How can I resend an invitation to a contractor to complete a W9?

Did they receive an error message when trying to send a reminder? Any additional information or screenshot of the error is much appreciated so I can also check in our system if there are any ongoing issues. 

 

Meantime, they can try logging in through a private browser and send the reminder from there. A private browser doesn't store cache files that can be the cause why they're unable to send another invite. If they're able to resend a reminder, they can switch back to the main browser and clear the cache or use other private browsers if the same thing happens.

I completed your recomended steps but the email doesn't show to resend.  What is another option?  I have added their personal info but I don't know how to proceed in order to resend it to them to complete their W9.  Thank you

Thanks for joining us here. Let me assist you in completing the W-9.

 

Once the contractor clicked the invitation link in the first email, the option to resend will be no longer be available cause it's considered accepted already regardless if they completed the setup or not. You'll want to contact your contractor to get their info and enter them into QuickBooks Online to complete the setup.

 

Another workaround is to create a new contractor profile so you can send a new email. Just make sure to make the old profile inactive first.

We'll have to send a new invite to your contractor, NADR. I'll show you how the way.

 

To send a new invite, I'd suggest adding them as a new contractor. Before proceeding, you'll have to inactivate the old one to avoid duplicates.

 

Here's how:

 

  1. Go to the Payroll menu.
  2. Select the Contractor tab.
  3. Locate the contractor that needs to be inactivated.
  4. Click the name.
  5. Under the contractor's name, click the Active drop-down arrow.
  6. Choose Mark as inactive.

Once done, you can now re-create the contractor. 

  1. From the Payroll menu, select Contractors.
  2. Choose Add a contractor.
  3. Enter the contractor’s name and email in the fields provided, then select Add contractor.
  4. Once done, we’ll send an email to your contractor.

Since you're still having the same issue after performing those steps, let's log into your QBO account using a private browser (incognito). This will help us check if this is a browser-related (cache and cookies) issue.

 

Here's how:

 

  • Press Ctrl Shift (Google Chrome).
  • Ctrl Shift (Firefox).
  • Control Option (Safari).

 

Once signed in, try to send the invite again to double-check. If it's successful, return to your default browser and perform a clear cache to refresh the system. However, if the issue persists, try using other supported browsers.

I followed these instructions but once I entered dummy data in the contractor's profile, the link to send a reminder did not appear as you said it would. Instead, the "If you don't hear back soon, contact them directly" is gone with nothing in its place. How else may I get the link to appear?

Have you tried opening your account and send invitation using a incognito/private window? This is to isolate the latency issues you've experience when sending a reminder.
 

Also, the invitation sent by the employer expires after 24 hours. To make sure you won't get an error, please ask them to resend it.   

 

However, If you've already followed the step provided above and still no option to send a reminder, I recommend contacting our QuickBooks Online support. This way, they can determine why the option to send a reminder isn't available. They can run a remote-viewing session that can help narrow down this issue.

Here's how: 

 

  1. Click the Help button. 
  2. Pres Contact Us.
  3. Enter your concern, then select Talk to a human.
  4. Select from Start messaging or Get a callback

It’s is absolutely horrible that we even pay for QuickBooks. This service is seriously lacking. None of the above options work and now I have 23 inactive contractors just trying these copy and paste solutions here. It’s an absolute shame that no one can see that company’s are in need of a solution and yet none is provided but hey thanks for the payment! If I did this to my clients I would not be in business very long!

Sent myself a invite links 30secs later it has expired. This is a joke and really make me as a company owner look incompetent.

How can I resend an invitation to a contractor to complete a W9?

I am having the exact same problem.  I have 50+ contractors that cannot get their info set-up completed.   You have known about this issue for over 2 years now and still haven't fixed it. This is NOT a user problem; it is a software problem that you know exists and are refusing to own and correct. I have read multiple threads on this exact issue with the exact same responses from the techs answering the questions that DOES NOT WORK and then being told to call in only to be sent the same articles read in the threads (and tried) that DO NOT WORK.

 

If you are wanting to send companies that use multiple contractors elsewhere, this is a GREAT plan.  If you want to keep us, then you need to own up to the issue and fix it.  This is an unacceptable issue that you have known about for two years.  Enough deflecting and finger pointing.  Either fix the problem or lose me as a customer. TWO YEARS to fix a simple issue of adding "resend invite" is terrible customer service.

Wow, it sounds like this is still a problem, despite so many people having difficulties with this. I'm having the exact same problem – triggered the email to contractor, they let the link expire, and there's no way to re-send the email. The suggestion above about filling in their details defeats the purpose, since it doesn't let you leave fields like social security number blank, and that's part of why we're sending the automated email in the first place.

 

It also doesn't seem possible (or at least obvious) to delete and recreate the contractor or I would just do that. I'm just going to have to get the W9 manually, but I'll be weary of using this feature again until this is fixed.

Let me share information about the Workers tab in QuickBooks Online.

 

The Workers menu is now Payroll. A new name with the same great features for you to take care of payroll for your employees and contractors. You can also access payroll-related resources like workers’ compensation, benefits, and HR tools to help manage and grow your workforce.

 

If you can't see the Workers menu, you can look for Payroll from the left menu and then choose Contractors.

 

If there is no Payroll, you can clear your browser's cache.

 

The stored files in your browser are typically the source of unexpected behavior or failures in QBO. Your cache saves the files from many websites you visit, so you can quickly load the pages the following time. The browsing speed of websites like QBO may be impacted if the cache is retaining too much data.

 

It's a good idea to check for issues brought on by a full cache when browsing anonymously because doing so prevents the cache from recording your browsing data. You may also try to use other browsers.

 

  • Chrome: Press Ctrl + Shift + N
  • Internet Explorer and Mozilla Firefox: Press Ctrl + Shift + P
  • Safari: Press Command + Shift + N

If the steps above will not work, you can use supported browsers as an alternative.

 

If the given procedures are successful, I advise you to clear the cache in your browser to avoid utilizing outdated forms, safeguard your data, and improve the performance of our programs on your computer.

 

If the issue persists, I recommend contacting our Customer Care team. You can request a screen-sharing session so they can investigate further the reason for this issue.

 

Here's how:

 

  1. Sign in to your QuickBooks Online company.
  2. Click Help (?).
  3. Select the Assistant tab to get started and get quick, personalized answers. Select a suggested option or type a question or topic you need help with. If you decide you need further help, you can still Talk to a human.

 

You can then choose a way to connect with us:

 

  • Start a chat with a support expert.
  • Get a callback from the next available expert.
