Download attachments in bulk

We use to be able to download attachments in bulk, why did this feature go away?   And is it on the horizon to come back?

I need to be able to back up our data as well and not completely rely on QB on again and off again features.

I'm here to share some information about how attachment works in QuickBooks.

 

Please know that the option to download attachments in bulk is still available in the program. You can use the Batch actions feature to export all the documents and files at once. I'll show you how:

 

  1. Click the Gear icon in the upper-right corner.
  2. Choose Attachments.
  3. Mark the attachments you want to export.
  4. Click the Batch actions button, then select Export.
  5. Extract the downloaded zip file to your computer.

If you're unable to see this option, you can try logging into your QBO account using a private or incognito window. Unusual behaviors and missing interfaces are usually caused by the accumulated cache in the browser. You may use these shortcut keys to launch the window:

 

  • Press Ctrl + Shift for Google Chrome
  • Hold Command Shift for Safari
  • Press Ctrl Shift for Firefox & Microsoft Edge

Once you're in, try exporting your attachments again. If it's now working well, close the incognito window and then go back to your regular browser. Next, clear its cache to delete the junk files and enhance your browsing experience. Alternatively, you can switch to other supported browsers to further isolate the issue.

I attempted to follow these instructions, but it looks like QB Currently limits the amount of exported files to 10 MB at a time, and after export, the page basically crashes. 

 

Is there a more stable way to export my attachments from QBO, or am I doing something wrong?

As my colleague mentioned above, you can still download files in bulk with QuickBooks Online. The most stable way to export attachments is by using the steps provided previously. 

 

If you're unable to export the files and the page crashes, we can perform some troubleshooting steps to fix this. There are times that the browser is full of frequently accessed page resources, which causes some errors and/or unusual responses. Let's start by accessing your account using a private browser. You can use either of these keyboard shortcuts:

 

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P
  • Safari: Command Shift N

 

If it works successfully, you'd want to clear your regular browser's cache to prevent any unexpected behavior. Also, you can use other compatible browsers in QBO.

Thank you for the help. I was able to export around 100 files at once to a Zip file (I made a mistake in my last message, downloads are limited to 100 MB, not 10 MB) but the page still sits on a loading screen indefinitely after the Zip file is made available (Even in an incognito window and following all of your previous instructions), so I need to refresh the page to continue to work.

 

I also wanted to know if there was going to be any added functionality to the Attachments page. Currently, I cannot filter or search for any specific files, it just shows all of them sorted by date. This isn't exactly the most convenient way to manage our attachments within QB.

It's great that you're able to export the file. I'm here to help you in fixing the loading screen.

 

Aside from the incognito window and clearing the cache, you'll want to use any of the supported browsers and make sure they are updated. We recommend the following browsers:

  • Google Chrome
  • Safari 11 or newer
  • Mozilla Firefox
  • Microsoft Edge

 

In addition, you'll want to send a product enhancement request to have a filter or search option on the Attachments page. Go to the Gear icon and select Feedback.

I have a follow up question to your suggestion. I am being able to correctly download the attachments. Is there a possibility to add a filter to select the attachemnts? Currently, I have to manually select the attachements. I would like to filter for instance by date, amount. Thanks!

I know how beneficial it is to your business to add a filter to select the attachment by date or amount. However, this option is unavailable in QuickBooks Online (QBO). I'd recommend sending this request straight to our product engineers through feedback. Sharing features and options that you would like implemented is how our engineers look for new product updates. Here's how: 

  1. Go to the Gear icon at the top.
  2. Select Feedback.
  3. Enter your comments or product suggestions. 
  4. Then select Next to submit feedback.

Any follow up to be able to download attachments using a custom time period? This feature is quite important to me and I would consider this to be a deal-breaker. I really hope this is implemented quickly before I am forced to migrate to another service.

I understand having the option to download your attachment using a custom period is beneficial to your business.

 

As of now, we don't have a specific time frame as to when the feature will roll out. Rest assured our development is working diligently in implementing it in the future.

 

In the meantime, you'll want to look for a third-party app that has the feature you need. Simply hover to the Apps menu in your QuickBooks Online (QBO) account and look for an from there.

 

Furthermore, you'll want to visit our Customer Feedback page to stay updated on the latest news about QBO.

You can purchase a 3rd party service to convert your data to another system including certain data types (e.g attachments, estimates, multi currency).

Hi,

Is there a way to upload multiple files and documents larger than 20MB. I find that I have to email the documents separately to the customer when the upload of documents reached the 20MB limit.

Please let me know if I can upload the large documents into a zip folder and attach it that way.

Currently, filtering attachments by class isn't possible in QuickBooks Online (QBO). I can see how beneficial this would be for you and other users to filter these. I'd suggest sending this great idea of yours to our product engineers. They may consider your feature request and include them in future product enhancements.

 

Here's how to send feedback:

 

  1. Go to the Help menu at the top and select Send Feedback Online.
  2. Click on Product Suggestion and enter your feedback or suggestion.
  3. Once done, select Send feedback.

Using the steps given, I am able to download one page of attachments at a time: 150 files. However, these seem all to be files uploaded to some sort of transaction. I need to get my customer-specific files -- service agreements & tax-exempt certificates -- that are linked to the customer rather than to the transaction. Can I get a bulk download of them?

Yes, @kaviro. You can download only customer-specific attachments in QuickBooks Online (QBO), and I'm here to share a thorough step-by-step guide.

 

Once you've already attached a document to a customer profile, you can download them in bulk on the Attachments page. Here's how:

 

  1. Go to the Gear icon and select Attachments.
  2. Check the boxes for the attachments with Customer:*Customer's name* under the Links column. 
  3. Click the Batch action dropdown and select Export.

After then, a zip file containing all of your attachments will be downloaded.

I have a follow up question for you on this thread.  Once I follow the steps above to download all attachments from my quickbooks company, how do I know if it downloaded everything?  i have roughly 1200 attachments going back multiple years.  When I check the top box to select all attachments it shows that it selected everything, yet when I go to find an invoice in the download, I can't find some things.  Because the check boxes are selected for everything, I don't know where it stopped in the sequence so I can do it again.  any suggestions on how to go forward?

I appreciate your follow-up on this, @talex1. Allow me to elaborate and clarify things when exporting attachments using the Batch actions feature.

 

When you click on batch actions when exporting attachments from QuickBooks Online (QBO), it should select all the files displayed on the screen. The maximum number of files displayed is 300. You can change this from the Gear icon as seen in the image below. 

 

 

Since you have 1200 files, you need to navigate through multiple pages and perform the batch action to ensure that all attachments are selected to download. To proceed to the second page, click the Next button at the lower part. See the screenshot below for visual reference.

 

 

After exporting all attachments from each page, extract the downloaded zip file to your computer. Then, look for the attachments link to your invoices. You should now be able to see the downloaded files.
