Export then import list data into QuickBooks Online

You can export list data in CSV or Excel file format then import them into QuickBooks Online.

  1. Open the original file.
  2. Select Reports from the left menu.
  3. Create the following reports with the columns arranged in the order shown below.You can also generate these reports automatically by right-clicking the links below then select Copy link address and paste it into your browser's address bar while signed in to QuickBooks Online.
    • Account List Report with these columns in this order:
      • Account #
      • Account
      • Type
      • Detail Type
    • Client Contact List Report with these columns in this order:
      • Client
      • Company name
      • Email address
      • Phone numbers
      • Website
      • Billing Street
      • Billing City
      • Billing State
      • Billing Zip
      • Billing Country
    • Vendor Contact List Report with these columns in this order:
      • Vendor
      • Company Name
      • Email address
      • Phone numbers
      • Website
      • Street
      • City
      • State
      • Zip
      • Country
  4. Export the reports to Excel.
  5. Open the reports in Excel.
  6. Delete rows 1-4.
  7. Save the Excel spreadsheets.

Products and Services requires some extra steps:

  1. Select the Gear icon at the top.
  2. Under Lists, choose Products and Services.
  3. Select the Export to Excel icon at the top right of the item table.
  1. Open the QuickBooks Desktop file.
  2. Select Reports, then Lists.
  3. Create the following reports.
    • Account Listing Report
    • Item Listing Report
    • Client Contact List Report
    • Vendor Contact List Report
  4. Export the reports to Excel.

Once the data is exported and saved as Excel or CSV file, you can import it into QuickBooks Online. For detailed steps, select the data type you're trying to import:

Some banks allow downloading CSV bank transactions. You can also import these transactions into QuickBooks Online. See Import bank transactions from Excel CSV file for detailed steps.
