Once a transaction (invoice, bills, etc.) is deleted in QuickBooks, we can only "recover" them on your audit log. To view your audit log, just go to the Gear (at the top right) > Audit Log.

It's a pleasure to see you here in the Community. Yes! @gioreq1 is correct and let me provide you some additional information about recovering a deleted invoices in QuickBooks Online (QBO).

 

Recovering or restoring deleted transactions is a great option! However, this is currently unavailable in QBO. You'll need to recreate them manually and use the Audit Log to get the details of the deleted invoices. Here's how:

 

1. Click the Gear icon at the top, then pick Audit Log under Tools.
2. On the Filter drop-down, choose the appropriate User, Date and Events filter, then Apply.
3. Locate the deleted transaction. To easily find deleted transactions, use the browser search Ctrl + F and type deleted.
4. Select View under HISTORY column.
5. Under the EVENT column, you'll see all the information.

QuickBooks Desktop doesn't have the Audit Log. Instead, it has the Audit Trail. It functions similarly to QuickBooks Online's Audit Log. I'll show you how you can access it. 

 

You'll want to go to the Reports menu to open the Audit Trail report. To elaborate the steps: 

 

  1. Click the Reports menu.
  2. Hover on Accountant & Taxes
  3. Select Audit Trail.

It'll show all the details of the invoices before being deleted. If you need to customize the report to show more data, you'll want to click on the Customize Report button.

I'll help you in handling this transaction.

 

We're unable to directly restore the deleted invoice. We'll have to manually recreate it to ensure that your sales reports and records are accurate. Here's how:

 

  1. Select Customers from the top menu.
  2. Choose Create Invoices.
  3. From the Customer: Job drop-down menu, pick a customer or customer job.
  4. Fill in the relevant information at the top of the form like the invoice date, transaction number, billing/shipping address, and terms.
  5. In the detail area, enter the service/product item purchased by the customer and its quantity.
  6. When you're done, click Save & Close.

If there was a payment applied to the deleted invoice, you'll have to receive it again to mark the transaction as paid. Just click the Discounts and Credits icon to view and link the unapplied payments.

I have deleted an Invoice and now need to re-create it, can I manually add the original Invoice number?

Yes, you can, Cara21.

 

You'll just manually edit the invoice number when recreating the invoice.

Thank you for reaching out to the community. In QuickBooks Desktop, you can pull up the Audit trail report. This will retrieve any and all significant information from deleted invoices. However, you cannot restore the deleted invoice. You can print out or save the transaction report so that you have the information to re-enter as a new invoice.  

 

Here's how to access a deleted invoice

 

  1. Run the Voided/Deleted Transactions Report by selecting “Reports” and then “Accountant“.
  2. From here, you should be able to see the detail of the invoice in question.
  3. You can add columns for more information on this report as well.
  4. You cannot  restore the deleted invoice. You can print out or save the transaction report so that you have the information to re-enter as a new invoice.

 

To run Audit Trail Report. Here's how: 

 

  1. Click Reports at the top menu bar and choose Account & Taxes.
  2. Select Audit Trail. 
  3. On the report screen, click Customize Report.
  4. Go to the Filter tab and search for Transaction type.
  5. Choose Invoice and hit OK.
  6. Filter the dates.

To clarify, is the Invoice No. field missing when creating the invoice? If so, make sure to enable the Custom transaction number option in the settings. This will allow you view and change your transaction numbers.

 

Here's how:

 

  1. Go to the Gear > Account and settings
  2. On the left panel, click Sales.
  3. In the Sales form content section, turn on the Custom transaction numbers feature. 
  4. Hit Save and then Done.

Yes I tried to delete some "dead" accounts in the batch actions and those customers are the only ones I have left.........it deleted all my active customers invoices

In QuickBooks Desktop, you can see the deleted invoice by pulling up the Audit Trail report and customizing it according to your preferences. 

 

Here's how: 

 

  1. Go to the Reports menu.
  2. Choose Accountant & Taxes and select Audit Trail option. 
  3. Press Customize Report
  4. Click the Filters tab.
  5. In the Search Filters, type Transaction and click the result in the Filter column. 
  6. In the Transaction Type, press the dropdown and choose the Invoice option. 
  7. Once you're done, click OK

After performing the steps provided by my colleague, it will bring you back to the customized Audit report that will show all the invoices. Just double-click the voided transaction to provide you with the details since we can't restore the deleted invoice. Also, we can access the deleted invoice by running a report. Here's how:
