The older "ViewMyPaycheck" had instructions that we could email to new employees. Does "QB Workforce" have similar instructions we can email to new employees?

I suggest you fix this issue ASAP or you will lose all of your Desktop customers who don't want to use QB Online.  Please stop directing us to QBO information.  We use Desktop for a reason.

The fix is real simple.  Put a checkbox on the Employee screen to automatically send an invite to the employee.  When the first paycheck is transmitted this should trigger the invite.  Do not make us do it manually.  That process obviously doesn't work (ActiveX dependent on outdated Internet Explorer, Really???)  and it is cumbersome for your customers.  You need to ditch that process.

Make it simple...and stop responding about how much you care and then do nothing. I have called on this issue over 5 times and you never send any communication back my way.  I have to call again and again.

I already got a quote from ADP.

This is still not working.  We either get "invite failed" or "you do not have security" - even when logged in as Admin.  The solution sent to me today was to provide paper stubs.  This is not an option as our employees are not even in the same state.  Your next update is schedule for July 16 - TWO weeks from now.  Unacceptable service.

Agreed.  Seems they are pushing everyone to QBO which is not an option for most of my clients.  Unacceptable service plus wait times for customer support is as long as 45 min even for Pro Advisors.

Your engineers have been researching for months.  I see the next schedule update to try to resolve is not scheduled until July 16th so I see no solution in the near future.

It has been over a month that I addressed this problem with Intuit, and it is still not resolved.  It is unreasonable of Intuit to expect its users of Quickbooks Desktop, to not have a way for their employees to access View My Paycheck for such a long period of time.  Intuit should've beta tested the change to Workforce, before they went live.

We pay top dollar for Enterprise, with full-service payroll, and it is essentially failing in this regard.  I shouldn't have to individually select our newer employees that do not have the ability to sign up for View My Paycheck because of your error, and email each of them their pay stubs each week.  Every time anyone asks questions about this online, you bombard them with QBO instructions.  QUICKBOOKS ONLINE IS NOT THE SOLUTION TO EVERY QUICKBOOKS DESKTOP PROBLEM.  Any robust user of QB desktop knows that you are very limited with the abilities of QBO, and there is a reason we are staying with the desktop version.

Please resolve this problem.

I have this same frustration.  Our employees who do not understand the backside of how payroll works, think its all on us, that we are not doing our job.  When we trying to explain that it is an Intuit Quickbooks problem, they think we don't understand, and just need to go into our system and fix it.

Why do you keep posting QBO information when you know that it is NOT a solution to this problem?  Please only post information that is relevant to this thread, and to Quickbooks Desktop users.

Thanks for joining us in this thread, QFP.

Your feedback is important to us. I'll take note and forward this directly to our engineers.

While this is still under investigation, our developers have discovered a workaround by inviting your employees using their email address.

You can follow these steps to invite them:

  1. Log in to your Intuit account in QuickBooks Desktop.
  2. From the Company menu, select My Company.
  3. Click on Sign in on the top right corner.
  4. Then, log in using your Intuit ID and password.

For further guidance, refer to this article: Give employees online access to paychecks and W-2's.

To make sure you're able to receive updates on this ongoing issue, I highly recommend contacting our QuickBooks Support Team.

Here's how to get in contact with them:

  1. Open QuickBooks.
  2. Go to Help.
  3. Choose Support and click on the Contact us link under Additional Resources.
  4. Select a topic.
  5. Click on Call Us or Message Us.

Don't worry, I'll so notify you once a permanent fix has been implemented.

I appreciate your patience and understanding while we look into this. Please know that this issue is being treated with the utmost urgency.

You can leave a message below if you have any other concerns. I'll be here to keep helping. Take care.

This step does not resolve the security error question. The "Manage your Account" log in looking for the Intuit log in account of the owner of the CPA's Quickbooks software not the owner of the company for which we are doing the payroll.

Hello there, @nipa.

I'll help ensure you'll be able to view your paychecks online.

I've checked that we have still an ongoing issue about viewing paychecks online and our engineers are still currently working on this issue. If you're already added to the list of affected users, you'll automatically receive an email notification with the latest update.

However, I'll also recommend getting back with our Support Team or chat with our representative. This way, they'll be able to check this further and open the reopen/check the previous case you have.

You may check this article for additional reference about viewing paychecks online: ViewMyPaycheck.

I'll be right here to help you if you have further questions about payroll or viewing paychecks, feel free to add a post/comment below. Have a wonderful day ahead!

We have been trying to resolve security issues for several weeks and are not getting any satisfaction, Case # [removed] & Ticket # [removed].  The reality is desktop users who are not the QuickBooks "Admin" cannot send invites, for a client that turns over 20-30 employees a month this is a HUGE problem.  Imagine for a moment the need to see the company President to get new employee invites sent out, or to resend because an employee let the invite email expire.  Our QuickBooks Admin can't even get access to send invites at the moment because the security coding is a mess.  Wish we could get a call with a solution.

Just so I am clear, you launched a product without testing and after months of no access you are telling me you have no solution?

The employees still do not have online access to their paystubs.

Greetings, @lorrieblackford.

Thanks for visiting the Community. I’m here to share some information about QuickBooks workforce, formerly known as ViewMyPaycheck.

Yes, your employee will receive an invite with the instructions to set up an account in order for them to view their paychecks online.

Once you’ve added the new employee to QuickBooks, go to the Personal Info section and enter their email address, then select Invite this employee to view their pay stubs and W-2s online checkbox.

