I had to use the turn on app feature in security. That was the only one that worked. I hope this is helpful to anyone that is having the same problem.  Thank You

Problem emailing invoices and statements through QuickBooks

Hi rhino_cole,

I can see that you've been through a lot already. I appreciate you for bringing your concern about sending emails in QuickBooks to our attention.

There are a few possible reasons why this is happening:

  • The email preference being set incorrectly.
  • A damaged QuickBooks installation.
  • Domain admin was blocked.
  • Account security settings from your email provider.

Since you've done all the troubleshooting steps already. I'll just be sharing some of it to help you fix this. But If you've gone through all the steps mentioned below, I'd recommend contacting us for further help.

First, we want to make sure your QuickBooks Desktop software is in its latest release. QuickBooks periodically provides maintenance release and product (software) updates to fix emailing concerns, add features and enhancements, and update compliance information.

Second, please check the settings in the web mail  preferences:

  1. At the top menu bar, click Edit.
  2. Choose Preferences.
  3. Click Send Forms on the left panel.
  4. Under My Preferences tab, select the email account you're using.
  5. Click Edit.
  6. Mark the SSL box, or just select Default.
  7. In the Server Name field, make sure the server name matches your email provider's settings
  • If you see smtp.mail.yahoo.com for example, change the name intuit.smtp.mail.yahoo.com and click OK.

If you're getting an incorrect password error message, please follow the detailed steps in this article to resolve this: QuickBooks Will Not Accept my WebMail Password.

To isolate this case, we can also send emails using a sample company file to check if it's doing the same thing.
  1. Go to the File menu and click Close Company.
  2. In the No Company Open window, click the Open a Sample File button, and choose the sample company file you want to use.

Then, let's set up your email service in QuickBooks Desktop and try to send an email again.

One of our Technical Support Team would also be glad to help you with this. They have the tools necessary to check your company file and help you send emails.

Here's how you can reach them:

1. Go to https://help.quickbooks.intuit.com/en_US/contactus.
2. On the Contact Us page, make sure that your QuickBooks product is selected at the top right corner.
3. Select a topic.
4. Click on the Chat button.

Please feel free to let me know if you need any help. Take care.

What do I do if QuickBooks freezes and shuts down as soon as I hit Send Forms in Preferences? I uninstalled and re-installed QuickBooks, ran QB updates, re-installed MS Office and it still freezes and I can't send emails from QB. Windows 7, Gmail, QB Enterprise 2018.

Problem emailing invoices and statements through QuickBooks

Hello juVielL,

This issue is NOT solved and

unfortunately, I'm not sure if you thoroughly read the previous poster's question I responded to regarding QuickBooks 2018 hanging when attempting to access the "File > Preferences > Send Forms" setting in QuickBooks 2018 Desktop Pro.

Just clicking on that setting causes QuickBooks to hang and become completely unresponsive. The enduser then has to force close QuickBooks via Windows Taskmanager.

In addition to hanging when accessing this setting, the application also does the same thing when sending the first email (invoice, estimate or receipt) of the day. After force-closing and reopening the application, emails will send normally, but accessing the Send Forms setting still causes random hangs after the force-close and reopen of the application.

The application also randomly becomes unresponsive while the user is performing other tasks, and has only recently started happening. These hangs appear to coincide with the installation of the latest maintenance release, but I cannot absolutely confirm that is the source of the behavior.

Also, I'm not sure if this has any impact on the issue but I thought I would at least mention it. Windows Application Events repeatedly lists Error 5 for QuickBooks 2018 on initialization. The network share path and QuickBooks files contain no whitespace and are fully accessible to the workstations and Windows user accounts experiencing the issue.

I am a seasoned IT consultant, and have
already performed numerous steps to correct the errors on both workstations experiencing the issues.

Here are specifications for the hardware, OS and installed applications.

HP 24" AIO Touch
Intel Core i5 7400T 2.40Ghz
12GB Ram
2.0TB SSD

Windows 10 Home 64-bit v1903
Windows Defender AV and Firewall
Office 365 Business (Access, Word, Outlook, Excel, PowerPoint, Publisher, OneDrive Business, Skype Business, Teams)
Internet Explorer 11
Mozilla Firefox
QuickBooks 2018 Desktop Pro

Users are using Google Mail accounts to send mail on their behalf from within the application.

The operating system and all installed applications are the latest versions with all applicable updates installed.

Here are the troubleshooting steps I have performed to date:

1. All user accounts are local administrators and QuickBooks is not being forced to run as an administrator.

2. All users have third-party app access enabled on their Google accounts.

3. Ran SFC / Scannow and DISM /Online /Cleanup-Image /RestoreHealth on both Windows 10 workstations. Only minor image inconsistencies were found and repaired on both workstations.

4. Performed a full online repair of Office 365 Business. (Emails send correctly via all installed Office apps that have the capability to do so.)

5. Performed Quick and Full product repairs of the application via the QuickBooks Tools Hub.

6. Installation repair of the QuickBooks desktop application via Windows Programs and Features.

7. Clean uninstall via the QuickBooks clean install utility and fresh installation of QuickBooks 2018 Desktop.

8. Cleared Internet Explorer cache and verified IE 11 is functioning properly.

9. Scan and repair of the company file via QuickBooks File Doctor. Only minor inconsistencies found in the file.

10. Permissions check on network file share and QuickBooks files.

11. Deleted and recreated the network share, set appropriate share and user permissions. Verified QuickBooks Server Manager is functioning normally.

12. Created a new QuickBooks user account for one of the users with the issue. The other user is Admin, so no way to create a new account (at least nothing that is published by Intuit for public consumption).

Which raises another question; How do I correct user issues with Admin if I cannot delete and recreate the account? However, I'll save that question for another time, unless it is pertinent to the current issue.

Please let me know as soon as possible what our next steps are to resolve these issues as they are adversely impacting daily operations of the business.
