weekly time entries

One of our employees has said that they used to be able to enter time into a weekly grid (similar to attached image) with clients/projects on the left column and each day of the week across the board.  He says that now, they can only add one day at at time.  Is there a way that employees can go back entering time weekly as opposed to daily?

I'll explain how we can work around this issue so your employee can enter a weekly timesheet in QuickBooks Online (QBO).

 

I recommend having your employee log out from your QBO account and have them logged back in. This is to refresh the system and for updates to take effect.

 

Once done, have them follow these steps in entering a weekly timesheet in QBO:

 

  1. Go to the Time menu.
  2. Select Add Time, and choose an employee or contractor.
  3. Adjust the date range if necessary and select a day.
  4. Add hours worked, or turn Start/end times on to enter a start time and end time for that day. 2.PNG
  5. Click the Add work details to add a customer or project, make the timesheet billable, and any other applicable options.
  6. Select Add to add more timesheets for that employee.
  7. When done, select Save or Save and Close.

Thanks for your reply.  Is this something the employee can do?  If not, would I have to do this each week for the employee?

Hello there, @labix. Allow me to join the thread and share information about tracking time. 

 

I've read your original post, and it seems that the employee is trying to enter time on the Project menu. If this is the case, let them enter a weekly timesheet by going to the + New button.

 

Let me show you the detailed steps:

  1. In the left menu on your QBO account, click the + New button.
  2. Under the Employees column, select Weekly timesheet
  3. Enter the necessary information to complete the fields.
  4. Select Save and close.

I'm so glad you decided to hop in on this thread about weekly time entries. 

 

When editing time sheets, this will not affect your financial data. The paycheck is where that data would technically change. Examples below: 

 

  • Timesheet = Task tracking
  • Paycheck = Money happened

 

Therefore, changing the entry won't make changes to payroll that has already been processed.

One more question - if I change the time entry - will it update for job costing as well?

Thanks for getting back to this thread, @RegenaJames.

 

Let me answer your queries about weekly time entries in QuickBooks Online (QBO). 

 

Once you create changes in time entry, the updates will show in the Time cost by employee or vendor report. This won't reflect on your Project Profitability report. These two reports are the ones you need to run when viewing your labour or job cost in QuickBooks. 

 

If the entry is already linked to an invoice or paychecks, creating changes to the time entry won't reflect on these transactions. 

 

Please also take note that weekly timesheets are non-posting transactions. This means they won't show on reports like Profit and Loss until they've been added to a sale for an expense-type transaction.

Right now, the types of transactions you can create for recurring are the following:

 

  • Bill
  • Non-posting charge
  • Check
  • Non-posting credit
  • Credit card credit
  • Credit memo
  • Deposit
  • Estimate
  • Expense
  • Invoice
  • Journal entry
  • Refund
  • Sales receipt
  • Transfer
  • Vendor credit
  • Purchase order

 

I know you wanted to do recurring time entries, but it's not an option. We recognize that each company has unique needs, and I can see how the feature you're looking for would benefit and empower your business.
