Hey there, @MarkWantsBetterCS.
For users with sensitive information, setting a password is mandatory. It ensures that only authorized users can access your data.
You can set up webmail to work with QuickBooks. This way, you don’t have to reenter your password every time you send an email.
Here’s how:
To get more about setting up an email, please visit this article: Connect your email to QuickBooks Desktop.
Moving forward, you can create and use customize email templates to send messages.
You can always get back to me if you need more help in setting up your email in QuickBooks. I'll be around to help.
I am familiar with the basic send forms config. I had to set this up to be able to send the email in the first place.
I'm not asking how to configure the send form. I'm saying the crappy QB software will not allow me to save the password. There is no field for password on send form when I select yahoo mail. So I have to enter the pw every time I email an invoice using yahoo mail.
This, as well as most features, as so not intuit ive!
I am having the same problem. Did you ever get an answer to this question?
Welcome to the thread, @Cryan2166.
You can follow the solution provided by my colleague MadelynC which is to set up webmail to work with QuickBooks. Once done, you'll only be required to enter your password once when sending an email with Webmail.
You can follow the steps provided by her above to set up your account..
Take a look at the Set up email service article to know more about our email service.
I'm also adding an article in case you're interested with sending forms by batch in QuickBooks Desktop.
You're always welcome to come by the Community if you have additional concerns. It's my pleasure to help. Have a fantastic day!

Thank you for those instructions. I have done that and QuickBook still prompts for a password every time I send an e-mail. The e-mails send just fine, but the password is not saving.
Thanks for the response, @Cryan2166.
Let's make sure that you're signed in to your Intuit account. As a part of the updated releases of QuickBooks Desktop, signing into your Intuit account will allow the software to remember your credentials. You can do this from the My Company page. To note, you'll have to type your email password one additional time for it to be saved. Here's how to enter your credentials for your Intuit account:
Here's a screenshot for reference:
That's all there's to it! After completing this, then you won't have to enter your email password for each Invoice you send out.
Let me know if there's anything else that I can help you with today. Have a great rest of your week.

Thank you, we will give that a try!
I have tried all of the methods you have listed, and none of them help/work.
I am able to email my receipts, but it prompts me to put both my quick books password, and email password. In other words, your software does not save those passwords.
It's very annoying while I am trying to work, and I cannot operate like this.
Hello, @Drew500.
I appreciate you performing those steps to save the login credentials when emailing receipts or invoices from QuickBooks Desktop. Since it's still asking you to enter your email and password, I suggest updating your QuickBooks first. Then follow the steps MadelynC provided to start fresh.
Once completed, set up web-mail from the preferences as provided above. This way, you don't have to reenter the password when sending an email.
If that doesn't make a difference, I encourage reaching out to our Support Team to check and investigate this further.
As always, feel free to skim through our help articles in case you need related line

