How do terminated employees view their old paystubs and W-2 once their account is inactive?

I’m glad you’ve reached out to us, @OA12.


Once an employee was invited to access their W2s online, their account on the workforce will remain active. Employees can still access their accounts even they were terminated. They're only unable to view the forms and pay stubs if their employer is no longer used the workforce and payroll service.


If the employee needs his/her W-2 from previous years, they’ll want to contact their employer. Terminated employees won’t appear as active in the payroll list. But their profile and pay records remain on the employer’s account and still appear on reports.

What if we no longer have access to the employee email used to sign in to View My Paycheck? I tried signing in and the site is asking to verify my identity my emailing a code to my old work email. I have no access to this email and neither does my previous employer.

Let me help you recover your QuickBooks Workforce account.

 

If you still have the phone number linked to your account, you can use it to retrieve your account.

 

Like this:

 

  1. Go to this link: https://accounts.intuit.com/account-recovery.html?_ga=2.178675500.985473503.1643045532-1963897300.1...
  2. Put your phone number, then Continue.
  3. Check you phone for a message from Intuit or QuickBooks, and then enter the code we sent. We may ask you for a little more info to make sure it’s really you.
  4. When prompted, click on reset your password.

Hi Archie_B, if possible can you help me as well? 
I had an account using my old work email that I no longer have. It was also attached to a work number I no longer have. 
Is there a way for me to access my old pay stubs? 
i contacted my old employer and they simply said to log on to access them and that they do not have a way to send to me.

Let’s recover your QuickBooks Workforce account so you can access your old paystubs, @bkogden31.


Since you no longer have access to your email and phone number, you can select the Try something else option on the Login page. This is an alternative way to verify your account. Then, follow the onscreen instructions. See this Recovery guide and screenshot below:
 


Once you open your account, I recommend changing your email address and phone number. This way, you can view your paychecks and W-2s quickly and at any time.

I received an email to view my W-2 from my previous employer but every time I click the link to view them it takes me to the login page and then promptly tells me I don't have a work force. How can I access my W-2??

Hi there, lelu. I'm here to help you access your W-2 via Workforce.

 

Once you receive the email from your employer, you have the option to create an account or directly sign in to QuickBooks Workforce. Since you don't have an account yet, let's sign up to view your W-2. I'll show you how:

 

  1. Look for an email with the subject [Business name] has invited you to view your pay stubs online. Then, open it.
  2. Select Create account to accept the invitation.
  3. Create an Intuit account with your email and a password.

Once done, you can now see and print your W-2s and pay stubs online or in the Workforce mobile app

Ok I get that but I never received an invitation. I received a notification that my W-2 was ready to view and to login. As soon as I login though (because I do have a login) it says there is no company associated with the account. So now I'm all confused thinking that there is another account.

The first we can do is to double-check your Workforce login credentials to ensure they are correct. Once verified but the issue persists, I recommend reaching out to your employer so you can ask them to send you an invite. This way, you'll be able to access your W-2s seamlessly.
