How do I reclassify multiple transactions using QBO Essentials?

It's good to see you here today, mcd. Let me share some insights and guide you on reclassifying transactions in QuickBooks Online (QBO).

 

The reclassifying multiple transactions at once is not available in QBO Essentials. This feature is only available in QBO Advanced and QBO Accountant. Hence, in reclassifying the transactions, I suggest contacting your accountant if you have one. 

 

Otherwise, you'll have to edit your transactions one at a time. I'll show you how:

 

  1. Go to the Accounting menu, then choose Chart of Accounts.
  2. Select the account that you want to reclassify by clicking the View register.
  3. Locate the transaction that you'll reclassify. 
  4. Tap this to expand and click Edit.
  5. From there, you can change the account.

 

You can also utilize a Journal Entry to move the balances from one account to another. I highly recommend reaching out your accountant to guide you along the process.

 

Moreover, you can also consider upgrading your subscription to QBO Advanced. In this way, you can use the reclassifying tool seamlessly to save time and make changes to multiple transactions at once.

How do I reclassify multiple transactions using QBO Essentials?

I am trying to edit the Accounts Payable account on manually entered bills. There is no option to edit the transaction in the account register. Clicking on the transaction takes me to Bill. There is no option to edit the Accounts Payable account there; I can only edit the expense category.

Let me provide some information about modifying your account for bills in QuickBooks Online.

 

Accounts Payable is a default account to identify all money out movement. As a balance of all bills, it will affect the Accounts Payable account. Thus, it's not an eligible account to use since it's a default account. This is why you're only able to edit the Expense category.

 

Moreover, you can seek professional advice from your accountant to ensure the accuracy of your accounts if you use Journal Entry to move balances. If you're not affiliated with one, you can utilize our accountant to look for one in your area.

How do I reclassify multiple transactions using QBO Essentials?

I understand your reply. My issue is that I had an Accounts Payable account (20000) when I used QuickBooks Desktop. When I converted to QBO Essentials, that account converted but there's also QBO's Accounts Payable (A/P). I have quite a few recurring bills, also from QB Desktop, that post to the "old" account 20000, while the others post to the A/P account. I'd like them to all be under one account.

Is there a way to reclassify the transactions or change the default account so all the bills go to the same account?

How do I reclassify multiple transactions using QBO Essentials?

Hi there, carol20. I'm here to share additional insights about this.

 

In QuickBooks Online (QBO), the default Accounts Payable (A/P) is created during a company file setup or selected during conversion. To ensure your books are organized, it's recommended to use a single A/P. However, we're unable to set or change the default. 

 

With regards to reclassifying your entries, only Advanced and Accountant users have this tool. You may want to consider upgrading or inviting an accountant

 

Alternatively, we can merge the two A/P. Beforehand, keep in mind that this process is permanent. 

 

To start, let's determine which one is the default. To do so, pull up the latest bill created in QBO. Then, run a Transaction journal report. From there, we can check which one the program uses. Here's how:

 

  1. From the Expenses menu, choose Bills.
  2. Select Unpaid or Paid to locate the entry, then double-click it to open it.

  3. Go to More and then Transaction journal.

  4. Review the report to verify the details.

Next, we can start merging them. Make sure you’re in Accountant view. Then, take note of the details of the winning account. I'll show you how:

 

  1. Go to the Transactions menu, then Chart of accounts.
  2. Find the one you want to keep. Then, select the drop-down arrow in the Action column and then Edit.

  3. Note the Save account under (Account Type), Tax form section (Detail Type), and Account name (Name) of the account. These must be the same between the accounts you want to merge.

If you have all the info needed, let's handle the duplicate:

 

  1. Go back to the Chart of accounts page.
  2. Find the duplicate (the one you won't keep). Then, click the drop-down arrow in the Action column, then Edit.

  3. Change the Account name and Tax form section so the duplicate info matches the one you want to keep.

  4. Hit Save, then Yesmerge accounts.

Once done, it merges the two, so you end up with one. QBO moves past transactions from the duplicate to the account you want to keep. For more details, please see this article: Merge duplicate accounts, customers, and vendors.