After that, they have to log in to their email and click the link sent to them to access the Workforce.

Check out the following articles to learn more:
•    Set up online pay stub access for employees (QuickBooks Workforce, formerly ViewMyPaycheck).
•    Notify employees of new pay stubs in QuickBooks Online.
•    Access W-2s in the Workforce.

That should get you pointed in the right direction. Let me know if you have questions or clarifications, I’ll be here to answer them for you. Thanks for dropping by and take care!

The link to employee instructions does bring you to the correct webpage, however, when I select "printer friendly page" the screen is blank except for an error message "cannot load widget".  Please help.  Thanks

Thank you for the screenshot you added, dso0216.

I have also tried using the Printer Friendly Page option on Chrome and Firefox, and I got the same error. However, I was able to do it using Internet Explorer. The error still shows but the content is visible.

If it still doesn't work on your end, I recommend using Print Screen on your keyboard. You also have an option to send it via email.

Let me know how it goes. Have a great day.

This is not a work around!  I have wasted so much time talking to multiple QB reps who basically tell me I don't know what I'm doing when I told them I do not have access to invite my employees.  If you know this is a huge problem, then you need to tell your reps who are answering the phone and chats.  They, too, obviously have no idea what's going on.  We are paying for your product, therefore, we should be receiving all the services you offer.  This is absolutely ridiculous that there has been no resolve to this issue.  It has been almost one year!  Terrible service....terrible customer service...it's in our budget to find another product.

Hello there, @kmcbeard.

If you're using QuickBooks Desktop Payroll, the option to invite employees to access their W-2s online and paystubs are available if you log in as the Admin. Other users may have full access, but only the Admin can send Workforce invites.

However, if you're the current Admin, but you don't have the option to invite employees, we have an ongoing issue about the Unauthorized Intuit Account, error. I recommend following the steps below to resolve the error:

  1. While QuickBooks is open, press the F2 and F3 keys.
  2. Go to the Open File tab and look for QBW.INI.
  3. Highlight QBW.INI and click on Open File.
  4. Add the following configuration:
    [SYNC_SETTINGS]
    CLEARSYNC='Y'
  5. Save the file and close it.

After that, reset the Intuit ID settings in QuickBooks:

  1. From the Help menu, choose Reset Intuit ID Settings.
  2. Type in YES to confirm and click on OK.
  3. Click OK to close the Reset Intuit ID Settings confirmation window.

Then, open the QBW.INI file again by following the first set of steps above and remove the configuration added. Lastly, reset the Intuit ID Settings again. Once done, please refer to this article to invite your employees, set up their accounts, and make sure they can access the forms: Set up QuickBooks Workforce for your QuickBooks Desktop.

Also, I know you already talked to our QuickBooks Care Support, but I still suggest contacting them again to add your account to the list of affected users. This way, you'll receive email updates once available. You can use the investigation number INV-32422 as your reference.

If you're using QuickBooks Online Payroll, only a company admin or master admin in the account can send invitations to employees. Once the employee's profile is set up and with an email address, the employee will receive an email to accepts an invitation to create their own Intuit Workforce account. This also allows them to choose their user ID, personal settings, and security info.

You can send the link below to your employees to learn how to accept Workforce invite and some FAQs about this feature: QuickBooks Workforce: Access your paychecks and W-2’s online.

Please don't hesitate to leave a post anytime if you have other questions about payroll. Wishing you and your business success.

Terrible option.  The Admin is not always the person doing the payroll.  If a user has access to all payroll features including sending direct deposit they should be able to invite an employee to view the paycheck they just prepared for them!  We host QB and most of the Admin's are the business owners that pay us to to process payroll.  They are not going to log in every week and send invites to new hires.  The Workforce option is just awful.

Hi there, @kmcbeard. Thanks for updating us. I'll get you back up and running in no time.

Just to clarify, you must first hit F2, then once the Product Information window is displayed, hit F3. A Tech Help window will be displayed. At the top of this window, locate the Open File tab and follow the steps my colleague provided above.

Please reach out if there's anything else I can do to help, I'm determined to be your number one resource for QuickBooks Desktop.

I tried following the instructions you gave, but it did not clear an error that comes up, "Company Realm Error - The access to VMP admin view is denied because the realm ID was not found. To access administrator privileges for ViewMyPaycheck, 1) Close and reopen your company file. 2) On the My Company window, sign in with your credentials (Intuit login and password) in respective fields."

I did what the message said, but cannot find anyway to resolve the realm issue from logging into the My Company area.

The employees who were using View My Paycheck have all converted over to the Workforce, and it is working fine for them, but other employees or new employees are having issues, getting a message saying "Your employer isn't connected to Quickbooks Payroll. Contact them to access your paycheck" I was going to send invites to these people. but cannot access that because of the realm ID issue. I am thinking it is connected, but not sure. Is there any help regarding this realm issue? And if it can be fixed, will I be able to send invites? Sounds like a lot of users are having issues with this, even without the realm issue.

Thanks,

Thanks for posting in the Community, @angiejgund.

Currently, we have an ongoing investigation about viewing the Workforce. The case code is INV-32422, where you encounter a Company Realm Error in which you have applied the steps. Our Engineering Team is working its best to fix the issue.

Rather, I recommend contacting our Customer Care Technical Support to tag your account on the INV. That way, you'll receive a notification via email once our Engineering Team resolves the issue. To reach support, press F1 and click Contact Us.
