Join nowI've been able to set up pricing rules to sell product to certain customers at different sales prices. What I'm needing to do is create estimates that utilize those rules so we can send out quotes to customers. Is this possible?
Solved! Go to Solution.
I wonder if you are confusing how Price Rules work, with how to use Price Levels. Price Levels works better for setting Customer Price Points. Price Rules are relative to the Item, the purchase and the selling; Not to Whom you are selling.
Please see my attachment.
You've reached the right support, JBSt3.
Let's get this sorted out. I can help you apply Price Rules on your Estimates so you can send out quotes to your customers.
Here's how to create Price Rules in QuickBooks Desktop:
You can check out this article to learn more about Price Rules in QuickBooks Desktop: Use Advanced Pricing.
Once done, you can now apply it to your estimates. Here's how:

That's it. Let me know if you have any other questions and I'll get back to you.
Thanks for your response. The issue now is that I don't have the Z icon showing up on the estimate when I enter the item. Is there a setting that must be switched on somewhere to have this appear?

Hello there, @JBSt3.
I appreciate you coming back to us for additional support. Allow me to join this thread and clear this up for you.
The Z icon should show up once you turn on and add price rules. Next thing we need to check is your estimate format. Let's make sure that the Cost column is added:
Once done, add an item and go to the Cost column. Then, click the Z icon.
That should guide you in selecting a price rule on the Estimate window, JBSt3. For additional reference, please check this article: Use and customize form templates.
Please know that I'm still here to help you further if you have more questions. Just add a comment or mention my name. Wishing you all the best!
Our estimates do have the cost column, but we are not seeing the Z icon. I tried removing it and adding it back to my template and that did not solve the issue. Any other suggestions of what I might try to get the estimate to load pricing rules?
Thank you for joining the thread, Operations_Monkey.
Assuming that you've enabled your Price Rule, not having a Z icon means you're using Price Levels (not Price Rules) or the date of your transaction is not within the price rule you set. Therefore, we'll check these things to find out why you have the missing Z icon.
You'll know if your price rule is enabled when you see the Price Rule List in the Lists menu.
You can also check the date range of your Price Rules, and compare the date of the transaction in concern. If the date is not within your specified range, the rule won't apply to your transaction.
Please let us know what you'll find out, and we'll help you further. Have a good day!
JessT, Thanks for getting back to me so quickly. I was able to contact Quickbooks support and found out that, unfortunately, this only works in Quickbooks online, and we use Desktop. We are definitely using price rules and not price levels, and the dates for each one to start was 1/1/2020, so they are definitely active. They work in the invoices, but not the estimates.
If you know of a way to get this to work, I would greatly appreciate it, but it sounds like it may not be possible with Desktop.
Thanks again for your help!
Hello again, @Operations_Monkey.
I appreciate you following up with the thread. At the time, the option is only available in QuickBooks Online (QBO).
The ability to do this in Desktop is something that I can see being helpful to you and others. With that in mind, I've submitted feedback, which is sent to the Development team for consideration when adding new features. For information on functionality that's been added in the newest version, I recommend the following link: What’s new in QuickBooks Desktop 2020.
Please let me know if I can be of further assistance. Take care.
Bummer. Thanks for the quick reply, even if it's not what I wanted to hear.
If anyone knows any clever workaround, I'll take it, otherwise I guess we just have to wait for them to implement this in Desktop.
Thanks again for your help and for submitting feedback!
We would also like to see the different Vendor Pricing available in our Estimates. We have customers that are contracted to use a certain supplier and would like the option to select the vendor pricing for the item.
I would prefer not to set up a price rule to avoid entering it twice since this item price by vendor has already been uploaded to the Vendor Items.
We use quickbooks enterprise 2020 desktop.
Hello there, V3Constructioninc.
The prices when creating a transaction including estimates is based on the sales price and not on the vendor price. You'll want to manually edit the amount as a workaround.
I've added this link to learn more about creating an estimate in QuickBooks Desktop.

Hi all, we use QuickBooks Desktop (Enterprise Contractor 18.0) and we were running into this same issue where we have Price Rules turned on (because we need customers to have multiple rules applied for our different products) and we couldn't get Customer Estimates to populate with the pricing data either. Then I stumbled on some info from QuickBooks that says if the "Markup" column exists in your estimate or invoice templates, the price rule pricing won't populate. If you're OK with leaving the Markup column unchecked completely in your templates, then Price Rules DO work with QuickBooks Desktop Estimates :-) Sorry if this was already said in this thread and I missed it.
