I am leaning towards QuickBooks Desktop PRO 2023 to upgrade our 7 companies from our QB Pro 2009. In speaking with Jason in your customer service dept, we will have to purchase a Windows 10 computer. The QB desktop pro 2023 will, again, be one a standalone computer, non-network and not connected to the internet computer (will have to put the download on a jump drive and transfer to the new computer......I noted on the system requirements, BROWSER REQUIREMENTS, that it states this............ "requires an internet connection at least once every 14 days. This lets QuickBooks Pro Plus, Premier Plus, Premier Accountant or Enterprise subscriptions sync license information. QuickBooks will use your default browser." BUT, I assume since we would be getting the PRO version, this would not apply to us, correct?
Let's check this further, Your commitment to understanding the QuickBooks licenses and system requirements is commendable, @KLE24. I'm here to share some information about this.
Intuit QuickBooks discontinued all standalone versions from 2022 onwards. This means that all QuickBooks Desktop products are on a Plus subscription, which requires an internet connection every 14 days for the syncing license.
To learn more about managing and upgrading your QBDT version, check out this article for further guidance: Upgrade QuickBooks Desktop Pro, Premier, or Enterprise.
Once you install the QB Pro 2023, you can initiate the process of moving your company file. For detailed instructions, please proceed to Step 2 outlined in this article: Move your company files after you switch to a new version of QuickBooks Desktop.
Don't hesitate to contact me if you have any questions or need further guidance about QuickBooks licenses. I'm all ears and happy to help.
And with the QB 2023 desktop pro, I assume I can run all 7 companies off this same program (like I do now with the Pro 2009 version), correct? And your team could help me with porting over the data.
Thank you for considering upgrading to the Desktop Pro 2023, KLE24. Yes, you can run multiple companies, and we'll assist with porting over the data.
You can set up as many company files as you'd like. Therefore, QuickBooks Desktop Pro 2023 can accommodate seven (7) companies under the same program. Although managing multi-company files with a single license is possible, you can only have three (3) EINs. These materials will guide you through the setup:
Additionally, our support team is eager to assist you in transferring your data from the current edition or version you have to the new program. Rest assured that we'll do our best during the process. Check out this article to reach them out: Contact QuickBooks Desktop support.

To confirm, we are currently running QB Pro 2009 and all of our 7 companies have their own EIN#. Your statement about Deskstop Pro 2023 only allows (3) EINs doesn't make sense to me. We don't use the program that is connected to a bank to pay bills and we don't run payroll from your system either. We simply pay bills via check and invoice customers. Thoughts?
Thanks for clarifying, KLE24. I'll provide further details about creating multiple companies using QuickBooks Desktop (QBDT).
QBDT Pro 2023 only allows three (3) EINs if you'll be processing payroll. Each payroll service can have up to three EINs. Since you'll be utilizing the software without add-on online services, like banking, payroll, and payments, you should be able to set up all seven (7) companies when you decide to upgrade. To do so, refer to this article: Create a QuickBooks Desktop company file.
Moreover, you'll have to update your company files to be compatible with the newer versions of QBDT. You might want to check out this article for the step-by-step guide on how to do so: Update your company files to a new version of QuickBooks Desktop.
Please know that I'm just a reply away if you need further assistance managing your company file and upgrading QBDT. Take care, and have a good one.
We purchased another computer and buying the Quickbooks Desktop Pro 2023 version. This is an upgrade from our Quickbooks Desktop Pro 2009. Is it considered an upgrade (I still have the CD install box w/ serial #'s) or does it matter? We even have the QB 2012 mac that we never used. Thanks for your input.
I'll be happy to answer your question, KLE24.
Yes, it's considered as an upgrade. However, it isn't necessary to download the 2009 QuickBooks Desktop (QBDT) version on the new computer using the CD. Instead, you can download the 2023 version directly and restore the backup. You can get the download link for your version of QuickBooks from the Downloads & Updates page.
To restore a backup company file, here's what you'll need to do:

