Employee billable rates

Hi there, JDales.

Welcome to the QuickBooks Community. Let me discuss which QuickBooks Online version has the Employee Contact List report. Then, ensure to perform troubleshooting steps so you can see the said report in your account.

Financial reports provide you with snapshots of various areas of your business. However, there are only available for certain subscription levels. With this, the Employee Contact List report is only available in the Plus version and this could be the reason why you're unable to see it.

If you're already using the said version and the issue persists, it might be the cache full of history and temp files caused unexpected behaviors. I recommend logging in to your QuickBooks account using a private browser and running the report from there. This is to rule out the possibility of a webpage issue and private browsing doesn't store local files or cache.

Use these keyboard shortcuts based on the browser you're using:

  • For Firefox or Microsoft Edge, press Ctrl + Shift + P.
  • For Chrome, press Ctrl + Shift + N.
  • For Safari, hold down Command + Shift + N.

If it works in incognito, you'll have to clear the cache of your regular browser. This removes the history or log of sites so you can start with a clean slate. If the steps above didn't work, use another supported browser as an alternative.

Lastly, you may refer to this article to view steps on how memorizing a report allows you to save it with its current customization settings: Memorize reports in QuickBooks Online.

I'm always here if you needed more help with your reports in QBO. Just let me know in the reply section below, JDales. Take care and have a great rest of the day!

Why did the option to set default billable rates at the employee level go away in QBO? Going in to each time entry and updating for each entry for every employee is crazy crazy. Plus now most of the project reporting available is useless.

Employee billable rates

Hello, @jlm7. Thanks for joining this thread.

Are you attempting to enter a billable rate? The steps provided by my colleague above are applicable only if you don't have an active payroll subscription. In case you do have one, you won't be able to enter a default billable rate from the employee's profile directly. Nevertheless, there is a workaround available to help you with this.

The billable rate represents the amount you charge customers for products and services. When you enter time for projects, the rate you input for a specific employee will become the default one. The next time you enter time, it will automatically populate once you select that employee's name. See the screenshot below.

If you need to enter your employees' cost rates, the instructions below will ensure your success:

  1. Go to the Projects menu.
  2. Click on the Employee hourly rate button.
  3. Next to your employee's name, click Add. Or, to edit a rate, select the Pencil icon.
  4. Select the Calculator icon to open the hourly cost rate calculator.
  5. Add your employee's hourly wage and employer taxes.
  6. Enter any additional employer taxes, workers' comp, or overhead for even more accurate hourly costs.
  7. Click Add to close the calculator.
  8. Select Save to save the hourly cost rate for the employee.
  9. Repeat for each employee. Then, select Done to close the hourly cost rates window.

Once you’ve entered billable timesheets, you’ll see them available to add to new invoices

Feel free to add a reply below if you need further assistance with managing rates. I'm always here to assist.

The weekly timesheet option (accessed from +New/Employees) has changed.  There is no longer an area to input the rate.  Now what?  How do I input different rates for a specific person - rates that change depending on what project they are doing?

Hello, sgp5.

I'm here to assist you with any issues you might be facing. Before we proceed, have you already tried the solutions provided by my colleagues above? If yes, let's access your QBO account in a private window to check if this is related to a browser issue. This allows the program to run without storing cache or cookies, which might cause some problems when running Intuit sites.

Here are some of the keyboard shortcuts to quickly open an incognito session:

  • Ctrl Shift for Google Chrome
  • Ctrl Shift P  for Firefox
  • Ctrl Option +if you're using Safari
  • Ctrl Shift P for Microsoft Edge

Once it worked. Please clear your browser's cache once it works. See this article for further details: Clear cache and cookies to fix QuickBooks Online issues. If private browsing doesn't work, I'd recommend using different browsers. They'll provide you with the best and most secure experience with QuickBooks. For more details, please see this article: System Requirements For QuickBooks.

JamaicaA

Employee billable rates

Congratulations on making your first post here, @s_straughan. I'd be glad to walk you through entering the billable rates per employee on a job basis.

In Quickbooks Online Plus and Essentials, you can track billable time by job by setting up jobs as sub-customers. You can then invoice your billable time and keep all your expenses organized.

Let's start with setting up a sub-customer:

  1. Go to Sales on the left pane, then Customers.
  2. Select New customer then add all the appropriate info.
  3. Tick the Is sub-customer check box.
  4. From the Enter parent customer dropdown ▼, pick the parent customer then choose Bill with parent.
  5. Hit Save.

If you want to bill your customer directly from tracked time, enable the billable time setting. I'll show you how:

  1. Select the Gear icon, then Account and settings.
  2. Tap the Time tab.
  3. In the Timesheet section, click Edit ✎.
  4. Turn on the Allow time to be billable setting.
  5. Hit Save, then select Done.

Once done, follow the instructions in this article to start recording billable time and adding it to invoices: Enter billable time by job in QuickBooks Online.

This should do the trick. If you have any other questions about billable time, don't hesitate to ask. I'm only a post away if you need me. Bye for now!
