941 e-payment rejected / EFTPS password expired

I have called the eftps number several times and they say they are not accepting phone calls.  I can no longer even access their site.  They say they do not recognize my account even though I have had the same enrollment info for years..  I got a message that my payment was not accepted by QB and now the EFTPS site said I made the payment.  I got a confirmation email.  Something is amiss with the IRS.  I can not talk to anyone in person.

I'll ensure you can file your federal tax payments in QuickBooks seamlessly.

 

E-payment can be rejected due to either of the following reasons:
 

  • There’s a problem when you submit the e-filing or e-payment. An example of this, the Intuit server is unavailable.
  • An e-filing or e-payment is rejected by the agency.
     

To get around this issue, let’s void the rejected e-payment and resubmit it again. Before we start, let’s update your QuickBooks Desktop to the latest release and download the latest tax table update. Keeping your QuickBooks updated prevents unexpected issues within the program.

 

Once done, follow these steps in voiding the rejected e-payment:

 

  1. Go to the Employees menu.
  2. Tap Payroll Center.
  3. Click the Pay Liabilities tab.
  4. In the Payment History section, Choose the E-Payments tab.
  5. Hit on the Agency Rejected link.
  6. Choose Void Rejected E-payment.
  7. Then resubmit your federal tax payment.

If your tax payments are still rejected, I'd recommend contacting our Payroll Care Team. They have the tools to look into the account and further investigation. 

 

Here's how to reach out to them:

 

  1. Go to the Help menu.
  2. Select QuickBooks Desktop Help.
  3. Click on Contact Us.
  4. Select Search for something else.
  5. Enter Rejected Tax Payments in the Tell us more about your question: field.
  6. Click on Start a Message.

I have exactly the same problem and the IRS will not answer my calls and EFTPS #  will not help or answer the phone.  I have been making payments for years this way.

I can not get into the eftps website.  They do not recognize my EIN, Pin or my Bank account info to change my password.

  1. Click Help inside QuickBooks.
  2. Go to QuickBooks Desktop Help.
  3. In the Have a Question? window, click Contact us.
  4. Enter a brief description of your issue, then click Continue.
  5. Choose Talk to a Specialist to schedule a callback from our support agent.

This was good detail, thank you Rak, except that View/Pay button is grayed out on the Pay Liabilities screen, and there is no longer any payment listed to be paid. I cannot find a way to "Undo" the rejected payment, to redo it with the new password I established just now on the EFTPS website.

Let me help you fix your issues. Regarding your View/Pay button being not clickable, I recommend updating your QuickBooks.

 

On the hand, you can void your rejected E-payment instead f deleting it.

 

Here's how:

 

  1. Click the Employees tab. then select Payroll Center.
  2. Choose the Pay Liabilities tab.
  3. In the Payment History section, select the E-Payments tab.
  4. If the status is Agency Rejected, the agency has rejected the payment and sent a reason code and possible solutions.
  5. Click on the Agency Rejected link.
  6. Check the payment information and the problem and solution messages sent by the agency.
  7. Hit Void Rejected E-payment.

 

Once finished, you can now resubmit the 941 e-payment when you're ready. Also, you must check the status again after the submission.

I had the same problem.  My January payment was rejected because of password update.  The amount due and rejected was $3,072.58.  I reset my password with eftps.  Then I resent payment.  I did not uncheck the save password for next time in payroll.  I assume that is where the problem lies  So the $3,072.58 was rejected but when I resent after password reset only $2487.32 was resent to estps.  I assume that is the amount sent was the amount that has accumulated since the $3072.58 was rejected.  My January payment is now $585.32 short.  What do I need to do to clear this up?

I have a way to ensure you'll be able to clear your January payment, Jo2.

 

Rejected payment happens when Intuit server is unavailable or e-filing or e-payment is rejected by the agency. You'll have to make sure to update QuickBooks Desktop to the latest release to keep up with the latest fixes. To see your QuickBooks release, see the steps below:

 

  1.  Open QuickBooks Desktop.
  2. Press F2 (or Ctrl+1) to open the Product Information window.
  3. Check your current version and release.

 

At the same time, make sure to get the latest payroll tax table to maintain access and to get release updates and online services. Also, getting the latest updates ensures that you'll be able to e-file and e-pay taxes successfully and prevents password issues along the way.

 

Once done, you can resubmit your payment. However, if you've already paid the January amount and only want to clear the balance, you can record manually the payment. Thanks for getting back to this thread, @Jo2. Let me share some information on how to handle the payment.

 

To ensure that we can clear the payment, we need to delete the payment liability that you accepted. Then manually recreate it with the actual amount you've paid.

 

Here's how:

 

  1. Proceed to the Employees menu and choose Payroll Center.
  2. Click the Payroll tab, then select Pay Liabilities.
  3. Under the Payment history section, select All Payments, locate the payment you accepted with the wrong account.
  4. Double-click the transaction to open and click Delete
  5. Select Yes to confirm.

