Emailing Invoice with Office 365 Exchange Stopped Working

Emailing Invoices stopped working and now gives the error message shown in the file attached. It only does it with the Office 365 Accounts. I tried the following: 1. I reinstalled all programs. 2. Recreated the Profile 3. Removed the Office 365 Account from the profile and used a IMAP account and it works.

Emailing Invoice with Office 365 Exchange Stopped Working

Hi mfrey,

The status of this investigation is still In progress and the product engineers are still finding a fix for this because they state that this appears to be an Outlook error

As of now, the workaround available is to download the latest Office 365 update. You can refer to this article for the steps: Outlook cannot log on when emailing in QuickBooks Desktop.

You can also send your invoice to your customer via e-mail by saving your invoice as a .pdf file in QBDT and then, attach the invoice in the e-mail.

Also, I suggest contacting QuickBooks Desktop Care Team to add you to the list of affected users so that once this issue is fixed, you will be notified right away via e-mail.

I appreciate your patience in this matter while our engineers are working for a fix. Take care.

Good Morning, @SoftwareTeacher.

After researching this issue further, I've discovered a resolution to help get you back to business. Here are a few steps to walk you through the process:

  1. Open QuickBooks.
  2. Go to Edit.
  3. Choose Preferences.
  4. Find Send Forms.
  5. Select Web Mail.
  6. When the box populates, pick Other in the drop-down box.
  7. Put "outlook.office365.com" in the Server Name.
  8. Type "993" in the Port.
  9. Check the box labeled as SSL.
  10. Send the email again with these changes.

That's it! Check out this link to learn more about Office 365.

Let me know if this helps. I want to make sure that we're able to get this resolved for you as soon as possible. I'll be back around shortly.

This is not a solution.  This is a workaround that we already had.  This does not allow "Delayed Delivery"

Tried doing what you said and of course support had no idea what INV-42598 was.  Just as expected.

I am having the same problem.  I get to the point where it is ready to send the invoice and a pop-up comes up for my password.  I enter my office365 password and I get a spinning circle until it times out and gives me an error.

Thanks for joining us here, JaxGar52.

The status of the attached investigation is still open. The workaround provided in the earlier replies might have let SoftwareTeacher to send the invoices out.

You can follow the same steps from this article: Outlook cannot log on when emailing in QuickBooks Desktop.

I would also recommend contacting our Technical Support if you haven't yet. They'll be needing your account details for them to add you to the list of affected users. Email notifications will be sent as soon as the issue is closed and resolved. Here's how:

  1. Go the Help menu and select QuickBooks Desktop Help.
  2. Click Contact Us.
  3. Let them know that you're getting an error with Outlook .
  4. Click Continue, then select the available options.

Let me know if you need anything else.

Port 993 is an inbound port NOT an outbound port. Port 587 is an inbound port and it uses TLS

This solution seems like it's for QB for PC?  I have the Mac version and I do not have these same options you mention below.

Hi there, @hunter9.

Are you referring to the steps about how to update the newest Microsoft Office 365 release in QuickBooks desktop for Mac? If so, you can follow the steps provided below. Before doing that, check out first our system requirements for QuickBooks Desktop 2019 and Enterprise Solutions 19.0.

  2. Choose Check for Updates
  3. Select Automatically keep Microsoft Apps up to date to receive the latest security fixes and feature improvements as soon as they become available, helping your Mac stay protected and up to date.
  4. Hit Update to download and install all the available updates.

However, if you are referring to the steps provided by my colleague Candice, you can visit this article for the detailed steps in QuickBooks Desktop for Mac: Connect and track emails in QuickBooks Desktop for Mac.

**************  SOLVED ***********************

I dont normally post my findings on message boards, but I thought I might help everyone who is battling with this issue.

I found the problem and the solution, the send forms dialog box uses SMTP AUTH a method for authenticating that is insecure and not enabled in Office 365, most applications use MODERN AUTH and thats where the whole problem lies.

SMTP AUTH is basic authentication and all I had to do was enable (SMTP AUTH) on Office 365.

Sounds easy, well I will attach the links to reslove it.

Step 1

Install Powershell 7 on your Windows PC (Find the .msi file)

Step 2

Install the Exchange module for Powershell 7

https://docs.microsoft.com/en-us/powershell/exchange/connect-to-exchange-online-powershell?view=exch...

Step 3

Using Powershell - Enable SMTP AUTH on your Office 365 Org or individual mailbox.

https://docs.microsoft.com/en-za/exchange/clients-and-mobile-in-exchange-online/authenticated-client...

I am posting this in the hopes that the quickbooks staff will document a formal step by step documentation for you guys. It took me a good hour to read through all the links above.. Good luck guys.

I am having the same issue as well. QB "help" tells me to hire an IT person

Hello there, @coffeelady1.

To help resolve the problem, you can try the workaround provided by @Eugene D, which fix the issue.

As for the IT person, can you provide more detail on why QuickBooks Help tells you to hire an IT person?

You may also want to check out this article to know how to fix the error “Outlook cannot log on” when you email reports or transactions in QuickBooks Desktop: Outlook cannot log on when emailing in QuickBooks Desktop.

Keep me posted on how things go on your end after trying the steps above. I want to ensure this gets resolved for you. Have a good day.

Thanks for your response. However -- I do not get any error message (as others have reported- QB simply closes) so the article you had me read is not applicable. QB "help" told me to hire an IT person bc according to them it is not a QB issue.  The reality is that QB knows about it, has known for some time and doesn't want to pay to fix it. They don't want to help for the same reason.

I appreciate you following up with the Community, coffeelady1.

Our Product Investigations team conducted an investigation (INV-42598) and determined that the "Outlook cannot log on." message is caused by an outdated Microsoft Office 365 build. This error can be resolved by updating to the program's latest release.

Here's how:

  1. Open Outlook.
  2. Access your File tab.
  3. Choose Office Account, then click the About Outlook button.
  4. Hit Update Options.
  5. Select Update Now.

Now that you're using the latest release of Microsoft Office 365, you can return to your books and send emails as normal.

You'll additionally be able to find many detailed resources about using QuickBooks in our help article archives.

I'll be here to assist if there's any questions. Have an awesome day!