I love this Software, but I am having these same "password not saving" issues since I switched my email service from Outlook to another provider and have tried all the above solutions, Any solution found ?
I'm encountering the same issue. Once I've created an invoice then will send the invoice by email to the customer, QB2018 asks me to enter my password for my email account. Then it says that if I run Schedule Reports, the password will be saved. I did not see that option under Schedule Reports.
Do I have to enter the email password every time I send an invoice?
Good Afternoon, @tggsigns.
Thanks for joining in on this thread. With the information that my colleague provided, you can save the password by setting up webmail to work with QuickBooks.
If this doesn't work and you've tried the rest of the instructions given above in this thread, then I recommend contacting our Customer Support Team. They'll have additional tools, like using a screen share, to help walk you through a few steps to fix this problem. Here's how:
It's that easy.
Let me know how it goes. I want to make sure that you're able to get back to running your business. Take care!
Thank you. I will try that. Right now I have credit card issues with Desktop.
I recently have been having the same issue sending emails through QB via, Outlook via, Yahoo .
I've been receiving notifications from Yahoo about using their app on my phone but have ignored them until today as after reading the email, the same notice applies to my Desktop as well because I use Outlook. I would think that you would of received the same notifications as me.
I manage multiple emails on my Desktop PC using Outlook as I manage multiple companies in QB. I reset the Yahoo password in Outlook and in QB per Yahoo's instructions below.
IN YAHOO go to:
Generate and manage third-party app passwords
Some older, third-party email apps (that do not use our Yahoo branded sign in page) require you to enter a single password for login credentials. To access your Yahoo Mail account on these apps, you'll need to generate and use an app password. An app password is a long, randomly generated code that gives a non-Yahoo app permission to access your Yahoo account. You’ll only need to provide this code once to sign in to your third-party email app.
Generate an app password
Using the instructions above initially resolved my issue but I later discovered for it to work without interruption, having to enter the secure password when I sign out and back in, my Yahoo email must be listed in Outlook as my default email account, which I have not done as it is not my primary email address. Unfortunately for me I will always have to renter my password in order to send emails through QB. If you only use Yahoo as your email provider then these instructions should resolve any issues you have sending emails through QB.
Hope this helps!!
Same problem here too.
I was on the phone with intuit support and the agent didn't even understand the problem. It was like they are oblivious it's even an issue. The agent put me on hold for a for minutes to try and "research it." She came back on the line and said that it's an issue with my email service provider. I said that I disagreed and felt that it was software Intuit software issue. She then hung up on me. how rude!
This is happening to me recently, after an update I believe. Now not only does it not send from my Outlook (it sends from Quickbooks through Gmail & will not let me change my email server from gmail no matter what i do), where I can change the due date shown, it also makes me log into my Intuit account every 8 hours! I really am frustrated with this!!!!
Why is it that Intuitless can't fix this issue after all this time and many users reporting the same issue? And then you provide some 2 cent answer that doesn't work and isn't researched, and pat yourself on the back saying you've provided a solution. Do they pay intuitless employees per the response? How about incentives for a proper answer? Or how about you send this one back to the dev team so that they can actually fix the crappy software. I've waited too long for a simple fix. Customer service is non existent here!
I'm not a QB rep - just another qbuser but after finding no help from QB, I fixed this problem this way (Desktop QB version): Open Company preferences (Edit tab on the task bar and last option "preferences".) When the box opens, find from the menu on the left, the "General" tab and open it. Then choose "Company Preferences". Find "Manage login settings" middle of box and choose "Keep user logged in for _____ , and choose the option you want.
Next, go back to the tab, "Service Connection" on the left menu. (QB may ask if you want to save your changes at this point. Choose "yes" (obviously).
Under Company Preferences again, choose "Automatically connect without using a password."
This solution assumes that you have already properly set up your email account for use by QB, which requires you to make certain changes within your email service provider security protocols, e.g., Googe requires you to turn on "allow less secure apps" in your preferences before you can send email via qb. That's a different issue and QB actually does have a step by step help answer to get you through that.
I hope this helps some of you.
Did this, and all the above trying to email an invoice to a customer via Yahoo. I was, WAS, able to email invoices to my customers before some crazy, random update thru QB desktop and now I cannot. I am so damned frustrated with this "new and improved" update can you please make it go back to where me, and apparently all these others who are trying to send emails with QB desktop? I mean we pay QB enough to handle that, right?
I appreciate you for performing the steps shared by one of our users, @Irritated User
I see how important it is to be able to email invoices to your customer. Undoing or reverting updates made in your QuickBooks Desktop (QBDT) software isn’t possible. Let me route you to the best support available so this gets taken care of. I recommend contacting our Support team.
They have the proper tools to look into your account and investigate the reason why you’re unable to email your invoices. Let me guide you on how to reach out to them:
You can also check this article for more details and ensure to review their Support hours page to know when agents are available: Contact QuickBooks Desktop support.
In the meantime, you’ll want to save your invoice as a PDF file and attach it to your email. Open the invoice you want to send, click the Save drop-down and select Save As PDF.
Furthermore, I’ve added this article that you can read for guidance in personalizing your invoices: Use and customize form templates.
If you have other queries or follow-up questions, let me know in your reply. I’ll be around to help and assists you. Have a pleasant day ahead and keep safe.
I spent hours chatting with "a tech" & finally disconnected because they "have no record" of this issue
I was REALLY hoping this would work... Still had to log in to send an invoice...
Thanks though
Your intuitless proposal doesn't answer the question at all. I don't think you even bothered to read it. This seems to be par for the course with intuitless customer support.
The issue is that your crappy software doesn't save the password. I have to re-enter the password every time I email an invoice.
Escalate to someone that has intuition, possibly a supervisor, but even then it's a crap shoot. Send this to your dev team so they can fix the crumby software!
I have this problem now too as of last week.
I cannot email an invoice from quickbooks with my yahoo email account without going first to yahoo security settings & c/p the long code. I do NOT have to do it just one time but EVERY time. What happens when I have to send my annual bulk invoices - 400 of them! - in one day. I have spoken to Intuit people AND yahoo people.
NO ONE except users understand the problem!!!
