How to clear out offsetting journal entries and credits

This method does not work. All are super old general journal entries that need to be matched up - in both AP and AR detail reports. The balances of each these is 0, so just need to match them up and clear them out. They do no appear in either "pay bills" and "receive payments" as they are all JE. Please advise on proper method to clean this up

In QuickBooks Desktop (QBDT), a clearing account is used to move money from one account to another without moving it directly. It is like a holding account that holds your funds until you're ready to move them. Thus, you can set up a clearing account to match and clear these entries. To do that:

 

  1. From your QBDT account, go to the Lists menu and select Chart of Accounts. Then, click New.
  2. In the Add New Account window, select the Bank radio button.
  3. Select Continue.
  4. Enter Clearing AccountBarter Account, or Wash Account in the Account Name field.
  5. Please don't enter an opening balance.
  6. Select Save & Close.

 

Once done, here's how to use a clearing account:

 

  1. Create a journal entry and add the Account Receivable (AR) or Accounts Payable (AP) accounts from which you are moving money.
  2. Add the Clearing account and save the journal entry.
  3. Then, create a second JE and add the clearing account.
  4. Add the AR or AP account to which you are moving money.
  5. Link the Journal Entries together either in Pay Bills or Receive Payments.

 

Additionally, I'd recommend consulting your accounting professional for additional guidance. They can advise you further on what AR or AP account to use and ensure your records are accurately balanced.

I have tried all methods listed to this question.  I can't seem to get any to work.  Could it possibly be because my JE's, and Invoices are from 2015 and this information has been condensed to save space?  I really would like for my detail report on this customer to show no transactions at all.

Nothing they tell you to do will work. They don't understand the question or just don't know how the AR reports looks or works. My AR report is a nightmare with debits and credits that should be able to wash each other out and there is no way to get rid of them. The "experts" think it has to do with a customer credit etc and don't listen to the problem. I have a journal entry and a deposit that have been on my report since 2021...no way to get it off and the net is zero. In the customer center it is fine...nothing due however it will forever be on the AR report. I have a whole page of this crap.

This worked for me. I had old offsetting JE from 2019 and I was able to get rid of them.

Go to the year the JE was created

AR

Select new

Select receive payment enter the customer name and leave the amount received blank

for the payment date, enter the date you'd like to use for an invoice closing date for your reports. Under outstanding transactions, put a checkmark next to the invoice to be paid with the credit. under credits, put a checkmark next to the CREDIT. choose save. the zero balances should now be gone from the AR. "Now I need the solution to remove old offsetting JE from AP"  I've tried everything

Hi. Hopefully you have found a solution since already.  I too had the same problem with my AP Aging Report.  The report listed all the old transactions even though the customer had no balance.  This is how I cleared them up:

 

1. Go to the Pay Bills Screen

2. Filter for the vendor

3. Select a bill

4. Select the Set Credits Button 

5. From the Discounts and Credits Screen, find the corresponding JE, select it

6. Select Pay Selected Bills

7. Run your AP Aging Report to verify the off setting transactions no longer show.ope that

Did you figure how to clear entries off of the report?  The customer has a zero balance but one entry is put in with a check and then payments applied with a journal entry to reduce the balance.  (loaned employee money and payroll deducted, now I know not to do that)  I have a list of journal entries that equal a zero balance but I need to get it off the report.

Regarding the journal entries that are equal to or equal to a zero balance or have a zero-balance situation, you'll want to filter the report and set it to except those with zeroes. This way, when you run the journal report with zero balance, it'll not appear on your end.

As usual no help and no answers that work. Yeah...we want to pay someone to get rid of journal entries in our AR Aging Detail report...no thanks. Fix the problem. We shouldn't have to compromise and do a work around.

Hi Kbatesh, sorry the suggested method that worked for me to clear out offsetting transactions didn't work in your situation.  The steps listed were to clear out AP aging transactions.   No work around is required - the journal entries just need to be applied against each other.   No payment is required or suggested to get rid of journal entries.  Your message indicates you are trying to clear out AR aging journal entries.  Sanitized screen shots of the aging report and the journal entries that you are trying clear would be helpful to better understand your particular situation.

Thanks WhitneyTeigan. That's it! You helped me clear two offsetting GJEs in QB Desktop. Now the customer doesn't show on my aging list with a dumb zero. Yay. Thank you, thank you. So glad I kept reading this string of messages.

This worked for some of my customers, but I have several who have no data (invoices or credit balances) to offset.  They still appear on my aging with zero balances. Please help to clear these zeros.

I believe I figured it out on my own.

 

1. Open RECEIVE PAYMENT

2. Enter the name of the customer

3. Click FIND A CUSTOMER/INVOICE

4. Click SEARCH

5. Choose the customer and the credits will appear

6. Offset as mentioned prior - click "APPLY CREDITS" and offset.

 

Note:  It isn't working for all, but most!