In business, every penny counts, KLE24. I want to share some important information regarding the compatibility of QuickBooks Desktop with Windows 11.
At this time, QuickBooks Desktop 2021 is not fully compatible with Windows 11. To ensure you have the best experience with QuickBooks Desktop 2021, including the Pro version, check out the detailed system requirements at this link: System Requirements for QuickBooks Desktop 2021.
If you're currently running QuickBooks Desktop 2021 on Windows 10, we recommend continuing with this configuration until we confirm full compatibility with Windows 11.
Moreover, if you're using a Windows 11 computer, make sure to install the latest version of QuickBooks Desktop to ensure smooth operation.
Feel free to reply to this thread if you have follow-up questions about the QuickBooks system requirements. I'm more than happy to help you.
OK, when I click on your System requirements, it does NOT list Windows 11 but if you are stating the MINIMUM requirements for QB Desktop 2021 has to have at least Windows 10, then that makes sense. I was confused because when you search in your community threads regarding this issue, it notes QB is aware of the incompatibility issues with Windows 11 and that your team was working on a resolution (reference: AbegailS_ QuickBooks Team February 09, 2023 06:44 PM, Thanks for getting back to us, @PEStaffing. Currently, we're unable to provide a specific timeframe when this will be implemented. Rest assured Intuit is working to ensure QuickBooks Desktop 2021 products will work as designed with Windows 11. We intend to complete the compatibility certification process soon. It may take some time because our engineers are making sure there will be no problem in the long run).
Then a more recent post from JorgetteG, QuickBooks Team (June 07, 2024 08:08 AM. Every penny is important when running a business, SteveB100. I want to share some important information with you regarding QuickBooks Desktop and its compatibility with Windows 11. You're correct that Windows 11 is not compatible with QuickBooks Desktop (QBDT) 2021 and older versions….)
So you are stating that QB has completed their compatibility certification process recently and Windows 11 can now run QB Desktop 2021 effectively? We will take your instruction and download the installer on our computer and restore our qbw files.
I can see the confusion regarding the compatibility of QuickBooks Desktop (QBDT) 2021 with Windows 11, KLE24. I'm here to provide a clear breakdown of the latest updates.
Currently, QuickBooks Desktop 2021 isn't fully compatible with Windows 11. Our team has acknowledged the compatibility issues and has been working on resolving them.
If you are currently using QuickBooks Desktop 2021 on Windows 10, it is advisable to continue using that setup until we confirm full compatibility with Windows 11.
Otherwise, you can continue using the Windows 11 computer and ensure you have installed the newer version of QBDT.
To check for further system requirements for installing QBDT, you can visit this article for more details and information: System requirements for QuickBooks Desktop 2024.
Your patience during this time is greatly appreciated, and I hope that a solution is implemented soon so you can continue to work seamlessly. If you have any further questions or need assistance, please don’t hesitate to reach out.
LeizyIM, Windows 11 was launched 3 years ago in October 2021. It doesn't seem like there is a sense of urgency to accommodate this compatibility issue. When will QB confirm full compatibility?
To confirm, we were on Windows XP Professional but the QB desktop 2021 wasn't compatible so we purchased a new laptop for this specific QB desktop 2021 program. Windows 11 is the OS that was pre-installed on this computer.
Is Windows 10 fully compatible?
Yes, QuickBooks Desktop (QBDT) 2021 is fully compatible with Windows 10, KLE24. I'll be pleased to add more details regarding this matter for clarification.
Windows 10 is compatible with QBDT 2021 across all editions, including 64-bit, natively installed. Using Windows natively instead of through an emulator or virtual environment is recommended to maximize your experience. For more information, refer to this material: System requirements for QuickBooks Desktop 2021.
On the other hand, while our team is working on the compatibility of QBDT 2021 in Windows 11 to address related issues, please know that we currently don't have the exact time frame for the implementation.
Moreover, you'll want to update your company file to keep it working with the new version of QBDT. You can scan this resource for the detailed process: Update your company files to a new version of QuickBooks Desktop.
If you have other queries about the compatibility of your operating system with QuickBooks Desktop, you can leave a comment in this thread through the Reply button below. We're here to help anytime you need a hand.

