Import bank transactions from Excel to QuickBooks

Hello there, @erkatz.

Thanks for contacting the Community for support. I'd be happy to provide some information about importing files into QBO.

One option you may want to consider is to export the data from the old QBO. The data that can be exported and imported are Bank Data, Customers, Vendors, the Chart of Accounts, Products, and Services, and some reports. There are just a few steps to get this done.

Here's how:

1. In the old QBO account, click the Gear icon in the top right corner.

2. Select Export Data.

3. You'll be asked why you're exporting. Choose an answer and click Continue.

4. In the Export Data window, select the data that you'd like to send to Excel.

5. Choose Export to Excel.

This article will provide additional information on importing and exporting in QBO: https://quickbooks.intuit.com/community/Reports-and-accounting/Export-then-import-list-data-into-Qui...

At this time, there isn't an option to export and import file data directly in QBO without Excel. I can see how this would be helpful. I'll be sure to send a message to the Product Development Team to let them know you'd like to have this ability.

You can keep up with feature releases and product updates by viewing the QuickBooks Blog: https://quickbooks.intuit.com/blog/.

I wish you and your business continued success. Please let me know if you have questions about this process or anything else in QuickBooks. Take care.

Allow me to step in and provide the steps on how to import the .QBO file to QuickBooks Desktop (QBDT), erkatz.

You can import the Web connect (.QBO) file to the existing bank account you've already set up in QBDT. And, here are the steps:

  1. From the Banking menu, select Bank Feeds, then Import Web Connect Files.
  2. Select the QBO file from your computer, then click Open.
  3. When prompted to select a bank account, choose Use an existing QuickBooks account.
  4. Select Continue.
  5. You'll see a dialogue box telling you that the data has been successfully read into QuickBooks
  6. Click OK.
  7. Go to the Bank Feeds Center to review your transactions.

Please browse this link for more details: Import web connect (.qbo) files.

For your next step, check out this article that can walk you through the steps in balancing your finances effectively: Reconcile an account in QuickBooks Desktop.

Hi lnc216!

Thanks for posting here. Let me help you in importing the bank transactions.

First, I'd like to know if you encountered any specific errors. That way, I'll know exactly what's the reason you can't continue.

Before you upload the file, make sure that your QuickBooks Desktop is updated. You can follow the steps in this article on how to install the latest version: Update QuickBooks Desktop to the latest release.

Also, ensure that the file you downloaded is in .QBO format. This is the only supported file format for Web Connect. If the same thing happens, please check this link: Fix Web Connect import errors. Then, follow the steps from Step 4.

Once everything's good, you can now add and match the imported entries.

Need help in balancing your books? Please check this link: Reconcile an account in QuickBooks Desktop. This explains the steps in reconciling your accounts as well as how to print the reconciliation report.

Comment again here if you have additional concerns. Thank you!

@lnc216

Which file format do you get? If you are using an outdated QBD version, you have to convert QBO files to CSV then utilize another tool to import them into your QBD file.

Glad to see you here in the Community, @Deesyb.

Allow me to provide additional information about importing bank transactions in QuickBooks Desktop (QBDT).

QBDT only supports .QBO file when importing bank transactions. If your bank can't download the said file, you'll have to convert it first. This way, you can import your transactions seamlessly. To find a file converter, you can go to our QuickBooks App Store.

After converting the file to .QBO, you can now proceed with importing bank transactions in QBDT. For more guidance, feel free to check out this article: Import Web Connect (.qbo) files.

Once everything is set, and you're ready to reconcile your bank account, you can read through this article for the detailed instruction: Reconcile an account in QuickBooks Desktop. Reconciling account make sure your QuickBooks transactions match your real-life bank statements.

Should you need any additional assistance while importing your bank transactions, you can leave a comment below. I'll be sure to get back to you.

The link in your answer gives instructions to import only accounts, vendors, customers, and items, even though your comments indicate it is possible to import bank transactions in Excel/CSV format. Please tell me how to import the banking transactions from Excel/CSV format into QB Desktop Accountant.  Our customer has sent me Excel spreadsheets with all their banking transactions.

Thanks for joining the thread, @JKGray. I'm here to help you import your bank transactions to QuickBooks Desktop (QBDT).

Also, thank you for the additional work-around Fiat Lux - ASIA.

The option to import bank transactions to QBDT using the .CSV file is unavailable. However, we can import your bank transactions using the .QBO format.

Once you've already converted your CSV/Excel file to .QBO, we can now proceed with importing bank transactions in QBDT. Here's how:

  1. Log in to your bank and download the transaction as .QBO file.
  2. On your QBDT company. Go to the File menu and choose Utilities.
  3. Select Import and then click Web Connect Files.
  4. Locate the .QBO file then, tap Open.
  5. Choose your bank account then, Continue.
  6. Click OK, once you've prompted that it's successfully read into QuickBooks.
  7. Then, you can go to the Bank Feeds Center and review your transactions.

For more detailed steps you can refer to this article: Import Web Connect (.qbo) files.

Additionally, you can also go to our QuickBooks App Store and look for a converter tool.

