QuickBooks won't accept my web mail password

Get help if you can't log in to your email account when sending transactions in QuickBooks.

To go back to emailing forms, reports, invoices, and other transactions in QuickBooks without getting a prompt that your email or password is incorrect, follow the steps we’ve prepared for you below.

If you need other email account, you can set it up in QuickBooks Desktop.

Note: Update QuickBooks to the latest release. If you're still getting the same issue, follow the steps applicable to you.

Gmail

Gmail may be blocking sign-in attempts to your Google Account. You'll have to enable access for less secure apps and turn off 2-step verification for QuickBooks to have the right permissions to send emails using your Gmail account.

Yahoo! Mail

Yahoo! Mail has recently implemented a 2-step verification process. This process generates a random password that must be entered into QuickBooks Desktop when it prompts for a password when sending emails. You may also allow access for less secure apps.

  1. In the Yahoo Account Security page, scroll down to the Two-step verification and Allow apps that use less secure sign in sections and turn on both features.User-added image
  2. You need to generate third-party app passwords to get a one-time app password. You'll be prompted to select the App, select Other App and give it a name.
  3. Try to send the email through QuickBooks Desktop again.
  4. In the Password text box, enter the third-party app password generated by Yahoo.Note: You only need to enter this password once.
  5. Select OK.

AOL

AOL has required you to generate and use an app password if you were going to access it via third-party email app and uses 2 - step verification to avoid getting an error.

  1. Go to the Account security page.
  2. If prompted, sign in to your account.
  3. Select Generate app password.
    Note: If this option doesn't appear, you'll need to enable 2-step verification.
  4. Select the app you use from the drop-down menu.
  5. Select Generate.
  6. Follow the instructions provided to use the app password, then select Done.Note: You can also stop the app password by managing it.

If you're using QuickBooks in RightNetworks

Sign in to your email provider' website and complete the MFA request in RightNetworks. If a browser isn't available, contact RightNetworks and ask for it to be added to your desktop.

If you're using an anti-virus

Check with the developer of your anti-virus for instructions on how to allow communication through these ports.

  • Yahoo!: port 465
  • Gmail, Hotmail, and others: port 587

If you're using McAfee

  1. Select the Windows Start button, then All Programs.
  2. Select VirusScan Console, then double-click Access Protection.
  3. Select the appropriate Port Blocking rule, then select Edit.
    Ex. Anti-virus Standard Protection, prevent mass mailing worms from sending mail
  4. Add the following process names to the list of Excluded Processes.
    • QBW32.exe - C:\Program Files\Intuit\QuickBooks [year]\QBW32.exe
    • QBDBMGRN.exe - C:\Program Files\Intuit\QuickBooks [year]\QBDBMgrN.exe
    • QBDBMGR.exe - C:\Program Files\Intuit\QuickBooks [year]\QBDBMgr.exe
  5. Select OK until the Access Protection Properties window is closed.
  6. Exit VirusScan Console.
  7. Try to send an email through QuickBooks again.