Is Windows 10 fully compatible?
You can't downgrade your OS to Win 10 unless you purchase a new OS license to replace it on your new machine. I can run QB Desktop 2021 Premier and Enterprise on Win 11 Home without any issue.
We purchased a new laptop running Windows 10 (64 bit) for the QB Desktop 2021 program and want to use it to run our 7 companies (A/P and A/R only). Since we were previously using QB desktop Pro 2009, we updated our company files.
For some reason, 6 files opened fine yesterday (was working on the 7th file but ran out of time) and I tried to open a few of the same companies today (didn’t try the other files) and received a window stating "Problem Connecting to Server Error -6123,0 message....and to complete the File doctor or make sure the server is setup for the qb database manager. For the largest file that I couldn't open at 311KB (I can open it in QB2009, but a month ago I had performance issues, running slow which prompted us to go to QB Desktop 2021), I started the File Doctor (check your file option), but, it ran for 26 hours and said "this could take a few minutes....Repairing your file". I stopped the function this morning since I had to transport the laptop to work. Should I have let it go longer?
To confirm, this is NOT connected to a network or internet, but a stand-alone workstation. The program is on the hard-drive and qbw files all reside on the desktop of the laptop. As ALDREN18 (QB Team) noted on the post dated 10-11-24, the correct option I should be using is SERVER vs workstation. Do you think that I chose the incorrect terminology when I was setting up the program/files? Bottom line, I can’t open any of the updated 2021 files. Thought this upgrade process was supposed to seamless but, what are your thoughts/comments? Thanks.
Yes, @KLE24. You need to finish the QuickBooks File Doctor to open your company file in QuickBooks Desktop (QBDT). Allow me to discuss this further below.
The reason why you still can't open your company file is that you haven't finished using the QuickBooks File Doctor tool that can help you open your company file. Please note that this scan time depends on your file size.

Ok, I guess I will let the File Doctor go longer than 26 hours for the 311KB file, BUT just to let you know, in reference to this file, I am able to OPEN it (in the 2009 pgm) and the system said it had successfully updated our company file to QB Desktop 2021. The 6123,0 error msg came up when I tried to open the new 2021 file. How long do you anticipate the File Doctor to complete the diagnostics on the 311KB file? Does it require internet connection?
I will try the same process with all the other 6 companies too (they are around 30KB-50KB each, thanks.
Ok. Just to let you know, in reference to the larger file 311KB, I am able to OPEN it (in the 2009 pgm) and the system said it had successfully updated the company file to QB Desktop 2021. So, I was surprised when the 6123,0 error msg came up when I tried to open the new file in 2021. Does that seem odd?
If you think I need to let the File Doctor run longer than 26 hours for the 311KB file, I can. How long do you anticipate that it will run? It's a little misleading because is says when the File Doctor is working, it states...."this could take minutes". A little different if it can takes days, weeks, etc. Thanks for the input. And to confirm, does the file doctor require an internet connection?
I will also complete the File Doctor on the other 6 company files (they range from 30KB-60 KB), thanks.
system said it had successfully updated our company file to QB Desktop 2021. The 6123,0 error msg came up when I tried to open the new 2021 file.
Are you having the same problem on ALL 7 company files or just one company file?
Thank you for the additional information, KLE24. It's helpful to know you successfully opened the file in QuickBooks 2009 and updated it to QB Desktop 2021. However, the error you're experiencing when trying to open the new 2021 file suggests potential issues with the conversion process or the resulting file. Let's address your concerns about running QuickBooks File Doctor and provide some additional guidance.
To answer your question, yes, QuickBooks File Doctor does require an internet connection to download and run properly, but once it's running, it should be able to continue its diagnostics without a constant internet connection.
The time it takes for File Doctor to complete its diagnostics can vary greatly depending on the file size, complexity, and the specific issues it encounters. For a 311KB file, it shouldn't typically take more than a few hours. However, if it's been running for over 26 hours, there might be an issue with the File Doctor process itself. For the smaller company files (30KB-50KB), the process should be quicker.
If File Doctor has been running for an excessive amount of time, I suggest contacting our QuickBooks Desktop support. They can provide the details and assist you in the process.
Here’s how:

It's been a long road, thanks for all your help up to this point. Bottom line, I have the QB Desktop 2021 (from QB Desktop 2009) and have successfully migrated all 7 of our companies.
All are up to date and current, except for 1 of the companies, I need to restore / re-enter data from 7-18-24 to date. It was starting to run slow so that's when I went to the 2021 version.
PIease note, I can still open the 2009 qbw file (which has entries up to 10-1-24, this is my DREAM file to import to the 2021 desktop version, but for some reason, it won't migrate/update to the new version). So, my thought, is...can I somehow export A/P and A/R transactions from the time frame I am missing 7-18-24 to 10-1-24 and import them into the 2021 version? Thanks in advance for your help.....on the home stretch.
I assure you that importing your exported timeframe A/P and A/R transactions into your QuickBooks Desktop 2021 version is possible, KLE24.