Import bank transactions from Excel to QuickBooks

I downloaded my banking transactions in a qbo file to a usb drive.  I followed the directions exactly.  After I select the qbo file to download from the usb drive, I get an error message that says, "Quickbooks could not connect to the server. The server may be unavailable.  Please try again later.  [OL-208]."

I'm not sure why its trying to connect to the server.  Either way its not working.

How do I do this?

I appreciate you for joining the thread, @jlatham. I can share with you some information about OL-208 and give you some troubleshooting steps to upload your bank transactions successfully.

You can get this error message "Quickbooks could not connect to the server. The server may be unavailable. Please try again later. [OL-208]." if:

  • You’re using an unsupported version of QuickBooks.
  • The file from your bank isn’t compatible with QuickBooks.
  • There's a problem with your bank.
  • There’s a problem with one or more bank accounts in your company file.

To get started, I recommend updating your QuickBooks Desktop (QBDT) to the latest release to keep your software up-to-date and get the latest features and fixes.

Once done, try importing your file again. If you're getting the same message, I'd suggest trying to download your transactions in a test company file to narrow down the result.

  1. Open QuickBooks.
  2. Go to the File menu, then select New Company.
  3. Select Express Start or Start Setup.
  4. Set up Bank Feeds for the affected account.
  5. Try to download your transactions.

If the error continues, there might be a problem with your bank. You can help from your bank’s support with a copy of your Bank Feeds logs.

Additionally, you can review the instructions from these articles for more tips about fixing OL errors:

Import bank transactions from Excel to QuickBooks

Hello, I am hoping you can tell me if, now that it is two years later, if it is still true that QBD cannot import credit card transactions into the register, using Excel file.  Do we still need to first convert the excel file to IIF?  I will gladly follow your process to download the IIF import kit.  But, just confirming it is still needed, or if quickbooks has added the ability directly.

Hi @importing22,

Thank you for reaching out to us about the feature you need for your banking data. I can share clarification on your concern about importing bank transactions in QuickBooks Desktop.

I know how beneficial being able to bring over transactions directly from an Excel file into the program. Unfortunately, the ability to upload your credit card transactions into the register using this file type is not yet available.

Yes, you're right. Users will need to convert the Excel file to IIF first to upload the data successfully. To know more about IIF, as well the import limitations, check out this link: Export, import, and edit IIF files.

Also, there are many ways to import and export info in QuickBooks. You can use this article as a reference for the options available and things you need to keep in mind when performing the process: Import and export data in QuickBooks Desktop.

Feel free to reach out to me in the comment section if you need further assistance with importing data. I'm always available here in the Community space. Take care.

I'd be glad to provide some information about the File menu, @Jennifer.

The File menu is only available in QuickBooks Desktop. This is why you cannot see this option in the Online version.

I assume you need the steps to import your data in QuickBooks Online. You can accomplish this task by going to the Settings menu. Let me show you how:

  1. Sign in to QuickBooks Online.
  2. Select Settings ⚙
  3. Click Import Data.

  4. Select the type of information you'll be importing. This can include: Bank Data, Customers, Vendors, Ledger Accounts, Products/Services.
  5. Follow the on-screen instructions to map and upload your data.

You can also browse this article for more information: Follow the on-screen instructions to map and upload your data.

I'm also sharing these links that you can utilize to help manage your bank transactions in QBO:

Keep me posted if you have further questions about the File menu and importing data in QBO. I'll be happy to help you. Keep safe!

Import bank transactions from Excel to QuickBooks

Hi @Candice C

The webpage "Excel CSV file into QuickBooks Desktop" talks about importing everything *except* transactions from CSVs or Excel into QB 2019.

Direct quote from the PDF file mentioned on the webpage you linked to:

"Import from Excel and Comma Separated Values (CSV) can only import lists. Transactions cannot be imported using this method."

It seems that QB 2019 explicitly does NOT allow importing transactions from CSVs or Excel files.

I tried the various methods recommended to directly import CSVs as transactions into QB 2019, but QB 2019 does not allow it.

Import bank transactions from Excel to QuickBooks

Hello there, @farsightdevelopment.

I'll share some insights about importing data (transactions) using CSV files in QuickBooks Desktop (QBDT), so you can manage your account accordingly.

You can import various lists and transaction (invoices, deposits, bills, estimates, etc.) types to QBDT using different file formats, including CSV files. To learn more about this, please see this article: Import and export data in QuickBooks Desktop.

However, I agree that importing transactions (bank) using Excel and CSV file formats isn't currently an option in QBDT. You can only import lists using these methods. With this, you can use a third-party application to import your transactions or manually enter them in your QBDT company file.

Once everything is all set, you may also want to check out one of our Help pages as your reference to guide you in managing your business growth and transactions using QBDT: QuickBooks Learn and Support. It includes help articles, Community discussions with other users, and video tutorials, to name a few.

Please know that I'm always around to help if you have other importing data concerns or questions about managing transactions in QBDT. Take care, and have a great day, @farsightdevelopment.
