Thank you for joining the Community. I'd be happy to help share some information about billing inactive clients in QuickBooks Online Accountant. 

 

When inactivating the clients, it only deletes their companies from your client list, and their data remains. However, you'll still be charged for their QuickBooks Online accounts.

 

If you no longer wish to be billed for your clients' company, you need to remove them from your Wholesale Billing subscription. Before doing so, please make sure to transfer the Master Administrator role to the clients. So that they have the current Master Administrator's access to make changes to their accounts.

 

After that, you can go ahead and remove them from your subscription. 

 

Here's how:

  1. At the top right, click the Gear icon.
  2. Select Your Account
  3. Scroll down to the Wholesale Clients section and select the client you want to remove. 
  4. Select the Batch Actions drop-down and choose Transfer Billing.
  5. Read the notification, then click Continue.

Once the company has been removed, you will no longer be charged. After that, your client will be responsible for their own subscription.

how about if these were accounts purchased as a sign up package and are not linked to actual clients?

Thanks for joining the thread. I can help with removing clients from your Wholesale Billing.

 

If you received a promotional bundle for client accounts from our sales team, the process for removing those accounts are the same as removing active clients. Below is the process of doing so:

 

1. Click the Gear icon.

2. Under Your Company, select Your Account.

3. Under the Wholesale Clients section, locate the account you'd like to remove.

4. Next to the client, click the drop-down box, then choose Remove from Wholesale.

I'm here to share some information about managing clients in QuickBooks Online Accountant.

 

No, your client won't receive any notifications when you make them inactive. Also, once you make them inactive will no longer appear on your list of clients, but QuickBooks holds onto all their data.

 

To make a client inactive:

 

  1. In QuickBooks Online Accountant, go to the Clients menu.
  2. Look for the client.
  3. Click on Edit client ▼ dropdown and then select Make inactive.

 

If you'd like to make a client active again, here's what you need to do:

 

  1. In QuickBooks Online Accountant, go to the Clients menu.
  2. Go to Gear ⚙ icon at the top of the list.
  3. Tap on Include inactive clients checkbox.
  4. Look for the client.
  5. Click on Make active in the Actions column.

I have a client who sold their business on 12/31/21. I kept QBO open so that I could provide his CPA with information for Tax prep. But I have not inputted any transactions since 1/1/22. The CPA said to check back in September 2022 if there is anything that comes up. I don't want to pay for the subscription anymore and I can't transfer it to the client. Can I download everything in QuickBooks Desktop for "Just in case" purposes?

Hello there, @MDreher.

 

I know it's vital to save information for tax purposes. I'll guide you on how to download everything in QuickBooks Desktop (QBDT) and cancel your QuickBooks Online (QBO) account. This way, you won't be paying for the subscription anymore. Know that there are limitations when you convert your file. That includes the audit log, estimates, and recurring transactions. 

 

Here's how to transfer your data:
 

  1. Sign in to your QBO account using a supported web browser.
  2. Select the URL and replace anything after /app/ with exportqbodatatoqbdt.  The URL should say https://app.qbo.intuit.com/app/exportqbodatatoqbdt. Then press Enter on your keyboard.
  3. Once you're on the Export Overview page, click Get Started and then Continue.
  4. If you'll see a message "You already have a file to download," choose  Continue to Download.
  5. Select Download QBXML file. If QuickBooks prompts you to save the file, choose a location easy to find, like your desktop and then Continue.
  6. In QuickBooks Desktop (QBDT), make sure you're on the No Company Open screen. If you have a company open, go to File and then Close company

 

After that, you can run the migration tool. Proceed to Step 4 in this article: Export and convert your QBO data to QBDT.

 

Once done, I recommend running the Profit and Loss and Balance Sheet reports to ensure that you transferred your data correctly. To verify your reports in both products, filter the date period to All Dates and the accounting method to Accrual. You may also export your information to Excel. This allows you to save, print, and transfer your data digitally if needed. 

 

Lastly, follow these instructions below to cancel your QBO account:

 

  1. Go to the Gear icon and choose Account and Settings.
  2. Select Billing and subscription.
  3. Go to the QuickBooks section and click Cancel.

  4. Choose Continue to cancel, then click the Continue to cancel button in case it appears on the screen.
  5. Go through the steps that follow.
  6. Click Submit and cancel subscription.
  7. Click Got it.