 

Once done, enter the payment with the correct amount.

 

I'd also suggest consulting to your accountant for further advice on how to properly handle your tax records in QuickBooks. This way, we can make sure that your books are accurate once you close them.

 

You can also run the Payroll Liabilities Balance report in QuickBooks to review how much you owed for each tax, deduction, and company contribution assigned to your payroll item. Then, prepare and print your payroll tax payments and forms in QuickBooks Desktop Payroll so you can file them manually with the IRS and state agencies.

I followed instructions and got message: You cannot delete an e-payment that has already been submitted to the agency. ( It clearly says on the check that it was rejected.  I checked my bank account and the only check that cleared was the $2487.32 that was not the actual account) If you want to cancel or make changes to the e-payment, contact the agency to whom you sent the e-payment and then void the payment in QuickBooks.  After you void the e-payment you can make changes, such as to the amount.  

I guess I am going to have to go through the turmoil of attempting to contact EFTPS and work on it from that end.  The payment they accepted is $585.26 short.

When canceling or making changes to the e-payment, it'd be best to contact the IRS or state agency. You'll have to talk to them to find out if they accepted one form or both. Depending on the situation, you may need to file a change or send the form again through the agency.

 

After that, you can void the payment in QuickBooks and make some adjustments to it, such as the amount.

The lady from EFTPS said I just need to make the $585.26 balance that did not get made in the second deposit I made after updating my password.  Will you tell me the steps to take to make the $585.26 payment through payroll to EFTPS so my 941 balance will be in order?  I agent indicated I can just void the $3072.58 amount that was rejected by EFTPS.

I recognize you need to adjust your payroll tax payment, @Jo2. I'll share details about how to pay the remaining balance on your payroll taxes in QuickBooks Desktop.

 

 

We don't have to void the whole payment. We can go to the EFTPS website to pay the remaining $585.26.

 

After that, we can contact our QuickBooks Desktop support on how to record the payment.  Please follow the steps below:

 

  1. Open QuickBooks.
  2. Go to Help, then select QuickBooks Desktop Help/Contact Us.
  3. Select Contact Us.
  4. Give a brief description of your issue, then select Continue.
  5. Sign in to your Intuit account and select Continue and then Continue with my account.
  6. We'll email you a single use code. Enter your code and select Continue.
  7. Select to chat with us or Have us call you.

Disclosure : I'm not a QB or tax professional -- just someone who's had this happen a few times over the years so for some reason I'm getting these notifications & thought I'd jump in with my two cents

 

Jo2 -- are you seeing the 941 payment still outstanding in your "pay liabilities" tab in QB? If so, you can just process through like normal (and make sure that the password is correct when you get to that dreadful page !!) and all should be good. 

If the other amount was ok and it processed, then the balance you submit will just follow & the IRS peeps should be happy.

 

If all else fails, you do need to know what the breakdown of the individual payments are (Federal withholding/Social Security, etc) and then you can always go into EFTPS website, pay the amount owing & then go into QB and manually enter what you paid "outside" by using "create custom payments" which is at the bottom of the page (I'm on desktop pro 2020) under the "other activities" section of "pay liabilities"

 

Every time there's a comment on this topic my blood boils because it shouldn't be so difficult so I feel your stress.

I think the suggestion above will solve the problem.  All this was caused by ETPS requiring the change of my password.

When using E-Pay in QuickBooks Desktop (QBDT), you’ll need to update your password to match your EFTPS password each time you make an e-payment. The system has a policy in place where passwords expire after 13 months from the moment they were last updated. Let me help you how to update your EFTPS internet password for IRS payroll tax payments.

 

To ensure that your EFTPS Internet password is up-to-date, you may follow the steps outlined below. After completing the process, you can verify that everything is functioning correctly by reviewing the steps once again. Here is how you can do it:

 

  1. Visit the EFTPS website.
  2. On the home page, select Login.
  3. Enter your Taxpayer Identification Number (TIN), PIN, and your current internet password to log in.
  4. Update your internet password to meet the new security requirements. The new password length requirement is 12–30 characters.
  5. Wait one hour before sending your e-payment. 

 

Also, it is necessary to update the password in your QuickBooks file to match your new EFTPS Internet password the next time you make an e-payment next time. Here are the steps you need to follow:

 

  1. From the Employees menu, select Payroll Center.
  2. Go to the Pay Liabilities tab.
  3. In the Pay Taxes & Other Liabilities section, select the federal liability to e-pay.
  4. Click View/Pay.
  5. Make sure that the E-Payment is selected, and then click E-pay.
  6. Select the Remember My Information for Next Time box.
  7. Enter your 4-digit PIN and your new EFTPS Internet password.
  8. Enter any other missing information.
  9. Click Submit.

The next time you make an electronic payment, don't forget to enter your new 4-digit PIN and EFTPS Internet password. Also, you can choose the Remember My Information for Next Time option to make future payments easier.
