5/1 deadline. But, now as I have a client that normally takes care of their own payroll ask me to file something for them for 1st quarter, I received this message. It's annoying that it still an issue on May 5th. it is also weird that I didn't get it earlier.
